- Rooming Lists: How to Simplify Your Group Travel Accommodations in 2024
Planning group travel for events involves more than dates and venues—it's about creating an experience that satisfies attendees. Enter the rooming list, an old-school way of sorting out where everyone stays.
In this guide, we break down rooming lists, showing you how they work–and highlighting why they might not be the best fit for today's events. We’ll also provide more modern solutions designed to revolutionize event housing management .
What is a Rooming List?
A rooming list is a document detailing accommodation arrangements for a group of individuals attending an event. It contains detailed information about the accommodations required for attendees or guests at a specific event or function.
Traditional rooming lists, once a staple in accommodation management, are now seen as outdated in modern event planning due to their manual processes and increased error risks. As events scale up, the inefficiency of manually creating and managing these lists quickly becomes apparent.
In response to these limitations, modern alternatives, including event management software like EventPipe , have emerged, offering automated solutions that streamline processes, enhance communication, and significantly improve overall efficiency in accommodation management.
More on that later!
What to Include on a Rooming List
Rooming lists are only as good as the information they share, so ensure your rooming list covers all the essentials. From attendee details to special preferences, here's a comprehensive list to guide your accommodation planning.
- Participant Information : Include the names of the attendees or guests. Specify any special requests or preferences they may have, such as room types (single, double, suite), bed preferences, accessibility requirements, dietary restrictions, room amenities, or specific views.
- Contact Details : Provide contact information for each participant, including phone numbers and email addresses. This ensures that the hotel staff can easily communicate with guests if needed.
- Check-in and Check-out Dates : Clearly outline the dates of arrival and departure for each participant. This helps hotel staff manage room turnover efficiently.
- Room Assignments : Specify any specific instructions for room assignments, such as grouping attendees or keeping certain individuals near meeting spaces.
Note: The following things aren’t on the rooming list, but are important to keep in mind.
- VIPs and Special Guests : Identify VIPs or special guests on the rooming list. This ensures that they receive any additional amenities or services they may require.
- Communication with Hotels : Emphasize the importance of effective communication between event organizers and hotel staff. A well-maintained rooming list helps hotels prepare for the arrival of guests and provides a seamless check-in process.
- Last-Minute Changes : Address the possibility of last-minute changes and provide guidelines on how to handle them. This could include a designated contact person or a procedure for updating the rooming list on short notice.
- Privacy and Security : Stress the importance of protecting sensitive information on the rooming list, such as contact details and room assignments.
How to Use a Rooming List
Using a rooming list involves several key steps to ensure smooth accommodation management for a group. Below we walk you through the steps of how to use a rooming list and explain how EventPipe makes these tasks much easier.
1. Choose the Right Hotel Options
Generally, as you navigate through hotel options, consider factors like location, amenities, and suitability for your group's needs.
Let’s say you’re managing a sports team-building event . These are some considerations that may guide your hotel choice:
- Proximity to Venue : Choose hotels that are conveniently located near the event venue, minimizing travel time for participants and enhancing the overall experience.
- Amenities and Facilities : Look for amenities suitable for a sports team , such as fitness centers, swimming pools, or recreational areas.
- Meeting Spaces : If there are other activities like team meetings, fundraising events , or workshops, choose hotels with adequate meeting spaces.
Hint: EventPipe’s event housing management platform allows event organizers easy access to tens of thousands of hotels through the Hotel Portal. Filters make the initial selection of suitable accommodations more efficient.
2. Request Room Blocks (if Needed)
Requesting room blocks from a hotel involves reaching out to the hotel's group sales or reservations department to secure a specified number of rooms for your event attendees. Here are the steps:
- Research Hotels : Research hotels in your desired location that can accommodate your event. Consider factors such as proximity to the event venue, amenities, and budget.
- Contact the Hotel in Advance : Reach out to the hotel before your event date. Many hotels have limited availability for room blocks, especially during peak seasons or popular event dates.
- Identify Yourself as an Event Organizer : Identify yourself as an event organizer or group coordinator when contacting the hotel. This helps the hotel staff direct you to the appropriate department and provides context for your request.
- Specify Event Details : Provide detailed information about your event, including the event name, dates, and the estimated number of attendees who will need accommodations. If your event has a specific name or code, mention it for easy reference.
- Discuss Room Requirements : Communicate your room block requirements. Specify the number of rooms needed, room types (single, double, suites, etc.), and any specific preferences or requirements.
- Negotiate Group Rates : Inquire about group rates for the room block. If you’re enforcing a Stay to Play policy, hotels often offer discounted rates for groups. Negotiate rates based on the number of rooms you anticipate booking.
- Ask About Concessions : Inquire about any additional concessions the hotel may offer, such as complimentary rooms based on the total number booked, discounts on meeting spaces, meeting planner points, or other perks.
- Understand Booking Policies : Clarify the hotel's booking policies, including deposit requirements, cancellation policies, and any penalties for not meeting the minimum room commitment.
- Request a Contract : If both parties are in agreement, request a written contract outlining the terms and conditions of the room block. This document should include details such as rates, cutoff dates, and any special arrangements.
- Confirm Reservation Process : Understand the hotel's preferred method for attendees to make reservations within the room block. This may involve providing a unique reservation link, using a specific code, or coordinating directly with the hotel.
- Follow-up : Stay in regular communication with the hotel to monitor room block bookings, address any changes or concerns, and ensure a smooth process leading up to the event.
Want an easier way? EventPipe streamlines the hotel Request for Proposal (RFP) process . Users can easily request desired nights, room types, concessions, and complimentary rooms through a user-friendly interface, making it one of the best hotel RFP software tools available.

3. Submit Rooming Lists to Your Hotel
Submitting rooming lists to a hotel involves providing detailed information about the guests and their accommodations to ensure a smooth check-in process. Here's how to do it:
- Collect Guest Information : Gather complete and accurate information about each guest, including their full name, contact details, check-in and check-out dates, room preferences, and any special requests.
- Use a Template or Software : Create a rooming list template using Word or spreadsheet software like Excel. Many hotels provide templates for rooming lists, or you can create customized ones based on your event's needs.
- Include Reservation Details : Indicate the reservation details for each guest, including the number of rooms needed, room types, and any specific instructions or requests.
- Group the Information : Group the information by room or reservation to make it easy for the hotel staff to process. This helps in avoiding confusion and ensures that each guest is assigned to the correct room.
- Communicate with the Hotel : Reach out to the hotel's group sales or reservations department to confirm the preferred method of submission. Some hotels may prefer email, while others may have an online portal or a dedicated contact person for group bookings.
- Submit Well in Advance : Submit the rooming list well in advance of the event, following the timeline specified by the hotel. Early submission allows the hotel to allocate rooms efficiently and address any potential issues.
- Review and Confirm : Before submission, thoroughly review the rooming list for accuracy. Double-check guest names, dates, and any specific instructions. Confirm that the total number of rooms matches your initial reservation.
- Maintain a Copy : Keep a copy of the submitted rooming list for your records. This can be useful as a reference in case of discrepancies or changes.
- Follow-up : After submitting the rooming list, follow up with the hotel to confirm receipt and address any questions or clarifications and who the on-site contact will be in case any issues arise. Maintain open communication to ensure a seamless check-in process.
4. Communicate with Guests
By implementing a well-thought-out communication plan and providing clear and personalized information, you ensure that guests are well-informed and confident about their accommodations through the rooming list process.
- Create a Clear and Informative Communication Plan : Develop a communication plan that outlines when and how you will communicate with guests about the rooming list. Include important dates, such as when the rooming list will be finalized, when guests can expect to receive their accommodation details and any other relevant information.
- Utilize Email : Email is a common and effective method for communicating with guests about the rooming list. Alternatively, if you're using an event platform, utilize its messaging or notification features to keep guests informed.
- Provide Clear Instructions : Communicate the process for accessing and reviewing the rooming list. Include step-by-step instructions on how guests can find their assigned room, check-in details, and any additional information they need to know.
- Offer Support Channels : Provide contact information or support channels for guests to reach out in case they have questions or concerns about their assigned accommodations. This could include a dedicated email address, phone number, or help desk within the event platform.
- Send Reminder Communications : Send reminder communications leading up to the event, reiterating important details about the rooming list, check-in procedures, and any other relevant information. This helps ensure that guests have the necessary information at their fingertips.
- Address Changes Promptly : If there are any changes to the rooming list after its initial communication, promptly inform affected guests. Communicate the reason for the change and provide reassurance that their needs are being prioritized.
Communicating with your attendees is easy with EventPipe. Share instructions, booking links, and other essential info through the app. Attendees benefit from a mobile-friendly website where they can easily view, manage, and track their reservations in one location.
With customizable booking sites, event organizers can build an event in less than 10 minutes. This eliminates the need for coding, allowing organizers to create a branded site with their logo and imagery, where attendees can make their own bookings.
Bonus: the platform also allows attendees to get on a waitlist for sold-out hotels.

5. Try a Rooming List Alternative
Event organizers still utilize rooming lists in modern event production, but their application varies based on event scale, industry norms, and available tools. Despite the ongoing use of traditional rooming lists in specific contexts, their limitations are increasingly evident. Both users and hotels often deem these lists outdated and confusing due to their manual processes and associated challenges.
In contrast, modern events are turning to advanced solutions, such as event management software for more streamlined housing management. EventPipe emerges as a superior alternative, automating processes, improving communication, and offering real-time insights.
Unlike traditional rooming lists, EventPipe addresses the challenges associated with manual methods, providing a more efficient and user-friendly way to manage group travel accommodations. As technology continues to shape the event production landscape, EventPipe stands out as the optimal choice for embracing the future of accommodation management.
Simplify Your Group Travel
While rooming lists have been helpful in the past, the advent of specialized event housing software has led to increasingly seamless travel experiences.
Offering a comprehensive suite of tools, EventPipe transforms the cumbersome task of managing accommodations into a user-friendly, automated, and secure process. Say goodbye to the complexities of manual rooming lists and welcome a new era of efficiency and satisfaction.
Whether you need housing for sports tournaments , corporate events, or any group gathering, EventPipe empowers you to take control of your group travel accommodations.

We look forward to having you live with us!
Quick Access
Housing accommodations, disability housing accommodation approval for returning students.
- All disability housing accommodation requests must be made to Student Accessibility Services (SAS).
- Students seeking or receiving a disability housing accommodation approval must sign the housing contract in the Housing Application on the housing portal by the due date to be eligible to participate in the room selection process.
- Please note if you are a returning student in a residence hall with a window unit, you will not be added to the returning student's early room selection process, as all upper-level halls have cooling systems.
Disability Housing Accommodation Approval for New Students
- If you require housing accommodations due to a disability, please contact Student Accessibility Services (SAS).
- AC Approvals - If you have a disability requiring air conditioning, please contact Student Accessibility Services in the Student Success Office.
- DO NOT WAIT until after the New Student Room Selection process ends, hoping to select a space that accommodates your disability, including air-conditioned buildings. A delay in approvals for accommodations will prevent you from participating in the new student early room selection process, where students can select a space that meets their approved disability needs.
- Students seeking or receiving a disability housing accommodation approval must sign the housing contract in the Housing Application area of the housing portal by the due date to be eligible to participate in the room selection process.
- There are no guarantees that students will be able to select space that meets their accommodation needs during the traditional new student room selection days at the end of the new student room selection week.
Due Dates For Disability Housing Accommodation Requests
- January 6, 2025 – Due date for spring 2025 is for residents to submit new spring 2025 requests or adjustments with Student Accessibility Services .

- Requests will continue to be considered after these dates, but accommodations may be delayed based on space and availability.
Important Reminders
Students approved for religious accommodation must also sign a housing contract before being assigned a space.
Religious accommodations in housing are not automatically renewed for each academic year and must be requested and approved each academic year. An approved housing accommodation does not guarantee that a student will be able to secure on-campus housing, and all upper-level students are subject to the housing lottery unless specifically exempted.
- Requests for religious housing accommodations will be considered case-by-case basis according to documented need. Following a thorough review through the Planning, Strategy & Integrative Practices Office , they will make recommendations as appropriate to Residence Life.
- January 6, 2025 - spring 2025 residents only for spring 2025 requests
- February 3, 2025 - returning students for fall 2025 requests
- April 7, 2025 – summer 2025 requests

- May 30, 2025 - new undergraduate students for fall 2025 requests
For questions, please contact the Planning, Strategy & Integrative Practices Office directly.
Live-On Requirement & Contract Release
- Failure to sign the contract will not release a student from this requirement, and Residence Life will still provide a housing assignment. Our office will follow up with students who are required to live on campus to confirm completion of the housing contract.
- A student is expected to occupy the assigned room unless Residence Life has issued a written notice of approval and/or contract release.
- Students are not considered exempt from the residency requirement if they do not complete a housing application and/or contract. Failure to take possession of the assigned space is not grounds for an exemption to the residency requirement and/or to have associated charges reversed.
When do housing contracts go live?
- January 21, 2025 – Returning students online housing contract for fall 2025
- May 1, 2025 – New students online housing contract for fall 2025
- November 3, 2025 - New and returning students online housing contracts for spring 2026 only
Does the two-year live-on requirement include transfers?
- Traditional transfers - No, traditional transfer students are not included in this requirement.
- Pathways transfers - Yes, Pathways transfers are required to live on campus for their incoming spring semester and the following fall and spring semesters.
Study Away Programs
If you plan to study away in the fall of your sophomore year/3 rd semester, you will be required to live on campus the spring semester of your sophomore year/4 th semester. If you study away in the spring of your sophomore year/4 th semester, you will not be required to live on campus in the fall of your junior year/5 th semester.
If you participate in the Semester in Washington D.C. Program and live in the Washington Program student housing in the fall or spring of your sophomore year, this will count toward your two-year live-on requirement.
Can first- or second-year students be released from the housing requirement?
Generally, the answer is no. However, there are limited circumstances under which a first- or second-year student might request release from the housing requirement.
Reasons for contract release eligibility are limited to the following:
- Students who are married
- Students with dependent children who reside with them
- This option is only considered if Residence Life is unable to provide housing that meets the approved accommodation.
- Students who reside full-time during the academic year at the primary residence of the parent(s) or legal guardian(s) within 60 driving miles from the W&M Williamsburg campus.
Can first-year and sophomore students have cars on campus?
- First-years and sophomores may only have cars on campus under special circumstances, requiring prior written approval from Parking Services .
Need to complete a housing contract and application? Head over to the housing portal .
What do I need to know about applying for a release?
Students enrolled full-time are required to live in on-campus housing during their first two years following their high school graduation unless they apply for and are granted a housing contract release.
Before you look at the requirements for each release, there are a few things to remember.
- The deadlines to request a contract release for the 2024-25 and 2025-26 academic years are by add/drop each semester.
- Meeting the criteria for eligibility for a residency waiver does not mean a student will automatically be granted an approved waiver. It means that their request will be advanced for final consideration.
- A limited number of students will be granted an exemption.
- Do not sign a lease in the community until you have received written approval for your exemption. Signing a lease will not be considered a valid request for a contract release.
Commuter Release
- Students requesting this release must be living at the legal residence of a mother/father or legal guardian (who established guardianship before the student turning 18) AND
- The residence must be located within 60 driving miles of campus.
- The mother/father or legal guardian must live at this residence 5 out of seven days a week.
- The student may NOT live with another current W&M student unless the current student is a sibling and both live at the legal residence of the mother/father or guardian.
Financial Hardship Release
- When the student has a significant verified need for financial assistance as indicated by the Financial Aid Office that grants, scholarships, loans or other available funding identifiable by the university does not fully fund.
- After a residence hall contract is signed, "extenuating financial circumstances" are defined as situations over which the student has had no control (such as loss of parental support due to death, divorce, loss of employment, catastrophic health issues, bankruptcy), which create a financial hardship and which have occurred after the contract was signed.
Disability Release
- Students who are requesting a release based on a disability need that can be supported with documentation should submit the documentation and petition to Student Accessibility Services .
Other Release Types
- Marriage: The student gets married. A copy of the marriage certificate is required for verification.
- Dependent: The student has a dependent. A copy of the birth certificate is required for verification.
- Study Away: The student is accepted into a William & Mary-approved fall study away program. Verification must be received from the Reves Center or the Registrar. Spring study-away requests can be made during the fall semester.
- Wait List Student: The student is actively on the housing wait list and wishes to be removed from the room selection or room assignment process.
- Withdrawing: The student is ending their enrollment at W&M, which may include withdrawing from the university, being academically dismissed or transferring to another institution. Verification is required from the Academic Wellbeing Office or the student program.
Additional Information
- Failure to obtain an approved contract release from Residence Life will result in the posting of the semester housing charges to the student. Any first- or second-year student registered for the fall semester who fails to sign up for housing and has not been approved for contract release will automatically be assigned a room and meal plan and will be responsible for those charges unless a contract release request from the housing contract is completed and approved.
- Nonpayment of this charge may result in the cancellation of classes and/or restriction from registering for any additional classes.
- Any student found to have provided false information on the contract release request form or during this process may be subject to university disciplinary action.
- A student is expected to occupy the assigned room unless a written notice of approval and/or contract release is issued from Residence Life. A student is not considered exempt from the residency requirement or released from their housing contract until Residence Life approves a request in writing. Failure to take possession of the assigned space is not grounds for an exemption to the residency requirement and/or to have associated charges reversed.
Contract Release Submission, Evaluation & Decision Process
- Contract release requests must be submitted on the contract release page of the housing application.
- Any contract release request not completed within thirty (30) days of initiation will be discarded.
- Contract release requests will be reviewed based on current policies stipulated in the housing contract.
- Applicants will be notified of the decision in writing.
- Release request decisions are final. There is no appeal process.
- Residence Life generally will respond to initial requests within fifteen (15) business days.
- Contract release requests will not be reviewed after add/drop, both fall and spring semesters.
Where to Submit a Housing Contract Release Request
You will need to log into the housing portal under the 2024-2025 housing application or 2025-2026 housing application (as pertains to your situation) and select the Contract Release Request page to submit a request.
- Students required to live on campus - High school graduation years 2024 and 2025
- Spring 2025 study away students
- Students who obtain a 2025-26 room assignment through Same Room Sign Up by 5 pm on Tuesday, February 11, 2025
- Living-learning communities such as Africana House, Mosaic House and the Global Village
- St Andrews William & Mary Joint Degree Programme students currently at St Andrews who sign the housing contract in the 2025-26 housing application by the published due date
- 1693 Scholars
- Spring 2025 newly admitted Pathways transfer students
- Fraternity and sorority housing
- Roommates of approved early room selection students with a room selection time slot
- Some students will withdraw from the room selection process for various reasons, such as study abroad opportunities and other changes to circumstances. When this happens, reinstated students will be contacted with either a room selection time slot or assignment as these spaces open.
- If you plan to live with a not wait listed roommate, they will not be able to hold a space for you or pull you into their room while you are on the wait list.
- When students are wait listed, reinstatements are randomly issued as space becomes available, meaning there is no ongoing numbered wait list. Our assignment system randomly identifies a wait listed student each time a space is vacated. There is no specific order to the waitlist.
- After completing the room selection process, reinstated students will be emailed a room assignment as space becomes available throughout the spring and summer. We will continue to assign newly available spaces to reinstated students.
- Wait list students are housed before former students, transfer students (except for designated transfer spaces), and currently enrolled students who did not sign a 2025-26 housing contract by 5pm on February 11, 2025.
- As a wait listed student who is not required to live on campus, you are permitted to seek off-campus housing and request cancellation of your housing application without penalty while there is an active wait list.
- If you want to begin an off-campus search, we recommend starting with the Williamsburg Off-Campus Housing site.
- To submit a request to cancel your contract, please return to the "Contract Release" page of your 2025-265 housing application on the housing portal , read the information listed there, select the “Wait Listed Student Release” option, acknowledge your request on that page and click "Save & Continue" at the bottom of the page. After the Residence Life staff reviews your request, they will send a follow up email.
Why is there a wait list for housing?
A wait list happens when the demand for on-campus housing exceeds our available space.
Are currently wait listed students charged a fee to be released from their housing contract?
No cancellation fee would be applied for a currently waitlisted student who is granted a Wait Listed Student housing contract release.
How many people are on the housing wait list?
While we do not anticipate a housing wait list for the 2025-26 room selection cycle, Residence Life staff is experienced in handling wait lists in the event one is needed for those students who are not required to live on campus. If a wait list is needed, we expect the number of wait listed students to change (and decrease) daily as students decide on their housing and academic plans.
How does the housing wait list work?
When students are waitlisted, reinstatements are randomly issued as space becomes available, meaning there is no ongoing numbered waitlist. Our assignment system randomly identifies a waitlisted student each time a space is vacated. There is no specific order to the wait list. Reinstated students will be emailed a room assignment as space becomes available throughout the spring and summer. We will continue to assign newly available spaces to reinstated students through the end of add/drop as long as there is an active housing wait list. It might be easier to think of the wait list as a "pool" rather than a "list."
When will I be placed in on-campus housing?
It is impossible to provide a specific answer to this question. Residence Life will continue to place wait listed students into housing as space becomes available through the end of add/drop as long as there is an active housing wait list.
How can I find off-campus housing?
- The Williamsburg Off-Campus Housing website is a good starting place.
- Join the College of William and Mary (W&M) Housing, Sublets and Roommates Facebook group.
- Talk with friends who live off campus — often, they pass leases/spaces on to other students from year to year.
- W&M is planning an Off-Campus Housing Fair. Watch for details on social media.
I thought housing was guaranteed for four years. Is this not true?
In the modern era, W&M has never guaranteed housing for four years.
I don't have a car. How am I supposed to get to and from campus?
WATA (Williamsburg Area Transport Authority) provides free bus transportation to all W&M students. We recommend that as you search for an off-campus location, you consider proximity to a bus stop if you need public transport.
What if I can't afford to live off campus?
There are a wide variety of properties and price points off-campus. We recommend you search for spaces that are suitable to your budget.

New Approaches to Room Allocation or Which Room Gets Assigned to Which Guest?
Updated: Sep 14, 2023
Reservations are still primarily managed manually in most hotels. However, is this approach still appropriate given the current staffing levels and new employee profiles? Is manual room allocation truly the best method to optimize your room plan? What criteria influences these decisions? Or should we consider assigning rooms upon arrival and disregarding guest preferences?
Determining which room is assigned to each reservation has largely remained a completely manual process in the hotel industry. While there are Property Management Systems (PMS) that now automatically allocate reservations within categories, this is based on basic rules and often requires manual adjustments by staff due to changes in occupancy and demand. This can lead to reassigning previously allocated reservations to different rooms. The effort and time that hotels invest in room allocation and the regular shuffling (sometimes referred to as a "Tetris game") can take up several hours per day, especially for larger properties with high occupancy.
Effective room allocation that takes various criteria into account is not only labor-intensive but also results in accommodating guest preferences and profiles, allowing guests to check into the room that suits them upon arrival. For manual room allocation, there are numerous tutorials available, and hotel chains provide additional guidelines to be considered by the front desk team during the assignment process.
Some hotel employees, due to their long-term tenure at the same property, are not only highly skilled at performing this task but also find it fulfilling when they allocate reservations after hours of work, managing to create gaps for additional requests or fulfilling guest preferences.
However, reality presents a slightly different picture. On one hand, there's a shortage of skilled labor, and employees are expected to handle a wider range of tasks. On the other hand, there's a decreasing number of staff members who stay at the same property long enough to know every room and allocate reservations effectively. Manual room allocation and the need to make changes to a confirmed booking add extra (work) costs. These costs are often not accounted for in the hotel industry and are recorded as general front desk activities, which significantly reduce profits and guest-facing time. Reservations are sometimes assigned based on individual employee preferences, and under high pressure, reservations are shifted simply to fill gaps in the room plan as efficiently as possible, regardless of the room's value or category. Free upgrades become necessary in such cases. Optimizing the room plan is an ongoing process, especially during peak occupancy periods.
Why is it so difficult to implement room assignments correctly?
In addition to the multitude of criteria that an employee would need to consider when making assignments, the employee also needs a deep inventory knowledge to carry out a suitable allocation.
Among the additional criteria are, for example: guaranteed versus non-guaranteed bookings, direct bookings versus bookings through third-party channels or specific providers, bookings for families, seniors, guests requiring accessible rooms, adjoining rooms, specific bed configurations, and other guest preferences, repeat guests, check-in and check-out times, etc.
The complexity that comes with effective room allocation is undeniable. Additionally, gaps in the room plan must be minimized, especially since these gaps cannot be automatically sold and could lead to revenue losses, particularly during periods with minimum stay requirements if gaps cannot be sold – for example, over the phone.
While long-serving employees might still find this task meaningful, a closer examination of this workflow raises the question of how feasible and contemporary it is to carry this out with reduced staffing. It's worth considering whether younger generations of employees would value this task in the same way or simply view it as an additional burden to complete without taking into account the aforementioned points.
How can a room plan be optimally utilized?
One approach could be to only assign reservations upon arrival and disregard any preferences or requests. However, this contradicts the goals of any hotelier who aims to meet the needs of their guests and provide them with an unforgettable stay. Moreover, such a strategy is more likely to result in overbooking of room categories, an increased number of complimentary upgrades, and negative guest feedback. Effective demand management also involves considering stay restrictions to minimize gaps in occupancy, and last-minute room assignment is suboptimal in this context.
The fundamental issue lies not only in the lack of skilled personnel, lack of knowledge about the property, or time for allocation but mainly in the fact that room inventory isn't detailed enough in systems to be used as criteria for assignment.
However, who says that room inventory must continue to be managed solely within categories, and how can artificial intelligence be better employed in this case?
Room assignments using artificial intelligence every room assignment involves certain considerations: Should the guest's preference be taken into account to satisfy them, or should short-term revenue be optimized? With a detailed inventory structure and the use of artificial intelligence, an optimal room assignment solution can be created dynamically, adapting to the desired strategy with each new booking situation.
It's comparable to the invention of the washing machine: While you still need to put the laundry in the drum, set the wash program, and press start, from that moment on, you save an immense amount of time, and the result is much better than continuing to wash the laundry by hand.
The tasks and requirements for hotel employees are constantly changing, much like in many other industries. However, the hospitality sector is a service industry where the primary focus is on providing guests with a service and ensuring a positive stay experience.
The cloud-based technologies available in the hospitality industry not only allow many tasks to be carried out from different locations (remotely), but also enable employees to have more time available for guests. This is achieved by digitizing and ideally automating downstream operational processes.
An optimized room plan is just one of many operational tasks that can be automated using intelligent technology in the future. Such automation could significantly reduce the current workload while simultaneously efficiently accommodating guest preferences and room plans to maximize revenue for the establishment.

Room Assignments
Learn about the housing and roommate preference process before room selection begins in June for first-time incoming freshmen. If you are a returning resident, please see our returning residents page.
Housing Preferences
Explore our on-campus residence halls and our Living Learning Communities (LLCs) to determine your housing preferences. After you sign and return your housing contract and satisfy the $300 advance payment, you will be able to submit your housing preferences online . Here you can indicate:
- Your five residence hall preferences
- Your Living Learning Communities preferences
- Your bathroom preferences (community vs. shared/private)
- Your roommate preference
If you change your mind after you enter your preferences, you can always log back in and update them before room selection. Room selection timeslots are assigned in housing application date order, not in the order housing preferences were submitted. We will assign rooms to students who miss their room selection timeslot based on their preferences and roommate profile matches.
Once you receive a contract offer and pay your $300 advance payment, you have access to the Roommate Groups page in your housing portal. This page gives you the option to search for roommates by details (gender, age, college, major or UT EID), profile questions or profile percentage match (the housing portal gives a percentage match based on the answers to students’ profile questions).
If you would like to share your room with a specific person, you will need to indicate your roommate preference. Students can submit a roommate request, and once approved, they will be paired together. The student with the earlier room selection timeslot will select the room assignment for both students in the roommate pair based on available space.
If you already have a roommate or roommate group in mind, you have the option to “join a group” by searching for that group name or by UT EID to request a specific student.
Many students opt for a random roommate assignment (the “potluck” option). When going this route, you still participate in the room selection process and place yourself in a room with another student in it. When looking at the room, you will be able to see the profile information of the student already in the room to help with your selection.
If our office assigns your room, we will use your age, classification, major and profile percentage match to pair you with an appropriate student. Please note that supplemental contract holders are unable to request or accept roommate requests.
Room Selection FAQs
The room selection process begins in early June for first-time incoming freshmen. The room assignment process for Living Learning Communities begins June 1.
Applicants who apply early are more likely to be able to select a preferred housing assignment. Since the housing application opens on August 1, students who wait to apply may not receive their top housing preferences. This does not mean that applicants who apply late will not be able to live on campus. While housing is not guaranteed, we aim to offer housing contracts to as many incoming first-time freshmen as we can.
Students who do not participate in the room selection process will be manually assigned based on their preferences and roommate profile matches. These assigned rooms can be found on your housing application portal in early July. Please note that this does not pertain to the majority of students; it mostly applies to students who receive supplemental contracts or contracts later in the process.
Housing contract offers, notifications and confirmations are sent by email. Update your contact information (including your email address) whenever something changes so you receive communication from us.
Residence halls open for the fall semester in late August. Check the Academic Calendar for the residence hall opening and closing dates.
Elon Musk may already be overstaying his welcome in Trump's orbit
Tech billionaire Elon Musk was handed a major win Tuesday evening when President-elect Donald Trump announced that the Tesla and SpaceX CEO would co-lead a new “Department of Government Efficiency” with Vivek Ramaswamy.
The announcement reinforces the closeness Musk has managed to achieve with Trump, even after the election. But for some people in Trump’s orbit, Musk’s presence has felt overbearing.
Musk has been so aggressive in pushing his views about Trump’s second term that he’s stepping on the toes of Trump’s transition team and may be overstaying his welcome at Mar-a-Lago, Trump’s home in Palm Beach, Florida, according to two people familiar with the transition who have spent time at the resort over the past week.
The sources said Musk’s near-constant presence at Mar-a-Lago in the week since Election Day had begun to wear on people who’ve been in Trump’s inner circle longer than he has and who see him as overstepping his role in the transition. The sources spoke on condition of anonymity because they’re not authorized to speak publicly.
“He’s behaving as if he’s a co-president and making sure everyone knows it,” one of the people said.
“And he’s sure taking lots of credit for the president’s victory. Bragging about America PAC and X to anyone who will listen. He’s trying to make President Trump feel indebted to him. And the president is indebted to no one,” this person added.
Musk didn’t immediately respond to a request for comment Tuesday.
In a statement, Trump-Vance transition spokeswoman Karoline Leavitt said: “Elon Musk and President Trump are great friends and brilliant leaders working together to Make America Great Again. Elon Musk is a once in a generation business leader and our federal bureaucracy will certainly benefit from his ideas and efficiency.”
In another statement, a separate Trump-Vance spokesperson, Anna Kelly, said: "Elon Musk is a genius, an innovator, and has literally made history by building creative, modern, and efficient systems. Elon Musk has dedicated himself to America’s future by offering to serve with President Trump to ensure our government works more efficiently and uses America’s taxpayer dollars effectively."
Musk traveled to Mar-a-Lago to watch the election returns come in last week, and he has been there much of the past week, the two sources said. They said he is there at all hours, sitting with Trump and joining calls and meetings.
Musk has been involved in sensitive conversations, even before his role in the administration was announced, including having briefly joined a phone call last week between Trump and Ukrainian President Volodymyr Zelenskyy.
The second person said that Musk has an “opinion on and about everything” and that he shares them so forcefully that he has begun to pester Trump insiders.
“He wants to be seen as having say in everything (even if he doesn’t),” this source said.
The person said some Trump advisers said they were concerned that Musk didn’t understand one key to being effective in Trump’s world: keeping a low profile. Musk’s engagement has been overly aggressive and may hurt his standing in the long run, the source said.
The second source also said Musk appeared to be pushing his own agenda, instead of focusing on Trump’s. They said that while Musk is clearly a smart and capable person, the transition is about ensuring those loyal to Trump will be the ones carrying out government policies.
“Appointing people because they are loyal to Elon doesn’t work,” the source said.
In a meeting with House Republicans on Wednesday morning, Trump spoke fondly of Musk, according to two lawmakers in the room, praising him for his time and dedication to the election. Trump said Musk set aside his own business interests for the campaign and didn’t ask for anything in return. At one point, Trump joked about Musk’s continued presence in his orbit, saying: “Elon won’t go home. I can’t get rid of him.” The lawmakers insisted the statements were made in jest.
Musk has been among Trump’s most energetic supporters. His super PAC spent more than $152 million to elect Trump and other Republican candidates, with much of the money coming from Musk himself. He held rallies for Trump in battleground state Pennsylvania, offered $1 million daily giveaways for registered voters and turned his social media app, X, into a megaphone for Trump .
In posts on X in the past week, Musk has pushed various policy ideas, including deporting immigrants and slashing government spending.
“Very productive day of work by the transition team,” Musk posted Monday night in a response to Cantor Fitzgerald CEO Howard Lutnick, one of the two advisers leading the transition .
Musk has also shared photos from Mar-a-Lago, including a photo with him and the extended Trump family. On Sunday, one of Trump’s grandchildren, Kai Trump, posted a photo on X of herself with Musk, writing that he was “achieving uncle status.”
Musk’s private jet landed in West Palm Beach , near Mar-a-Lago, Tuesday of last week and was there for about 24 hours, according to the @ElonJet account on Bluesky, which uses publicly available flight data. The plane took off from West Palm Beach last Wednesday and headed to Austin, Texas, where Musk has a home, but then it landed again in West Palm Beach on Friday and has been there for the four days since then, according to the account. It’s not clear whether Musk was on the jet for every flight.
The relationship between Musk and Trump has been rocky over the years, despite their recent alliance. Musk said in 2022 that Trump should “hang up his hat & sail into the sunset,” prompting Trump to hit back at the time that Musk would be “worthless” without government subsidies.
There has been intense speculation about the long-term viability of the relationship, given the ambitions and personalities of the two men, with many people on social media predicting an eventual falling-out.
But Musk has already gained since the election in one respect: Tesla’s share price has risen more than 15% from last Wednesday’s opening price, outpacing the 1.8% growth in the S&P 500 over the same period .

Housing & Residence Life FAQ
Freshman students, live-on requirement.
The first-year live on requirement at the university is fulfilled by both the residence halls and through living in house with Fraternity & Sorority Life .
Will there be space for me in the residence halls?
We have housing available to every first-year student who would like to live on campus. For the most recent updated housing availability, log-in to your housing application to view available rooms.
When I try to sign up for a room I am unable to see any available.
Students who are unable to see any available rooms should try the following options:
1) If you selected a specialized community on the "Choose your community" tab, the spaces may have filled. Navigate back to the "Choose your community" page and select "academic traditional" at the bottom of the page. Then click "save and continue" until you reach the room selection page.
2) If you are in a roommate group, there may no longer be spaces available to accommodate the entire group. If you leave the group, you will see additional room options on the room selection page.
North Campus Communities Information
Where can i find out more about the ncc residence halls.
We have created a new FAQ page dedicated to answering your questions about the North Campus Communities. Visit the NCC FAQ Page for more information.
What if there is damage in my room when I move-in?
Our team puts in a great deal of effort to make sure your room is clean and in good condition. Rooms may have some normal wear from usage over time. Items such as small paint chips, scratches in wood/painted furniture, or pinholes in cork board are considered “normal wear”. It is the responsibility of each student to inspect their space at move-in and report the condition of the space.
All residents must complete a Room Condition Report within 72 hours of check-in.
To submit your Room Condition Report please visit our online Room Condition Form
Responsibility for Room Condition Information Document
What size sheets will I need for my bed?
Our beds are standard deep twin XL size.
What comes in my room?
Residence hall rooms are furnished with:
- Extra-Long Twin Bed
- Desk and Chair
- Dresser or Wardrobe (depending on building)
- Garbage Bin (recycling bins are available upon request)
All items must remain in room.
Are mini fridges provided?
Yes we provide mini fridges so there is no need to bring one from home. There is one mini fridge provided per room in Wallace, Tower and McConnell. The LLCs come with a full size refrigerator and microwave in each suite.
Who cleans my bathroom?
Lounges, hallways, other common spaces and the Tower and McConnell residence hall bathrooms are cleaned daily by our dedicated custodial staff.
Students living in the LLCs and Wallace residence halls are responsible for cleaning their bathrooms.
What is a residence hall agreement?
The residence hall license agreement is a binding commitment to live on campus for the duration of the agreement contract. The University of Idaho residence hall license agreement includes both room and meals.
Can I live on campus during the winter break?
Yes and No. Students living in the LLC may continue to be on campus during winter break. Students with winter break housing needs should work directly with the housing office to make housing arrangements.
I lost my VandalCard and cannot get into my room!
Residence Hall students who have lost their VandalCard can get a temporary key from the Information Desk. The Information Desk will provide a temporary key during their hours of operation. If you have lost your VandalCard while the Information Desk is closed please contact the RA on call using the number located in your hall.
Can I apply to live with my friend?
Absolutely. In order to room with a friend, choose the same room during the Housing application process.
Students who would like to live together, but not in the same room, can choose Wallace Residence Center and the Living Learning Communities. Suite style options are a great choice for students wanting to live together but not wanting to share a bedroom.
What if my roommate and I don’t get along?
We want you to be happy and comfortable living on campus. The first step to take if you and your roommate are having a hard time adjusting to living together is to talk with your RA. If you still feel you must change rooms, please visit the housing office, and we will help you apply for a room change.
There are no room changes during dead week and finals week.
Are single rooms available?
Yes. Each year we are able to approve a limited number of room “buy outs” in Theophilus Tower and Wallace Residence Center. This means students buy the other half of the double-capacity room.
If interested, email [email protected] to let us know you would like a single room. We let you know within a few days if we can approve your request.
If my roommate moves out, can I keep the room to myself?
Yes and no. Students have seven days after their roommate leaves to declare they would like to buy out the other half of the room. Students may also choose to move out and choose a single room (if rooms are available). If students do not declare the desire to purchase the other half of the room, housing will begin the process of moving in another student.
Please note: housing can not guarantee single rooms if there is no availability.
How is safety and security on campus?
Resident safety and security is important to us.
Each residence hall is protected by a VandalCard reader that unlocks the door for residents of the building. Students are encouraged to keep the doors to their rooms locked and follow common sense safety precautions.
Resident Assistants also do nightly rounds of the buildings to ensure safety and enforce quiet hours. Additionally, campus security does two random rounds with RAs per day.
For more information, contact [email protected] or 208-885-7233 (SAFE).
General Precautions
The University of Idaho has several precautions to ensure a safe and secure environment. Each residence hall is protected by a VandalCard ID reader that unlocks the exterior door for residents to enter the building. Exterior doors are locked 24 hours a day.
Is campus security near the residence halls?
Yes. Housing and Residence life works directly with Moscow Police to ensure safety in the residence halls. Campus Security also does nightly rounds of residence hall buildings, student safety checks and a 24-hour a day campus free campus security walking service. For more information on the Safe Walk program, go to Security Services site.
Where can I go for help?
There are several options you can go to for help.
Information Desk, located in the Living Learning Communities is available for all students 24/7 every day. Students can visit the desk for emergencies, room lock-outs, lost keys, disturbances, complaints or any other safety needs.
Each hall has an RA on call number you can contact. Numbers are posted in each hall.
Campus Security

Fire Safety
Due to the risk of fire, the following items are prohibited in the Residence Halls: candles, incense, flammable liquids and cooking appliances with open heating elements. All small appliances, like coffee makers, must be equipped with an automatic shut off option. Items are not allowed to be hung on sprinkler heads located in rooms and hallways

Property Safety
Make sure to lock your room door, take your key each time you leave your room and do not leave property unattended. Most on-campus thefts are crimes of opportunity, meaning that they can be prevented by keeping personal property locked up.
Public Transportation & Parking
Do i need a car, no vehicle no problem.
U of I is a beautiful, walkable campus adjacent to downtown Moscow. With free public transportation and nearly 2,500 bicycle rack spaces, your educational experience can truly be vehicle-free.
Where can I park my personal vehicle?
Parking on campus is extremely limited and students outnumber parking spaces. Students must purchase a parking permit before they bring their vehicle to campus. Residence Hall students are eligible to purchase a Silver or Economy parking permit from Parking and Transportation Services . Parking permits go on sale online starting July 6, 2022, for the fall semester. Students who do not purchase a parking permit before they arrive should not bring their vehicles to campus. Note that parking a motorcycle on campus does not require a parking permit.
Read more about student parking permits on the Parking and Transportation Services website .
Is there somewhere to store my bicycle?
The University of Idaho encourages bicycle transportation. Designated bike racks at located outside the entrances of Wallace Residence Center, McConnell, Tower and Living Learning Communities.
Please stop by the housing office if you would like to store your bike indoors. We have limited spaces available in Wallace, McConnell and the Tower residence halls. The housing office is located on the second floor of Wallace Residence Center.
Where can I park my motorcycle?
There is motorcycle parking near the residence halls and no parking permit is necessary. You may not store motorized vehicles inside your room or residence hall at any time.
Mail, Facilities and OIT Support
How does mail work for students living in the residence halls.
Students can pick up their mail at the LLC Information Desk located in Living Learning Community Building 2.
A VandalCard or other form of identification is required to pick up mail.
All students have an assigned MSC number which is unique to the student. The MSC number is required for the student to receive mail. Any mail that does not have the student's name and MSC number will be returned to sender. Students with a fall booking will be sent their MSC number for receiving packages in late July. This information will also be provided when they check into their room.
If a student wishes to have mail sent to be ready for move-in, they can start sending mail to their student mailing address 10 days prior to move-in day.
Are there free laundry facilities available?
Absolutely! Washers and dryers are located in all buildings and are free to use. You only need to provide your own soap and dryer sheets. Ask your RA on which floor your nearest laundry room is located. Use of our laundry machines for all residents is free.
Are there computers and printers for me to use?
Yes. Each residence hall has computer labs with printing capabilities. The LLCs are the exception. However, all students are welcome to use the large public computer lab in the bottom floor of Wallace Residence Center. All full-time students receive 250 pages of printing per semester.
How do I connect my network-compatible devices to the main campus network?
Many network-compatible devices, such as game consoles and smart TVs, do not work on the main campus networks AirVandalGold and AirVandalHome. Instead, they will need to first be registered at help.uidaho.edu/avsetup , then connected to the AirVandalGuest network. Connecting a wired device (Ethernet) will also require registration of the device at help.uidaho.edu/avsetup. For support or questions, contact the Student Technology Center at 208-885-4357 or submit a ticket online at oit.uidaho.edu .
