This paper discusses the importance of communication in the workplace while elaborating how communication barriers can impact organizations or individuals in meeting their goals and objectives. Furthermore, the paper discusses various strategies for overcoming these communication barriers.

Importance of the role of communication in the workplace

Good communication is a mandatory requirement for the proper functioning of any organization. Communication in the workplace is not just about relaying information but connecting with people, building teamwork, establishing trust and transparency, minimizing errors, and improving productivity in the workplace (Jenifer & Raman, 2015). Therefore, communication plays a crucial role in fulfilling an organization’s goal. Implementing a change initiative requires a lot of communication, and many organizations fail because of a lack of effective communication. The current dynamic business environment makes change management initiatives and effective communication mandatory (Kapur, 2018). For the change process to be effective, it is essential for the employer to communicate why the change is happening, what it entails, its benefits, and its impact. Effective communication also drives innovation and knowledge sharing within an organization. Employees can share innovative ideas and expertise with their colleagues, making the organization more innovative and productive. The teamwork that results from effective communication in an organization plays a crucial role in establishing unity of purpose, which makes employees cooperate and work more purposely in helping the organization to achieve its goal (Jenifer & Raman, 2015). The different departments need to work in collaboration with each other to achieve the goals of the organization (Goutam, 2013). Working as a team is only possible if transparent, open, and honest workplace communication exists. Furthermore, an environment of trust and teamwork where members of one department know that they can count on other department members to fulfill their duties leads to cohesiveness and effectiveness in the workplace.

How barriers to communication can impact an organization meeting its goals and objective

Communication barriers significantly impact the organizational objectives because, most of the time, the management may not know such barriers exist. If a manager’s communication style pisses off his employees, they may not tell him. Likewise, if there is a communication barrier between employees and the management and the junior staff cannot get the managers to listen, the organization’s leadership will not know there is a problem. Because of this, the organization cannot fix the problems that ail it. Establishing a good rapport within the organization is the best strategy to deal with this problem (Rani, 2016). However, such a strategy may not work in hierarchical organizations because communication is based on positions and ranks, not friendship. Nevertheless, being friendly and maintaining positive rapport may help people open up even in organizations with a hierarchical communication structure.

Communication barriers may also lead to increased inefficiencies and errors (Rani, 2016). Individuals and team members can fail to understand what is being communicated due to excess information or jargon. Furthermore, the use of different communication styles from that of the intended audience may cause difficulty in understanding. Failure to understand the information communicated may lead to people acting incorrectly, leading to errors, inefficiencies, and losses (Kapur, 2018). Some strategies that can help overcome this barrier include using simple words and phrases and breaking down the information into smaller chunks that will be easy to understand.

Communication barriers can also lead to stereotyping and alienating people, leading to an incohesive workplace environment. When there is no effort to bridge communication barriers in a work environment characterized by cultural and language barriers, a group of people can feel alienated. Consequently, this barrier in communication leads to a lack of trust and transparency among individuals in a team resulting in poor performance (Kapur, 2018). The lack of trust could also lead to other problems, such as conflicts and conflicting views among employees in an organization. Organizations are made up of individuals and team members, so communication breakdown impacts individuals and team members before moving to organizations. Some ways barriers to communication can negatively impact individuals and teams are alienation, conflicts, lack of engagement, increased employee turnover, and lack of career progress (Rani, 2016), as further discussed below.

Language and cultural barriers can lead to the alienation of individuals or team members. Language and cultural differences make people associate only with people they are comfortable with, making minority groups feel alienated and unwanted (Jelani & Nordin, 2019). Furthermore, language and cultural differences cause discrimination and stereotyping, which causes people to treat people from minority groups unfairly. The discriminatory treatment may lead to low self-esteem and unworthiness, which can also impact the performance of these individuals and teams (Jenifer & Raman, 2015). Communication barriers can also lead to conflicts among individuals and team members. Conflicts can arise from different perspectives, such as religious and political views. Conflict can also occur due to fighting for limited resources or simply hating each other. While conflicts can be a barrier to effective communication, they can also lead to other negative consequences, such as fighting, litigation, and even loss of employment.

Communication barriers can also lead to a lack of staff engagement which can lead to reduced productivity and increased employee turnover. When the employer holds back important information from employees, they may feel unwanted and their contributions unimportant. Consequently, employees will start distancing themselves from making important decisions and holding back on important information. Strategies for overcoming barriers to communication

Organizations can employ various strategies to overcome communication barriers, helping them to achieve their goals and objective. The first strategy is to appreciate language and cultural differences in the workplace by using inclusive language. Understanding and appreciating different cultures helps employees from different cultures to have a sense of belonging and connect easily with other staff (Goutam, 2013). Moreover, focusing on the message and not the person when receiving and interpreting information will help to reduce biases and discrimination arising from language and cultural differences.

Breaking down the information communicated into smaller chunks and delivering it over a prolonged period is the best strategy to overcome information overload (Jenifer & Raman, 2015). Additionally, simple words and phrases will help an individual understand faster than long and complex phrases full of jargon. Deferring communication until the audience is in the right state of mind is another strategy that helps to break communication barriers caused by tiredness and negative attitude. In case of language barriers, the communicators can seek the service of an interpreter. In the current age of globalization, demographic diversity, and the explosive growth of communication technology offered by the Internet, cell phones, and other resources, the issue of workplace communication is both more significant than ever and is also evolving and changing rapidly (Borkowski, 2005). The very definition of the “workplace” can mean many different things to different people. Today’s technology, for example, has made it possible for millions of people to work by “telecommuting;” with a computer and an Internet connection, telecommuters can work from anywhere in the world and work with managers, co-workers, customers, and clients who are either in the same office or city, or who are located virtually anywhere else in the world (Guffey & Loewy, 2014). Such technologies can facilitate communication, but they can also serve as barriers to communication as people from different backgrounds come into contact with each other. As the demographics of the U.S. population change, workplaces in all economic sectors are becoming more diverse in terms of race, ethnicity, gender, sexual orientation, culture, and a variety of other ways (Guffey & Loewy). The increase in diversity has the potential to create barriers to communication in the workplace, as people from different backgrounds and with different sets of attributes may clash over ideologies, misunderstand each other, or show a lack of tolerance over their differences. The role and responsibility of an effective manager is to indentify, understand, and overcome these barriers to foster positive communication in the workplace.

One of the most significant potential barriers to communication in any workplace setting is related to the issue of frame of reference. Simply put, the concept of frame of reference refers to how individuals see the world. It encompasses a myriad of different factors, attributes and circumstances, ranging from ethnic or cultural background to regional background to level of education, age, or experience and other factors (McIntosh et al, 2008). Overcoming differences in frame of reference can be enormously challenging, especially when such issues are likely to appear in virtually any workplace setting.

One example of issues related to frame of reference can be found in the regional background of employees, as even people from different parts of the same country may possess widely-varying cultural differences. In any city or town, a manager of a business or other organization may be responsible for managing employees from different parts of the country of the world. A manager in a southern state, for example, might take on a new employee who recently moved to the state from New York City. That new employee may be used to working in an environment where the pace is very fast, and where employees and coworkers often dispense with social courtesies simply because that is the nature of the environment in which they live. For established workers from the south, who may be used to saying “please’ and “thank you” during every interaction, working with a new coworker who does not engage in the same behavior may be off-putting or upsetting. An effective manager must identify the fact that this new employee is simply behaving as he or she is accustomed to behaving, and may have to discuss the matter both with the new employee and with then established employees to ensure that everyone understand the others’ frame of reference. It is important that effective leaders recognize cultural differences among employees and work to mitigate the risks posed by ineffective communication among the members of the diverse workforce.

A similar set of circumstances might be found among coworkers with different sexual orientations. The issue of same-sex marriage is now a commonly-discussed matter, and many people have strong opinions in the subject. In a scenario where a gay or lesbian employee overhears a heterosexual employee discussing the issue in a manner that is upsetting, the gay employee might have legitimate cause for complaint. An effective manager will understand that the heterosexual employee and the gay employee have very different frames of reference for thinking about or discussing such issues, and may have to intervene to ensure that both employees are comfortable in the workplace.

Effective communication is an integral aspect of nursing because nurses constantly interact with patients, families, colleagues, supervisors, and managers in the course of their duties. Rosenblatt and Davis (2009) argue that the nature of communication determines the quality of care that patients receive. In essence, effective communication leads to poor quality of nursing care, while effective communication leads to improved quality nursing care. In this view, healthcare centers must enhance the effectiveness of the communication process so that they can improve the quality of nursing care that patients receive.

Marquis and Huston (2012) analyze the communication process and identify media of communication and environment as factors that determine the effectiveness of communication. In the factor of environment, there is an external environment, which comprises power, status, and authority, while the internal environment comprises feelings, values, emotions, stress, and temperament.

The media of transmitting information that affects the effectiveness of communication are verbal, written, and non-verbal means. Therefore, the essay examines a case study of ineffective communication and describes barriers with a view of proposing strategies that are applicable in promoting better outcomes.

In an incident that depicts the ineffectiveness of communication in nursing care, a home health aide, who was providing nursing care to a patient with pressure ulcers, did not communicate effectively with the authorities and colleagues. In the first instance, the aide did not report to the home health agency regarding the presence of a patient with pressure ulcers, who required special care. Furthermore, the aide took the weekend off without reporting to the home health agency and left the patient unattended to by other aides.

After two days, the condition of the patient worsened and led to the development of multiple pressure ulcers. The worsening pressure ulcers caught the attention of another home health agency, which reported the incident to the state and have the patient admitted for further treatment for a couple of days. When asked about the situation, the aide stated that the caregiver prohibited her to report the pressure ulcers and did not allow her to take the weekend off.

The communication barriers that are present in the case study related to the reporting of pressure ulcers and allowing the aide to ask permission for the weekend off. The home health agency does not provide for the procedure of reporting pressure ulcers as the aide stated that the caregiver disallowed her from reporting the existence of the patient with pressure ulcers.

The communication barrier is the absence of a communication channel through which the aide can report the occurrence of pressure ulcers among patients to the authority. Robinson, Gorman, Slimmer, and Yudkowsky (2010) cite the nature of hierarchical authority structure as a barrier to effective communication between healthcare providers and their respective authorities. Moreover, the unprofessional practice of excusing oneself from work is an apparent barrier to effective communication.

According to Marquis and Huston (2012), communication entails the transmission of information from sender to receiver via written, verbal, or non-verbal means. Hence, from the case study, the caregiver acts as a personal and institutional barrier to communication between the aide and the home health agency. Overall, the case study presents personal and institutional barriers to effective communication.

The first proposed strategy that is applicable in improving the outcome of communication in nursing is the training of nurses to acquire professional skills of communication. Thomas, Bertram, and Johnson (2009) recommend the training of nursing students to enhance their communication skills so that they can communicate professionally. The aide lacked professional communication skills for she took the weekend off without seeking permission from the authority.

The second proposed strategy is that the home health agency should provide channels of communication so that nurses can communicate freely with authority or amongst themselves. Boscart (2009) argues that the enhancement of the quality of interactions improves the quality of nursing care. In this view, the aide and the caregiver poorly interacted, and thus led to the worst outcomes of nursing care.

Communication is an integral aspect of nursing because it influences the quality of care that patients receive. Usually, nurses have to communicate with patients, families, colleagues, and other healthcare providers in the course of their duties. The effectiveness of communication is dependent on many factors such as organizational structure, regulations, professionalism, and personal issues. In the case study, it is evident that the lack of organizational channels that allow nurses to communicate with their supervisors and authorities hinders the delivery of quality care.

The aide did not report the case of pressure ulcers because the caregiver disallowed her from doing so. Moreover, lack of professional skills of communication made the aide take the weekend off without seeking permission from the agency. Therefore, to address barriers to effective communication in the case study, training of nurses in the aspect of professional communication and provision of communication channels that improve quality of interaction and consequently the quality of communication is essential.
