Speechwriting 101: Writing an Effective Speech
Whether you are a communications pro or a human resources executive, the time will come when you will need to write a speech for yourself or someone else. when that time comes, your career may depend on your success..

On the flip side, solid speechwriting skills can help launch and sustain a successful career. What you need are forethought and methodical preparation.
Know Your Audience
Learn as much as possible about the audience and the event. This will help you target the insights, experience or knowledge you have that this group wants or needs:
- Why has the audience been brought together?
- What do the members of the audience have in common?
- How big an audience will it be?
- What do they know, and what do they need to know?
- Do they expect discussion about a specific subject and, if so, what?
- What is the audience’s attitude and knowledge about the subject of your talk?
- What is their attitude toward you as the speaker?
- Why are they interested in your topic?
Choose Your Core Message
If the core message is on target, you can do other things wrong. But if the message is wrong, it doesn’t matter what you put around it. To write the most effective speech, you should have significant knowledge about your topic, sincerely care about it and be eager to talk about it. Focus on a message that is relevant to the target audience, and remember: an audience wants opinion. If you offer too little substance, your audience will label you a lightweight. If you offer too many ideas, you make it difficult for them to know what’s important to you.
Research and Organize
Research until you drop. This is where you pick up the information, connect the ideas and arrive at the insights that make your talk fresh. You’ll have an easier time if you gather far more information than you need. Arrange your research and notes into general categories and leave space between them. Then go back and rearrange. Fit related pieces together like a puzzle.
Develop Structure to Deliver Your Message
First, consider whether your goal is to inform, persuade, motivate or entertain. Then outline your speech and fill in the details:
- Introduction – The early minutes of a talk are important to establish your credibility and likeability. Personal anecdotes often work well to get things started. This is also where you’ll outline your main points.
- Body – Get to the issues you’re there to address, limiting them to five points at most. Then bolster those few points with illustrations, evidence and anecdotes. Be passionate: your conviction can be as persuasive as the appeal of your ideas.
- Conclusion – Wrap up with feeling as well as fact. End with something upbeat that will inspire your listeners.
You want to leave the audience exhilarated, not drained. In our fast-paced age, 20-25 minutes is about as long as anyone will listen attentively to a speech. As you write and edit your speech, the general rule is to allow about 90 seconds for every double-spaced page of copy.
Spice it Up
Once you have the basic structure of your speech, it’s time to add variety and interest. Giving an audience exactly what it expects is like passing out sleeping pills. Remember that a speech is more like conversation than formal writing. Its phrasing is loose – but without the extremes of slang, the incomplete thoughts, the interruptions that flavor everyday speech.
- Give it rhythm. A good speech has pacing.
- Vary the sentence structure. Use short sentences. Use occasional long ones to keep the audience alert. Fragments are fine if used sparingly and for emphasis.
- Use the active voice and avoid passive sentences. Active forms of speech make your sentences more powerful.
- Repeat key words and points. Besides helping your audience remember something, repetition builds greater awareness of central points or the main theme.
- Ask rhetorical questions in a way that attracts your listeners’ attention.
- Personal experiences and anecdotes help bolster your points and help you connect with the audience.
- Use quotes. Good quotes work on several levels, forcing the audience to think. Make sure quotes are clearly attributed and said by someone your audience will probably recognize.
Be sure to use all of these devices sparingly in your speeches. If overused, the speech becomes exaggerated. Used with care, they will work well to move the speech along and help you deliver your message in an interesting, compelling way.

Whether in a work meeting or at an investor panel, you might give a speech at some point. And no matter how excited you are about the opportunity, the experience can be nerve-wracking .
But feeling butterflies doesn’t mean you can’t give a great speech. With the proper preparation and a clear outline, apprehensive public speakers and natural wordsmiths alike can write and present a compelling message. Here’s how to write a good speech you’ll be proud to deliver.

Good speech writing is the art of crafting words and ideas into a compelling, coherent, and memorable message that resonates with the audience. Here are some key elements of great speech writing:

A great speech includes several key qualities, but three fundamental elements make a speech truly effective:

- Introduction: The introduction sets the stage for your speech and grabs the audience's attention. It should include a hook or attention-grabbing opening, introduce the topic, and provide an overview of what will be covered.
- Opening/captivating statement: This is a strong statement that immediately engages the audience and creates curiosity about the speech topics.
- Thesis statement/central idea: The thesis statement or central idea is a concise statement that summarizes the main point or argument of your speech. It serves as a roadmap for the audience to understand what your speech is about.
- Body: The body of the speech is where you elaborate on your main points or arguments. Each point is typically supported by evidence, examples, statistics, or anecdotes. The body should be organized logically and coherently, with smooth transitions between the main points.
- Supporting evidence: This includes facts, data, research findings, expert opinions, or personal stories that support and strengthen your main points. Well-chosen and credible evidence enhances the persuasive power of your speech.
- Transitions: Transitions are phrases or statements that connect different parts of your speech, guiding the audience from one idea to the next. Effective transitions signal the shifts in topics or ideas and help maintain a smooth flow throughout the speech.

You know what message you want to transmit, who you’re delivering it to, and even how you want to say it. But you need to know how to start, develop, and close a speech before writing it.
Think of a speech like an essay. It should have an introduction, conclusion, and body sections in between. This places ideas in a logical order that the audience can better understand and follow them. Learning how to make a speech with an outline gives your storytelling the scaffolding it needs to get its point across.

How to write a compelling speech opener
Some research shows that engaged audiences pay attention for only 15 to 20 minutes at a time. Other estimates are even lower, citing that people stop listening intently in fewer than 10 minutes . For instance, if you're addressing a group of healthcare professionals, you'll want to use medical terminology and data that resonate with them. 3. Choose a clear message
Your message should be the central idea that you want your audience to take away from your speech. Let's say you're giving a speech on climate change. Your clear message might be something like, "Individual actions can make a significant impact on mitigating climate change." Throughout your speech, all your points and examples should support this central message, reinforcing it for your audience.

Whatever the topic, a good speech should showcase your authority on a topic and demonstrate excellent communication and leadership skills.
Many people don't know how to write a speech, so the process seems daunting. But there are a few best practices and tips that can make the writing process easier.
In this article, we’ll discuss some best practices to help you write an effective speech that engages and captures your audience.
Public speaking can be nerve-racking. However, having a well-written speech can decrease some of that anxiety.
Even if you’ve never written a speech before, there are still best practices you can follow.
An engaging speech should be clear, to the point, and follow a logical order. But how do you ensure your speech follows these criteria? Follow these nine engaging speech writing tips.
Know Your Audience
Analyze your target audience to improve the effectiveness of your speech because different audiences will have different expectations.
Consider your audience’s age, level of understanding, attitudes, and what they expect to take away from your speech, then tailor your message accordingly.
For example, if your audience members are teenagers, it’s unlikely that references to the ’70s will be effective.
Start With a Clear Purpose
Decide on the main point of your speech, and make sure all your content supports that point. Choose a topic that fits the following criteria:
A topic that is relevant to your audience
A topic you’re excited about

Organize Your Ideas
Use a speech outline to organize your thoughts and ideas logically.

Use Strong, Clear Language
Choose your words carefully, and use simple language that is easy to understand. Avoid jargon or technical terms that your audience may not be familiar with.
Again, your word choice will depend on your audience. For example, you’ll want to steer clear of slang when speaking to an older, conservative crowd.
Use Transitions
Speech transitions are words and phrases that allow you to move smoothly from one point to another. Use transitional words and phrases like “besides” to help your audience follow your thought process and understand how your points are connected.
Add Variety to Speech
A speech that is monotonous or lacks variety may cause your audience to lose interest.

Practice, Practice, Practice

How to Write a Good Speech Introduction
The introduction can make or break your speech. It’s where you grab your audience’s attention to keep them engaged and state the purpose of your speech.
An introduction also gives you the opportunity to establish your credibility. You should aim to give your audience a reason to listen to the rest of the speech rather than tuning out.
Here are some tips on how to create a positive first impression.
Start With a Hook
Begin your introduction with a hook that will grab your audience’s attention and make them want to listen. There are several options for a hook:

A personal anecdote
Reference to a current or historical event
When thinking of an attention grabber, consider how appropriate and relevant it is to your audience and the purpose of the speech. For example, if you’re giving a speech to an older audience, you can make a historical reference that they can easily relate to.
Provide Context
Provide context by giving your audience some background information about the topic of your speech. This will help them understand the importance of what you are talking about and why they should care.
State Your Thesis
Clearly and concisely state the main point or purpose of your speech. Your thesis should be easy to follow and clearly outline the main argument and your stance. This will give your audience a clear understanding of what they can expect to learn from your presentation.
Preview Your Main Points
Give your audience a sense of the structure of your speech by briefly outlining the key points or arguments you will be making. They’ll know what to expect, and your speech will be easier to follow.
Keep It Short

How to Write a Short Speech
Short speeches may be the most tedious to write because of how condensed and concise the information has to be. However, if you ever have to give a farewell, birthday tribute, or just a quick welcome, there are still some tips available to make your speech great.
Start by identifying your topic, title, and the purpose of your speech, which will set the foundation of your outline. Then, determine the main points of your speech; keep it short with two to three points. Remember, a short speech is typically less than ten minutes long, so keep your points concise and to the point.
Since you have limited time to make the most impact, incorporate powerful words or other engaging elements. For example, you could throw out a thought-provoking question or anecdote, which will grab your audience’s attention and keep them engaged.
Finally, once you’ve written your speech, review it for brevity and clarity.

How to Write a Presentation Speech
A presentation speech is used to inform, persuade, explain, or demonstrate a particular topic.
Presentation speeches are well structured and follow a logical flow. They have an introduction, body, and conclusion. Use transition words and phrases to help your speech flow smoothly and prevent it from appearing disjointed.

How to Write a Debate Speech
A debate is a formal argument on a particular topic. Debate speeches are persuasive since the aim is to convince the audience to agree with a stance.
Like most other speeches, a debate speech also follows the introduction, body, conclusion outline. This format helps the audience follow the speaker’s point in a linear and logical way.
When writing your introduction, clarify your stance so it’s clear to the audience. Anyone reading or listening to your speech shouldn’t have any doubt about your position on the topic. Take some time to prepare a solid opener, which can be an interesting fact, a personal story, or even a powerful quote.

Each body paragraph should cover a main point, whether that’s a key idea or a main claim, and each paragraph should begin with a topic sentence. The topic sentence is an initial sentence that summarizes the idea being presented.
Your conclusion should be a simple and clear reiteration of the points you made in the thesis statement and body paragraphs. Add an attention-grabbing element to leave a lasting impression on your audience.
Remember to use strong and emotive language throughout your speech, which makes it more likely for your audience to feel emotionally connected to your stance.
Always use transition words and phrases to maintain a logical flow between your arguments. Finally, edit and proofread your work for any potential grammar, punctuation, or spelling mistakes.
How to Write an Elevator Speech
An elevator speech is a brief speech that’s used to pitch a product, service, expertise, or credentials.
You have 30–60 seconds to persuade someone to act how you’d like: the same time as a quick elevator ride.
An effective elevator speech should contain an introduction, a clear value proposition, and a strong conclusion.
Your introduction should be polite and clear. Briefly explain who you are, what you do, and what you are offering. For example, if you’re pitching your expertise, condense your background into two sentences. Include things that will make your audience remember you.
End your speech with what you want to achieve. What are you trying to accomplish with this speech? Perhaps it’s a job opportunity, a follow-up meeting, or an internship.
Once you’ve written your speech, be sure to revise it for brevity. Then practice and record yourself to ensure you don’t go over the time limit.
Writing a good speech takes time, but these tips are a good start to improving your speech-writing process. If you encounter writer’s block, look up popular speeches for inspiration. Ask someone you trust to give you feedback once you’ve written your speech.

How to Build a Speech
Structure, stories, and word choice are all key to crafting a compelling presentation..

There was a time when flowery, dense language was the standard for public speaking—18th-century North America, for instance. Here is the beginning of George Washington’s 1796 farewell speech:
The period for a new election of a citizen to administer the executive government of the United States being not far distant, and the time actually arrived when your thoughts must be employed in designating the person who is to be clothed with that important trust, it appears to me proper, especially as it may conduce to a more distinct expression ...
And that excerpt is far from the conclusion of just that first sentence. Imagine using language like that in a Toastmasters meeting!
Analyze why the opening of this august speech wouldn’t work today and two major problems quickly become apparent. First, it could have been cut down at least by half; and second, even after 20 seconds, the audience still doesn’t know much about the speaker’s purpose.
Fortunately for modern-day speakers, the Toastmasters educational program emphasizes the skill of speechwriting. Here are a few guidelines to mastering the art and technique of writing speeches.
My Kingdom for a Subject!
Need a speech topic? First identify your purpose. What do you want to do? Inform? Persuade? Inspire? Educate? Next, home in on a subject. You can select something most people can relate to—or most people in your audience can relate to—or something arcane that will require a little bit of research.
Step three: Start brainstorming.
What about your Ultimate Frisbee team? Your cat’s finicky ways? Your child’s piano recital? Your childhood dream of becoming president and what became of it? Holiday traditions in your country or region? Vanilla or chocolate? Cake or pie?
A word of caution: It may go without saying, but when it comes to controversial topics such as religion or politics, make sure you know the club policies governing such subjects—and the audience’s sensibilities.
Elena Paweta, DTM, is a member of Poland’s First Toastmasters club, based in Warsaw. She is also an organizer of TEDx events , programs in local communities that feature a diversity of speakers across several disciplines who address a variety of subjects. This gives her particular insight into crafting and refining speech topics.
“As we advance and become more experienced and confident, we can cover topics that may influence others,” Paweta says. “We can use this amazing tool [public speaking] to change people’s lives for the better.”
Deceptively Simple: The Structure
Ramona J. Smith is the 2018 World Champion of Public Speaking. Watch her winning speech and you’ll get a clue to what helps make it great: a solid, simple outline. She enters the stage and crouches down in a boxer’s stance, throwing punches in the air. She explains that we may get knocked down in life, but if we persevere we will be “still standing,” a phrase she repeats throughout, for emphasis. She then goes on to describe three events in her life that she had to fight through (extending the metaphor) and expands on each.
And how does she conclude the speech? With the phrase she offered in the beginning: “still standing.” It’s simple, yet so powerful.
To supplement that structure, Smith makes the speech come alive with vocal variety, exuberant body language (shadowboxing), and even a prop (a towel thrown to the ground).
Smith, President of the Cy-Fair Super Speakers Club in Cypress, Texas, says the key to writing a great speech is to keep it simple. “I start with the skeleton, then start to throw meat on the bones,” she says.
World Champion Ramona J. Smith says the key to writing a great speech is to keep it simple. "I start with the skeleton, then start to throw meat on the bones."
She writes speeches in three parts—introduction, body, and conclusion. In the body she identifies three points, just as in her championship speech. “Then I flesh out those three points, add transitions between each and then a call to action between the third point and the conclusion.”
Smith has another key piece of advice: Call on fellow Toastmasters for help. “Look in your club for writers,” she says. “There’s an English teacher or writer in every club—see if they can help you.”
Act Out—But in a Good Way
Toastmaster Wayne Lebowitz, a retired jeweler from Somerville, Massachusetts, always knew he wanted to be an actor. Although he ultimately found his career in the family business, he brings theatrical sensibilities to public speaking.
Writing a speech is like writing a script, he says. Start with an attention-grabbing device. For instance:
“How many of you have hunted a bear? Okay, I see by the lack of hands raised that none of you have. Let me tell you about bear hunting.” Using the bear motif, he demonstrates another approach: “I just found out that there are only three bears left in Somerville, Massachusetts. That’s three more than I thought we had.”
Lebowitz emphasizes that people remember stories. “I realize when I give a speech, I’ve got to entertain them. Otherwise, whatever my message is, it’s lost.”
He suggests the same format that Ramona J. Smith uses. “The body of your speech should consist of three bullet points,” he says. “And have a story to back up each point.” Lebowitz recommends closing the speech by reiterating those bullet points and tying together the closing and opening.
At a recent meeting of his club, Somerville Toastmasters, the first speaker gave a speech about a work situation by providing three points in the beginning, then elaborating on them, and returning to them again at the end. Because she used vocal variety and good details, the simple structure worked.
“Show, don’t tell” is advice often offered to writers whose work needs a little spark. The concept can also apply to speechwriting. Paint a picture for your audience with the language you use.
Jing Humphreys, DTM, a member of the Earlybirds Club in Butler, Pennsylvania, is a believer in the power of word choice.
“I like vivid word descriptions,” she says. “Like you can feel it happening in front of you because of the choice of words the speaker uses.”
Need a speech topic? First identify your purpose. What do you want to do? Inform? Persuade? Inspire? Educate?
Despite working in a highly technical field where there isn’t as much room for creativity with language, outside of work she is a proponent of conjuring up dramatic images to move the audience. (Example: “a big, vast ocean so clear you can almost see the bottom of it.”) This is also the message she imparts as a mentor and an evaluator: To tell a story, use powerful imagery, and don’t be afraid to provoke strong feelings in your audience.
“I just evaluated one of my club members,” she says. “I told him ‘Scare me and then save me.’ The audience needs to know why am I listening to you—why is this important to me?”
Don’t forget that you need to know your audience. If the venue is in a country with a nuanced culture and/or a culture that has significant differences from your own, make sure you’ve done your homework so you avoid potentially offensive gaffes. If you want to add jokes, try them out on others first to be sure your humor isn’t tone-deaf .
Include the Visual
Visual aids can be a powerful addition, and in some cases a necessary one, to a presentation. Technical presentations generally require the speaker to provide graphics, charts, schematics, etc., in order to fully explain the topic. Non-technical presentations, too, can gain a boost from props or visual aids.
Check that all your references are correct. Did Queen Elizabeth really give the Gettysburg Address or was your mind wandering when you wrote that?
A word about PowerPoint: Don’t read from the slides. The slides should supplement your words. In most cases, you can use words for the narrative, and the projector screen for ideas that are best conveyed graphically. The words you speak and the images you show should complement each other.
I am not a fan of PowerPoint, so when I did the “Get Comfortable With Visual Aids” project in Toastmasters’ old Competent Communication manual, I opted for a wig mannequin and demonstrated different ways Muslim women wear head scarves. It gave me the opportunity to personalize my speech and present something tangible, and it supported my discussion of why Muslim women wear head scarves.
Not So Fast!
Transitional statements help the audience easily follow you from one section of your speech to the next, or from one idea to another.
There is a wide range of transitions that serve different functions. Some keep the audience focused on the topic or time frame you are discussing; some provide examples of a particular subject area, reinforcing a point and introducing examples seamlessly. Here are just a few common transitions:
1. To tie your introduction to your first point in the body of the speech:
• Let me give you an example ...
• To get started, let’s examine ...
• First, I’m going to discuss ...
2. To move from one point within the body to the next:
• In the same way, this item tends to melt in the heat ...
• Let me show you something equally troubling ...
• This is similar to the kind of speech we’re studying ...
3. To begin the conclusion to your speech:
• All in all, this educational journey was …
• Looking back, I’m glad that I …
• To sum up, these three reasons are why …
If your speech feels or sounds awkward as you move through the main points, lead the listener with transitions, like those listed above. When in doubt, try reading that section aloud to someone else; if they are unclear about the connection between two ideas or two statements, look for a proper transition.
The Final Steps
Always do a final review of your writing before turning your attention to rehearsing. A few essential areas to look over:
- Double-check your grammar and pronunciation. This may seem like a no-brainer, but don’t assume you have it right. A great classic reference book to aid with this is The Elements of Grammar by Margaret Shertzer. Many other useful books—and grammar-related websites—exist as well, including The Elements of Style by William Strunk Jr. and E.B. White, Write Right! by Jan Venolia, grammarbook.com , and www.quickanddirtytips.com/grammar-girl .
- Examine your writing for continuity of theme; make sure you aren’t wandering from your main point. Remove or revise anything that takes your speech off track.
- Make sure everything makes logical sense. Sometimes you get so deep into your subject that you mention ideas only you can understand.
- Check that all your references are correct . Did Queen Elizabeth really give the Gettysburg Address or was your mind wandering when you wrote that?
- Don’t go overboard with quotes. They can be used to enhance a speech, but make sure the quote you use is pithy, brief, and very relevant. Be sure you’re citing the correct author of the quote (pro tip: Look somewhere besides social media to verify the source).
When you’ve done all you can do to polish the writing of your speech, you will feel confident and ready. The Toastmasters guidelines for speechwriting will prepare you well.

Sample Public Speaking Scenario
Here's a possible public speaking scenario:
You've just opened a small web design business in your town, and you join the town Chamber of Commerce. As a result, you're invited to give a short, five-minute presentation at the next Chamber of Commerce meeting.
Coming up with a public speaking speech for the scenario described above could be a challenge if you've never written or given a public speech before. Fortunately, there are some speech-writing steps that you can use that'll make speech writing easier.
Let's use this example and walk through the steps for writing a speech.
7 Steps for Writing a Speech
The steps for writing a speech for public speaking are like the steps for writing a presentation in general. But at each stage of the writing process, you need to keep your audience in mind:
1. Research Your Audience
Whenever you do any type of writing you need to consider who you're trying to reach with your writing. Speech writing is no different. The more you know about your target audience, the more effective your writing will be.
In the example above, you know that your audience is going to be the other members of the Chamber of Commerce. They're likely to be small business owners just like you are.
What to Do After You Research Your Audience:
Once you've defined your audience, you can gear your speech towards them. To do this, ask yourself questions like:
- What does this audience need?
- What problem can I solve for them?
- Is there anything else I need to consider about my listeners?
In the example we're using for this tutorial, most small businesses in your town fit one of the following three situations:
- They've got a website that works well.
- They've got a website, but the design is outdated or doesn't work well.
- They don't have a website.
2. Select a Topic
In this example your topic is already given. You've been invited to introduce your business. But you also know that the speech is going to be fairly short--only five minutes long.
While it's always a good idea to keep a speech focused, this is especially important for a short speech.
If I were writing the public speaking speech for the scenario we're working with, I'd narrow the topic down like this:
- Create a list of the strengths of my business.
- Compare the list of business strengths to the problems I observed with the other members' websites in the previous step.
- Focus my presentation on the areas where my business strengths meet weaknesses (needs) of other Chamber of Commerce members.
Let's say that I noticed that quite a few members of the chamber have websites that use outdated fonts, and the sites aren't mobile-friendly. Instead of listing everything my web design business could possibly do, I'd focus my short speech on those areas where I observed a need.
You can use a similar process to narrow the topic down any time you need to write a speech.
Avoid the temptation of trying to cover too much information. Most people are so overwhelmed by the sheer amount of new data they receive each day that they can't keep up with it all. Your listeners are more likely to remember your public speaking speech if it's tightly focused on one or two points.
3. Research Your Topic
In the example we've been going over, you probably don't need to do a lot of research. And you've already narrowed your topic down.
But some public speaking situations may require that that you cover a topic that you're less familiar with. For more detailed speech writing tips on how to study your subject (and other public speaking tips), review the tutorial:
4. Write Your Speech
Once you've completed the steps above, you're ready to write your speech. Here are some basic speech writing tips:
- Begin with an outline . To create a speech your audience will remember, you've got to be organized. An outline is one of the best ways to organize your thoughts.
- Use a conversational tone . Write your speech the way you would normally talk. Work in some small talk or humor, if appropriate.
- Use the speaker notes . Typically, speaker notes aren't seen by the audience. So, this is a good place to put reminders to yourself.
- Be specific . It's better to give examples or statistics to support a point than it is to make a vague statement.
- Use short sentences . It's likely you're not going to give your speech word for word anyway. Shorter sentences are easier to remember.
In this example scenario for the short speech we're preparing for the Chamber of Commerce, your outline could look something like this:
- Introduction . Give your name and the name of your business. (Show title slide of website home page with URL)
- Type of Business . Describe what you do in a sentence or two. (Show slide with bulleted list)
- Give example of a recent web design project . Emphasize areas that you know the other businesses need. (Show slides with examples)
- Conclusion. Let the audience know that you'd be happy to help with their web design needs. Offer to talk to anyone who's interested after the meeting. (Show closing slide that includes contact information)
- Give out handouts . Many presentation software packages allow you to print out your speech as a handout. For a networking-type presentation like the one in our example, this can be a good idea since it gives your listeners something to take with them that's got your contact information on it.
That simple speech format should be enough for the short speech in our example. If you find it's too short when you practice, you can always add more slides with examples.

5. Select a Presentation Tool
For most presentations, you'll want to use a professional presentation tool such as PowerPoint, Google Slides, or a similar package. A presentation tool allows you to add visual interest to your public speaking speech. Many of them allow you to add video or audio to further engage your audience.

6. Select a Template and Finish
A presentation template controls the look and feel of your presentation. A good template design can make the difference between a memorable public speech with eye-catching graphics and a dull, forgettable talk.
You could design your own presentation template from scratch. But, if you've never designed a presentation template before, the result might look less than professional. And it could take a long time to get a good template. Plus, hiring a designer to create an original presentation template can be pricey.

7. How to Make a Public Speech
Now that you've completed all the steps above, you're ready to give your speech. Before you give your speech publicly, though, there are a few things you should remember:
- Don't read your speech . If you can, memorize your speech. If you can't, it's okay to use note cards or even your outline--but don't read those either. Just refer to them if you get stuck.
- Practice . Practice helps you get more comfortable with your speech. It'll also help you determine how your speech fits into the time slot you've been allotted.
- Do use visual aids . Of course, your presentation template adds a visual element to your public speech. But if other visual aids work with your presentation, they can be helpful as well.
- Dress comfortably, but professionally . The key is to fit in. If you're not sure how others at your meeting will be dressed, contact the organizer and ask.
- Speak and stand naturally . It's normal to be a little nervous but try to act as naturally as you can. Even if you make a mistake, keep going. Your audience probably won't even notice.
- Be enthusiastic . Excitement is contagious. If you're excited about your topic, your audience will likely be excited too.
In the example we're using in this tutorial (and with many public speaking opportunities), it's important not to disappear at the end of the meeting. Stick around and be prepared to interact individually with members of the audience. Have answers to questions anyone might have about your speech. And be sure to bring a stack of business cards to pass out.

After reading about the basics, here are some more tips on how to write a great speech really stand out:
1. Have a Strong Opening
Start your speech with a strong opening by presenting surprising facts or statistics. You could even start with a funny story or grand idea.
Another way to start your speech is to open with a question to spark your audience’s curiosity. If you engage your audience early in your speech, they're more likely to pay attention throughout your speech.
2. Connect With Your Audience
You want a speech that'll be memorable. One way to make your speech memorable is to connect with your audience. Using metaphors and analogies help your audience to connect and remember. For example, people use one writing tool to put the speech's theme in a 15-20 word short poem or memorable paragraph, then build your speech around it.
3. Have a Clear Structure
When writing your speech, have a clear path and a destination. Otherwise, you could have a disorganized speech. Messy speeches are unprofessional and forgettable. While writing your speech, leave out unnecessary information. Too many unnecessary details can cause people to lose focus.
4. Repeat Important Information
A key to writing memorable speeches is to repeat key phrases, words, and themes. When writing your speech, always bring your points back to your main point or theme. Repetition helps people remember your speech and drives home the topic of your speech.

How to Write a Speech in Just a Few Simple Steps

However, if you follow the steps, you can write an effective speech in just a few minutes (versus hours or days)!
This post is the second in a series designed to help people create a perfect speech from scratch. Last week, I gave you a few ways to start a speech . Next week, I will show you how to end a speech . We will also cover a few unique types of presentations in future posts such as writing a eulogy . We will cover a few other types of speeches that are common such as a wedding speech , a persuasive speech , and a graduation speech.
A Few Concepts You Need to Know Before Writing a Speech.
Remember that if you want to hold your audience’s attention, less is more . Short is better than long. No one ever said, “That meeting was so good, I wish everyone would have spoken longer.” So, a few concepts (bullet points) covered really well is much better than a bunch of stuff covered in a cursory way. Another great tip is that writing a presentation word-for-word and then trying to memorize your entire speech is hard. To make this writing process easier, people will often use note cards and try to practice in front of the mirror. This often will just make you more nervous. Instead, create a presentation outline and use literary devices to add “meat to the content.” For instance, examples and stories are fantastic reinforcement for your points or concepts. You can also use analogies, quotes, and visual aids to prove your points.
When you do practice, practice in front of an audience. Live audiences will let you practice making eye contact and make sure you are using proper body language when you present. A run-through in front of real people will also help you fit your speech into the proper time limit.

How to Write a Good Speech in Just a Few Simple Steps
Step #1: narrow down your topic first, and your speech writing will be faster and easier..
So, the first thing you want to do is narrow down your topic. An easy way to do this is to use the five W’s from journalism: Who, What, When, Where, Why?
An Example of Using the Who, What, When, Where, Why Technique.
For instance, let’s say that I am giving a work presentation about our company financials last quarter. The who is the company. The when is last quarter. If I narrow down the where, I might want to focus on just the Midwest Region. So, now I have to ask, “What exactly happened with our company offices in the Midwest Region last quarter?”
Well. sales increased more in that region than anywhere else. The final question is, “Why?” Why was this region different from the other regions? They hired a new regional sales manager. She and her team focused on repeat business from past customers. After finding answers to each of these questions, I can create a much more narrow and focused title. Financials from Last Quarter Becomes… A Focus on Generating Repeat Business from Past Customers in the Midwest Region Generated a Sharp Increase in Revenue Last Quarter. If you have trouble narrowing down the focus of your topic, make sure to focus on the WHY? Why would your audience care about the topic that you are presenting? Why should they pay attention to you? If you can add the answers to these questions into your title, your presentation will be more narrow and interesting to your audience.
Step #2: Create a Speech Outline Out of Your Main Ideas.
Keep listing these important points until you have five to ten of them. Then, rank them from the most important idea to the least important. The process here is to brainstorm possible concepts or different points to cover, and then sort them from most important to least important.
By the way, you won’t be able to effectively cover ALL of the points that you brainstormed. You will only want to cover three, four, or five of these items. That is why you want to sort them by importance. If you can only cover a few points, why not cover the most important?
The number of items that you cover will be determined by the required length of time that you have to speak. A good rule of thumb is to cover one item or bullet for every seven to 10 minutes that you have to speak. However, you definitely want to limit your bullets to just five per sitting. For a short speech (less than 20 minutes,) three points is a good number. If you have 45 to 50 minutes, you probably want to cover five bullet points.
Pro Tip! Go through the same process of determining the “Why?” for each of your bullet points. This will make your entire presentation something that the audience will want to pay attention to. Just read each of your bullets and ask, “Why does my audience need to know this?” Whatever the answer is, add that why to the statement that you made in the bullet point.
Now that you have your topic and your three to five bullet points, you have a great presentation outline. You can also use this outline as your slide or visual aid.
Step #3: Insert “Impact Ideas” to Add Content to Your Presentation.
Instead, use what we call a Presentation Impact Idea to better explain each bullet point. Pretend that your audience members are a jury. The bullet points are the statements that you are trying to prove. And the “Impact Ideas” are the pieces of evidence that prove that each statement is true. Below are some of my favorite items, but anything that answers the question, “How can I prove this bullet point to my audience?” will do.
- Add a Personal Story or Example : Relay a quick story that occurred to actual people. These stories are solid proof that what you are saying is true because it happened before. The funny thing about stories is that most presenters avoid stories like the plague. But professional speakers use almost nothing but great stories to make their points. (That is why most speakers are boring and most professional speakers are interesting.) Going back to the jury analogy, a story about a personal experience is like an eye-witness testifying in court.
- Quotes : A simple quote from an expert that you can remember will add a lot of credibility to your speech. By inserting a quote, you are borrowing credibility from another expert. To continue with the jury analogy, this is like bringing in an expert witness.
- Analogy : After you have used a quote from an expert or a story to verify that your bullet point is true, adding an analogy can add flavor to your presentation and make your points memorable. If you recall from literature class, an analogy is a comparison. You can use these to compare a point that you are trying to explain to something that the audience can better relate to. How To Write A Speech That Inspires You Audience: 13 Steps
Learn how to write a speech that will effectively reach your audience.
A good speech is a powerful tool. Effective speeches make people powerful, whether in the hands of a world leader trying to get people to believe their ideology or in the mouth of a teacher trying to inspire students. A well-written speech can lift the hearts of a nation in times of war, inspire people to action when complacency is commonplace, honor someone who has died, and even change a nation’s mind on a particular topic, which, in turn, can change history.
Excellent speech writing is a skill that you must learn. While public speaking may come naturally to some people, the sentence structure and nuances of a powerful speech are something you must learn if you are going to gain the audience’s attention.
So how can you learn how to write a speech? The writing process is a little different than the process you’d use to write a paper or essay, so here is a guide that can help.
Materials Needed
Step 1: define your purpose, step 2: determine your audience, step 3: start your research, step 4: choose the right length, step 5: create an outline, step 6: craft the introduction, step 7: write the body, step 8: use transitions, step 9: conclude your speech, step 10: add some spice, step 11. implement spoken language, step 12: edit your speech, step 13: read it out.

Before you can write a speech, you must know the purpose of your speech. You can deliver many types of speeches, and the purpose will determine which one you are giving. While there may be more than these, here are some common types of speeches:
- Informative speech: An informative speech strives to educate the audience on a topic or message. This is the type of speech a teacher gives when delivering a lecture. “ First World Problems ” by Sarah Kwon is an excellent example of an informative speech.
- Entertaining speech: This speech strives to amuse the audience. These are typically short speeches with funny, personal stories woven in. A wedding guest giving a speech at a wedding may be an example of this type of speech.
- Demonstrative speech: This speech demonstrates how to do something to the audience. A company showing how to use a product is delivering this type of speech.
- Persuasive speech: This speech aims to persuade the audience of your particular opinion. Political speeches are commonly persuasive. Martin Luther King, Jr.’s famous “ I Have a Dream ” speech is an example of a persuasive speech, as it called the government to make changes that protected civil and economic rights.
- Oratorical speech: An oratory is a formal speech at an event like a funeral or graduation. The goal is to express an opinion and inspire the audience, but not necessarily to persuade.
- Motivational speech: These speeches inspire people to take action, such as to improve themselves or to feel better and happier. For example, a coach may deliver this kind of speech to his players during halftime to inspire them to win the game. Steve Jobs’ 2005 Stanford Commencement Address is an excellent example of a motivational speech.
- Eulogy: A Eulogy is a funeral speech. This speech is given to the mourners at someone’s funeral and talks about the excellent character rates of the person who died. “ Eulogy for Rosa Parks ” is a famous example of this type of speech given by Oprah Winfrey in 2015.
- Explanatory speech: This final speech type describes a situation or item. These speeches often have step-by-step instructions on how to do a particular thing.
Your audience members are an essential part of the speech writing process. Consider taking notes about your audience before you start writing your speech. You can even make a fake audience member you are writing toward as you prepare your speech. Even though they do not directly impact what you talk about, they should impact how you talk about it. Therefore, you must write your speech to reach that particular audience.
For example, if you are writing a speech for an audience that does not agree with you, you will need to bring more facts and figures to persuade them of your opinion. On the other hand, if you are writing a speech for an audience already on your side, you must encourage them to hold the line. To get to know your audience, consider factors like:
- Income level
- Pain points
- Questions they might ask
Before you outline or write your speech, you must know some facts about the big idea or speech topic. So perform some research, and take notes. See if you can find any new or surprising information in your research. If it was new and surprising, it also might be to your audience members. You can use this research to make the essential points of your piece.
Finally, know the required length of your speech. Speeches usually have time limits, not word count limits. You will need to know the desired length before you can start writing the speech, or you will end up with a speech that is too long or too short. The length of your speech will vary depending on where you are giving it and who your audience is.
Generally, a 20-minute speech is standard when delivering a speech to adults in a professional or academic setting. However, if you are a student who is preparing a speech for a classroom, you may be limited to three to five minutes. Sometimes speakers will get booked to take on a 60-minute session, but if you talk for 60 minutes, you will lose the attention of some of your audience members.
Remember, some of the most famous speeches in history are very short. President Abraham Lincoln’s “ Gettysburg Address ” was less than 300 words long and took less than two minutes to deliver. President Franklin Roosevelt’s “ Day of Infamy ” speech lasted less than 10 minutes. However, knowing your speech’s length can be challenging after you prepare it. Generally, a double-spaced page of writing will take about 90 seconds to speak. Thus, a 20-minute speech will take about 13 typed, double-spaced pages if you type out your entire speech.
Consider using a words-to-minutes calculator to determine how long your speech likely is. Remember that the average English speaker speaks 140 words a minute. You may get up to 170 words a minute if you speak fast. If your speech is slow, it may be as little as 110 words a minute.
Now you are ready to start writing. Before you write a speech, you must create an outline. Some public speakers will speak from an outline alone, while others will write their speech word-for-word. Both strategies can lead to a successful speech, but both also start with an outline. Your speech’s outline will follow this template:
- Introduction: Introduces your main idea and hooks the reader’s attention.
- Body: Covers two to three main points with transitions.
- Conclusion: Summarizes the speech’s points and drive home your main message.
As you fill in these areas, answer these questions: Who? What? Why? and How? This will ensure you cover all the essential elements your listeners need to hear to understand your topic. Next, make your outline as detailed as you can. Organize your research into points and subpoints. The more detail on your outline, the easier it will be to write the speech and deliver it confidently.
As you prepare your speech, your introduction is where you should spend the most time and think. You only have moments to capture your audience’s attention or see them zone out in front of you. However, if you do it right, you will cause them to turn to you for more information on the topic. In other words, the introduction to a speech may be the most memorable part, so it deserves your attention. Therefore, you must have three main parts:
- Hook: The hook is a rhetorical question, funny story, personal anecdote, or shocking statistic that grabs the listener’s attention and shows them why your speech is worth listening to.
- Thesis: This is your main idea or clear point.
- Road map: You will want to preview your speech outline in the introduction.
Here is an example of a good introduction for a persuasive speech from Jamie Oliver’s TED Talk about children and food:
“Sadly, in the next 18 minutes when I do our chat, four Americans that are alive will be dead from the food that they eat.”
This shocking statistic gets the audience’s attention immediately. In his speech, Oliver details why America’s food choices are so poor, how it affects them, and how we can teach children to do better.
Here is an example of an informative speech about pollution and what can be done about it. This introduction follows the template perfectly.
“I want you to close your eyes for a minute and picture a beautiful oceanfront. The sound of the waves crashing on the sand while seagulls fly overhead. Do you have it? Now I am going to say one word that will destroy that image: Pollution. What changed in your mental picture? Do you now see sea turtles with bottles on their head or piles of debris washing on shore? Marine pollution is a massive problem because plastic does not decompose. Not only does it use up many resources to create, but it rarely gets disposed of properly. We must protect our natural areas, like that beautiful beach. Today I am going to show you how destructive the effects of plastic can be, how it is managing our natural resources, and what steps we can take to improve the situation.”
Now you are ready to write the body of your speech. Draw from your research and flesh out the points stated in your introduction. As you create your body, use short sentences. People can’t listen as long as they can read, so short and sweet sentences are most effective. Continuing the theme of the marine pollution speech, consider this body paragraph.
“You might be thinking plastic isn’t a big deal. Let’s think for a minute that you’re at the beach drinking bottled water. According to “The Problem with Plastic,” an article by Hannah Elisbury, one out of every six plastic water bottles ends up in recycling. The rest become landfill fodder. Worse, many get dropped in nature. Perhaps you are packing up at the end of your beach trip and forget to grab your bottle. Maybe your kid is buried in the sand. Now it’s adding pollutants to the water. That water becomes part of the drinking water supply. It also becomes part of the fish you eat at your favorite seafood restaurant. Just one bottle has big consequences.”
As you write the body, don’t stress making every word perfect. You will revise it later. The main goal is to get your ideas on paper or screen. This body paragraph is effective for two reasons. First, the audience members likely use water bottles, which resonates with them. Second, she uses a resource and names it, which gives your work authority.
It would be best to use transitions to move from each speech section. This keeps the audience engaged and interested. In addition, the transitions should naturally merge into the next section of the speech without abruptness. To transition between points or ideas, use transition words. Some examples include:
- Coupled with
- Following this
- Additionally
- Comparatively
- Correspondingly
- Identically
- In contrast
- For example
You can also use sequence words, like first, second, third, etc., to give the idea of transition from one thought to the next. Make sure your speech has several transition words to drive it through to completion and to keep the audience engaged.
In his speech “ Their Finest Hour ,” Winston Churchill uses transitions well. Here is an excerpt from his conclusion:
“ But if we fail, then the whole world, including the United States, including all that we have known and cared for, will sink into the abyss of a new Dark Age made more sinister, perhaps more protracted, by the lights of perverted science. Therefore, let us brace ourselves to our duties and bear ourselves that, if the British Empire and its Commonwealth last for a thousand years, men will still say, “This was their finest hour.”
Notice that he uses “therefore,” “so,” and “but.” Each of these transition words effectively moves the speech along.
Your conclusion needs to restate your thesis but differently. It should personalize the speech to the audience, restate your main points and state any key takeaways. Finally, it should leave the audience with a thought to ponder.
Here are some practical ways to end a speech:
- Use a story
- Read a poem
- State an inspirational quote
- Summarize the main points
- Deliver a call to action
Here are some examples of fantastic conclusions:
- Here is an excellent example of a concluding statement for an inspirational graduation speech: “As you graduate, you will face great challenges, but you will also have great opportunities. By embracing all that you have learned here, you will meet them head-on. The best is yet to come!”
- A CEO that is trying to inspire his workforce might conclude a speech like this: “While the past year had challenges and difficulties, I saw you work through them and come out ahead. As we move into the next year, I am confident we will continue to excel. Let’s join hands, and together this can be the best year in company history!”
- In “T he Speech to Go to the Moon, ” President Kennedy concluded this way: “ Many years ago the great British explorer George Mallory, who was to die on Mount Everest, was asked why did he want to climb it. He said, “Because it is there. Well, space is there, and we’re going to climb it, and the moon and the planets are there, and new hopes for knowledge and peace are there. And, therefore, as we set sail we ask God’s blessing on the most hazardous and dangerous and greatest adventure on which man has ever embarked.” Many speechwriters say something like “in conclusion” or “that’s all I have for you today.” This is not necessary. Saying “in conclusion” could cause your audience to stop listening as they anticipate the end of the speech, and stating that you have said all you need to say is just unnecessary.
Now that you have the basic structure, you’re ready to add some spice to your speech. Remember, you aren’t reading a research essay. Instead, you are making an exciting and engaging spoken presentation. Here are some ideas:
- Consider giving your speech some rhythm. For example, change the wording, so it has a pace and cadence.
- Work to remove a passive voice from your sentences where possible. Active speaking is more powerful than passive.
- Use rhetorical questions throughout because they make the listener stop and think for a moment about what you are saying.
- Weave some quotes into your speech. Pulling famous words from other people will make your speech more interesting.
- Where possible, use personal stories. This helps your audience engage with you as the speaker while keeping the speech interesting.
You may not use all of these ideas in your speech, but find some that will work for the type of speech you plan to give. They will make it more exciting and help keep listeners engaged in what you are saying.
Writing a speech is not like writing a paper. While you want to sound educated with proper grammar , you need to write in the way you speak. For many people, this is much different from the way they write. Not only will you use short sentences, but you will also use:
- Familiar vocabulary: This is not the time to start adding scientific terminology to the mix or jargon for your industry that the audience won’t understand. Use familiar vocabulary.
- Transitions: Already discussed, but spoken language uses many transition words. Your speech should, too.
- Personal pronouns: “You” and “I” are acceptable in a speech but not in academic writing.
- Colloquialisms: Colloquialisms are perfectly acceptable in a speech, provided the audience would readily understand them.
- Contractions: We use contractions when we speak, so we also use them in speeches, while some writing platforms and assignments do not allow them.
- Repetition: Repeating words and phrases makes them memorable. This helps emphasize the main ideas and works well in speeches.
Now you are ready to edit your speech. Remember, spoken language is acceptable, but grammar errors may not be ideal. As you edit, pay attention to the length of sentences. Shorten any long ones. Also, watch for those transition words. Add them in if you need to. Remember, a well-written speech takes time. Put in the effort to revise and improve it, and you will be rewarded with an effective speech that is easy to deliver. If you still need help, our guide to grammar and syntax explains more.
Now that you have written your speech, you are ready to read it. Read it out loud at your average speaking speed, and time yourself. This will tell you if you are within your allotted time limit. However, reading it has another benefit. When you read the piece, you can determine if it flows smoothly. You may catch grammar issues or poor transitions that you can change. Look for places where the speech may be hard to speak and adjust those sentences to make them more accessible.
After you update the speech, practice it again. Reading it, revising it, rereading it, and repeating it will help you create a speech that flows well. This process will also help you become familiar with the speech so you can deliver it confidently when your speaking engagement comes.

A speech outline can increase your confidence and help you keep your place so you sound authoritative and in control. As you write your speech outline, focus on how you'll introduce yourself and your topic, the points you'll cover, and the interests of your audience.
Sample Outline and Writing Help
Crafting Your Introduction
- Keep in mind you may be nervous when you start your speech. Include this in your outline so you won't forget.
- If there's anything about you that relates you to your audience, or to the group that organized the event, you want to include that in your brief greeting as well – especially if you didn't have the benefit of an introduction from someone else.
- For example, you might say "Good afternoon. I'm Sally Sunshine, and I've been a volunteer with the Springfield Animal Society for five years. I'm honored they've invited me to speak here today about the importance of spaying or neutering your pets."
- When choosing your attention-getter, keep your audience in mind. Think about what would grab their attention – not necessarily what you personally find interesting or humorous.
- If you're not sure whether your attention-getter will work, try practicing it in front of friends or family members who are similar in age and interests to the people who will be in the audience when you give your speech.
- For example, if you're giving a speech on spaying and neutering pets to a group of suburban families, you might open with a humorous reference to the Disney movie "101 Dalmatians."
- Briefly explain the importance of the topic or issue you'll be discussing in your speech.
- If your speech is an informative one, explain why the information is important or relevant to your audience.
- For argumentative speeches, explain what might happen if action isn't taken on the issue.
- For example, you might say "Every year, our local animal shelter has to put down 500 unwanted cats and dogs. If all pets were spayed and neutered, it's estimated this number would decrease to under 100."
- If you're giving an argumentative speech, your thesis statement will be a statement of the ultimate point you hope to prove through the information and evidence you lay out in your speech.
- For example, the thesis statement for a speech arguing that all pet owners should spay or neuter their pets might be "Our entire community would benefit if all pets were spayed or neutered."
- The thesis statement for a more informative speech will simply summarize the type of information you're going to provide the audience through your speech.
- For a more scientific speech, your thesis statement will reflect the hypothesis of the scientific study you're presenting in your speech.
- If you're giving a speech for a class in school, your "credibility" may be as simple as the fact that you took the class and researched the topic.
- However, if you have a more personalized interest in the topic of your speech, this is a good time to mention that.
- For an argumentative speech, a personal connection to the subject matter can enhance your credibility. For example, maybe you're giving a speech about local urban housing policy and you became interested in the topic when you learned your family was facing eviction. A personal connection often can mean more to members of your audience than extensive professional experience in the area.
- There's no hard and fast rule, but speeches typically have three main points. You should list them in your introduction in the order you plan to present them in your speech. The order in which you discuss your points depends on the type of speech you're giving.
- For example, your speech on spaying or neutering pets might address the benefits to the pet first, then the benefit to the pet's family, then the benefit to the community at large. This starts small and moves outward.
- For an argumentative speech, you typically want to lead with your strongest argument and work down in order of strength.
- If you're giving an informative speech based on a historical event, you may want to provide your points chronologically. Other informative speeches may be better served by starting with the broadest point and moving to more narrow points.
- Ultimately, you want to order your points in a way that feels natural to you and will enable you to easily transition from one point to another.
Building the Body of Your Speech
- Your first point will be a top-level entry on your outline, typically noted by a Roman numeral.
- Beneath that top-level, you will have a number of sub-points which are comments, statistics, or other evidence supporting that point. Depending on how your outline is formatted, these typically will be letters or bullet points.
- As with the points themselves, with your evidence you typically want to start with the strongest or most important sub-point or piece of evidence and move down. This way, if you start running short on time, you can easily cut the last points without worrying that you're leaving out something important.
- The type of evidence or sub-points you'll want to include will depend on the type of speech you're giving.
- Try to avoid pounding your audience with long series of numbers or statistics – they typically won't retain the information. If you have a significant amount of numerical data or statistics, creating an infographic you can project during your presentation may be more useful.
- Keep in mind that additional personal stories or anecdotes can be particularly effective to get your point across in a speech.
- For example, if your first point in your speech about spaying or neutering pets is that the procedure benefits the pets themselves, you might point out that pets that are spayed or neutered live longer, are at a decreased risk for certain types of cancer, and are generally more healthy than pets who aren't spayed or neutered.
- Avoid over-thinking your transition. It really doesn't need to be incredibly sophisticated. If you can't come up with anything specific, using a simple transitional phrase will work fine.
- For example, you might say "Now that I've discussed how spaying and neutering has a positive effect on your pet's health, I want to move to the effect that spaying and neutering has on your family."
- Some of the most effective transitions turn on a particular word or phrase, such as the word "effect" in the example above.
- When choosing your sub-points or the facts that you want to emphasize in your speech, keep your audience in mind as well as the overall point. Think about what's important to them, or what they potentially would find most surprising or most interesting.
Creating Your Closing
- This transition doesn't need to be fancy – it doesn't even have to be a whole sentence. You can simply say "In conclusion," and then launch into your summary.
- You don't need to go into detail here – you're just reinforcing what you've already told your audience.
- Make sure you don't introduce any new information in your closing summary.
- For example, you might say "As you've seen, spaying or neutering your pet has substantial benefits not only for you and your pet, but also for the community at large."
- If your speech went well, you have fully proven your thesis and demonstrated its importance. This statement should relate back to the summary of your points and present a strong statement.
- Particularly for brief speeches, you can even combine your summary of points with your thesis statement in a single sentence that wraps up your speech.
- For example, you might say "Given the benefits to your pet's health, to your family, and to the overall well-being of your community, it is clear that spaying or neutering pets should be a top priority for all pet owners."
- You may want to think of a way to bring the entire speech back around to that story you initially told to grab your audience's attention.
- If you have an argumentative or similar speech, your closing lines typically will include a call to action. Give your audience an example of how important the subject of your speech is, and implore them to act on the information you gave them in a specific way.
- When making a call to action, make sure you include specific details, such as where to go, who to contact, and when to act.
- For example, you might say "For the next week, the Springfield Animal Society will be spaying and neutering pets for free at their clinic on 123 Main Street. Call 555-555-5555 to make an appointment for your furry friend today!"
- Particularly if your speech was longer or if you went over the time allotted, be sure to tell them that you appreciate their time.
- As with your initial greeting, including this in your outline ensures you won't forget it in the moment. That doesn't mean you should try to write something verbatim. Rather, you should focus on your thanks being more off-the-cuff and sincere.
- If you want to establish parameters for the questions, be sure to list these in your outline so you can mention them when you announce that you're open for questions.
- Anticipate questions that may be asked dependent on your speech topic. Preemptively answer those questions and include them in your outline.
- You also should note if you only have a specified period of time for questions, or if you're only taking a set number of questions.

Planning your speech is where your success begins. I do not jest!
In your imagination you may hear yourself being stunning, the audience clapping wildly as they rise to their feet to give you a standing ovation.
You may see yourself being deluged in red roses and offered several speaking contracts. Obviously, they are all lucrative but you choose the one with optional extras: an extended holiday in the South of France …
But first you have to begin at the beginning: planning your speech. Without a plan you are whistling in the wind, dreaming.

Planning your speech from the start
A note about these notes.
These notes are general guidelines for ALL types of speeches. I know they are long.
(Actually that's an understatement! They are very long.)
I also know if you take the time to go through them they'll give you a solid introduction to thorough speech preparation.
They cover the basics of good presentation planning, research, writing and rehearsal: aspects you’ll want to consider regardless of the type of speech you’re giving.
Gathering your information
Once you have information about:
- WHY you are going to speak (the purpose of your speech),
- WHO you are going to speak to (your audience),
- WHAT your general or specific subject matter is,
- HOW long the speech is to be,
- and WHERE it is...,
you are ready to make a rough or draft outline.
This will be your guide for writing.
You may alter the outline as you go along, as better or different ideas occur to you and that’s OK. It shows you’re flexible and thinking but before we can change anything we have to have something to start with.
To get to the outline stage in the speech planning process we first need to collect up all the "why", "who", "what", "when", "how", and "where" information needed. And that begins with a brainstorm * .
* What is a brainstorm?
A brainstorm is the name given to a commonly used, and effective, technique for generating lots of ideas on a topic, or theme, fast.
Using a heading as a prompt to get you thinking, you quickly note everything you can think of relating to it. You do not edit yourself. You simply let the ideas flow until you can think of no more, making no judgements about whether it's a good idea, a silly idea, or a right or wrong one.
Ultimately, some will be more useful than others. You will sort through and order them later. However, the first step in the brainstorming process, is to accept everything you think of without hesitation. Stopping to decide what's OK and what's not breaks the flow.

Brainstorm to begin planning your speech
The brainstorm you are going to do is about making sure you thoroughly understand everything you possibly can about the speech you intend to give.
On a large piece of paper or in a word document write these headings with enough space between them for notes.
WHY are you giving this speech?
What is the purpose of the speech? Do you intend to inspire? To motivate? To entertain? To inform? Or perhaps you want to combine several, like to inform, motivate and inspire?
Knowing what you want your audience to think, feel and do as a result of listening to your speech is the WHY underpinning your presentation. It will help guide what content you use and how you structure it.
WHO is your audience?
Write down as much as you know about the audience.
This will give you ideas about what they will want to hear and be interested in. It will also be your guide when it comes to shaping your material. (More about this later!)
For now, make notes covering:
- the number of people expected to be in your audience,
- their age group,
- ethnicity, if appropriate,
- and the common, or uniting factors they share,
- and specific interests they may have.

Examples of WHY, WHO, WHAT...brainstorm notes
Meet Martha Brown. She's fictional. I've made her, and the presentation she's preparing for up, to show you how the brainstorming part of the planning process works.
Martha's been asked to give a motivational speech to a group of women whose background is similar to her own. She, too, came from a family who struggled financially.
Today she is one of the few amongst her relatives who has maintained a marriage, raised children and has a successful business. Her small catering firm specializes in delivering beautifully presented gourmet meals and finger food on demand.
The organizer of the event wants her to share her life story as a guide or inspiration.
Martha is conscious of her good fortune but also knows the starting point, or the seed, lay within her. She desired the change of circumstances so much she enabled them to happen.
WHY is Martha giving this presentation?
What's the principal purpose behind Martha's speech? What does she want her audience to think, feel or do as a result of listening to her?
Let's put ourselves in her shoes.
She wants to:
- motivate and inspire her audience
- give them hope
- show them there is a way out of the circumstances they find themselves in
WHO is Martha's audience?
These are Martha's notes covering the key points about her audience.
- Approximately 25 people ( number )
- Mostly mid to late 30s (age)
- All women (gender)
- Mixed ethnic background but all speak English (ethnicity)
- City dwellers (uniting factor)
- Mostly work inside the home (uniting factor)
- Many have children (uniting factor)
- Interested in achieving work/life balance for themselves and their families and in particular a better financial situation (interest/uniting factor)
- All belong to the same church group (uniting factor)
WHAT are you going to talk about?
Write down the title and/or type of speech you have been asked to prepare. Now using your notes from the WHO section of your brainstorm, begin another set.
This time you are looking to see how WHAT you're going to talk about can be specifically shaped to meet and serve the interests of your audience.
Let's look at an example of WHAT
How does martha shape her life story to fit her audience.
She doesn't want to overwhelm them with information so they can’t think straight or digest it. That will turn them off.
They will think it’s too difficult and beyond them. They may listen, be interested, but they won’t identify with it.
She wants them to feel they can take from her experience and use it to enrich their own lives.
Her notes for WHAT may look like this:
- S peech Title How to win a future for your family when the kids need feeding and the bills want paying.
- Content - main points
- I am like you – I get too busy to plan ahead, I have a tendency to deal with what or whoever squeals loudest, I get tired …
- Before and after – life before I made the decision to start my own business – life after I made the decision. Comparisons – several examples.
- The hardest part of making the decision and acting on it was … Examples.
- The best part of making the decision … Examples. People who inspired me to act.
- What I’ve learned in the process about my family, others and myself … Examples.
- How I keep myself inspired … goal setting, listening and learning from others
- The future – a possible way forward for you, the women in the audience listening.
It’s not a speech yet but you can see the beginnings of its shape and how she’s used her knowledge of the audience to ensure giving them something they’ll enjoy listening to and identify with.
How? (How long will I speak for? How will I deliver my speech?)
There are two important 'hows' to consider.
1. How long have I got to speak?
The first is HOW long have I got to speak.
The time allocation you have been given will determine what you put into your speech and what you will leave out.
If you have a relatively short time, 3-5 minutes, you will need to either focus on one major topic with examples to illustrate or settle for covering a maximum of three lightly.
The purpose of your speech and your audience will help you make the most relevant choice. A longer time gives you more freedom to develop several ideas/themes fully.
2. How will I deliver my presentation?
The second 'how' relates to the method of presentation. HOW will you deliver this speech?
For example:
- Will this be a speech told with humor?
- Will you have a 'show and tell'? (This is when you take objects relevant to your speech to illustrate your points. It could be photographs or other items if they are suitable to transport.)
- Could you give a demonstration?
Shaping delivery to meet different learning styles
When you consider this 'how' bear in mind the different needs of your audience. Most people have a preferred mode for receiving information. That is their learning style.
Some people understand well through listening. They are called 'auditory'.
Some people get most of their understanding through looking. They are called 'visual'.
Others receive and understand information best when they can touch, feel or do what is being explained to them. These are the 'kinesthetics'.
Most of us have a preference for one or two modes. For instance, I am 'auditory' and 'visual'. I want to hear and see.
A considerate speaker tries to include all three modes (learning styles) in their speech.

Delivery and time are yoked together
How you to choose to deliver your presentation is governed by the time you have available. If it is short, you may have to leave out a 'show and tell' or a demonstration but you will always be able to include something to meet all three modes satisfactorily.
'HOW' example from Martha's brainstorm notes
Let’s return to Martha’s Notes to see what she does with the 'how' segment of her brainstorm.
How long? Time available = 10 minutes. (Maybe a little more but that depends on the rest of the agenda of the meeting and how well it flows. Could be some space for questions from the audience and answer.)
How to present? Definitely with humor! Also take some fliers, business cards and samples of finger food along. These can be available for people to pick up at the end of the presentation.
WHEN will this speech be given?
WHEN has two aspects you'll want to take into consideration.
The first is the actual date you have to have it ready for delivery. That lets you know how much time you have for preparation. Is it three weeks, six weeks, or two days?
You'll use that information to plan your workflow. For example, allocating yourself one week to get your preliminary outline and any research required, completed.
The second aspect is the actual time of day and season you deliver a speech. This can have an impact on what you do and say.
For example: You can use an early bird start in the middle of winter on a wet Monday morning effectively by acknowledging the efforts people have made to be there, and by making sure the heaters are on and there's hot coffee available.
Finding ways of tying in what is happening in the 'here and now' is a good way to connect with your audience.
A word of warning : Be conscious about presenting difficult or challenging material when people are either both tired and hungry (just before lunch or dinner) or when they’ve just eaten! Concentration spans are not at their best in either situation. If possible save this type of content for a mid-morning or afternoon slot.

WHERE will this presentation take place?
The environment/room/space you are to speak can play a big role in shaping the final presentation of your speech.
Points to consider are:
- Where will I be in relation to the audience?
- Will they see me easily?
- Will they hear me easily?
- Do I need a microphone?
- Is there a place to put notes if I’m using them?
- Where can I set up my samples for people to take them easily?
- Are there power points if I want to use any electronic devices?
- Do I have to provide everything I want to use (e.g.: computer, screen, leads…)?
Many fully prepared, beautifully rehearsed speeches fail because insufficient thought has gone into where they are to take place.
It’s no fun when people can neither see nor hear you or the carefully thought through demonstration is stymied through lack of an electric socket in the right place!
Martha’s Notes, WHERE: Church meeting room. It can seat everybody comfortably and there’s room for a table to put out a display of fliers and trays of food, paper napkins etc. Arrange the chairs in a horseshoe or semi-circle so everybody can see clearly.
Pulling the brainstorm notes together in an outline
Once you've worked your way through making notes under your WHY, WHO, WHAT, HOW, WHEN, and WHERE headings, you're ready for the next step.
That's picking and choosing, then re-ordering and re-writing the material you've taken from the WHAT and HOW segments of your brainstorm until you're satisfied it flows well and meets your speech purpose.
After you’ve completed outlining your speech, you’ll be ready to do any extra research required, and then you’re on to the task of writing your speech.
Martha's completed outline
Here's Martha’s Finished Outline as an example.
Speech length : 15 minutes with extra time for a 'Question and Answer' session at the end of the presentation.
Speech title : How to win a future for your family when the kids need feeding, and the bills want paying
Introduction (2.5 minutes): Thanks for coming today … Summer heat, we’d all rather be at beach reading a book under a sun umbrella….etc. But I hope I’ve got something for you that’ll more than make up for it. I look around the hall and I see a lot of women just like me: women, who work hard, love their families, etc., … want the best for them.
(Insert anecdotal humor, perhaps a small personal story about credit cards. For instance, the only way I could manage them was to banish them the bottom drawer of the filing cabinet. Or use them to test how sharp my scissors were.)
Main Idea 1 (3 minutes): Introduce business and what it is.
Explain how it functions on a daily basis. Briefly outline long-term goals.
(Quick show-and-tell with flyers and food. Invite people to sample at end and ask questions.)
Main idea 2 (3.5 minutes): My life before the business (tie to women in audience). My life after business started. What I have achieved. The hardest part about starting, staying in business. The best part about starting, staying in business. People who have inspired me.
Main idea 3 (3.5 minutes): What I’ve learned in the process about my family, others and myself … Examples. How I keep myself inspired … goal setting, listening and learning from others
Summary : (2.5 minutes): Very quick round up of principal points. The future – the way forward for you, the women in the audience listening. Invite questions if time. Remind them about the fliers and the food! Thank organizers.
Summary - Core speech planning questions
That’s it! Very short, sweet and simple.
There’s nothing magical about planning your speech. It's just methodical: one-step-after-another. If you find yourself flustered go back to the core brainstorm headings and ask yourself the key questions once more.
- WHY am I giving this presentation? What is my purpose?What do I want my audience to do, think, or feel as a result of having heard me speak?
- WHO is this speech for?
- WHAT am I going to tell them that’s relevant and interesting?
- HOW long is the speech expected to be?
- HOW am I going to present it?
- WHEN is the speech for? (Date, day, time, season)
- WHERE is the speech going to happen? (Hall, outdoors, stadium…)
Write your answers down and let them be your guide.
Remember this is not your finished speech.
It’s your outline * : a map of what you’re going to cover.
Don’t spend too much time trying to get it perfect. You’ll want that energy for researching, writing and rehearsing!

Getting from planning to delivery

When and what to research
If you already know your subject thoroughly, inside out, back to front and sideways, there will be no need to research and you can skip this part of planning your speech.
BUT if you don’t, the outline should point up the gaps needing to be filled with specific information.
In our example it there seems little need for Martha to do any further research, as this speech is her personal story.
However, there are a number of ways she could strengthen her speech and add real benefits for her audience.
For example: she could bring along fliers from local training institutions providing courses especially geared for women setting up business on their own or she could provide a list of business women in the community willing to mentor and advise women in start-ups. A reading list would be helpful, as would a resource list.
All of these ideas need researching before presenting.
Careful research adds authority to your work. It shows care, thought and dedication to getting it right. Your audience will appreciate and respect you for it.
NB. If you are presenting material as fact rather than as opinion, check it! Make sure you know rather than think you know. If you can’t find out, then say so.
PS. Remember those modes or preferred learning styles?
Did you pick how Martha planned to meet each of them in her outline?
For the 'auditory' learners she would tell her story using her voice in a lively, interesting-to-listen-to way! Nothing turns an auditory focused person's ears off faster than a monotone drawl.
For the 'visual' people, she would provide fliers and food to see. Plus her appearance and body language would 'say' to them, this is a vibrant, purpose-filled person who loves what she does.
And lastly, she would use 'word pictures' to illustrate the points she made in her speech. The 'visual' would literally 'see' where she was coming from by using their imagination to recreate her images in their own minds!
For the 'kinesthetics', Martha planned to actively tell her story. She would use vivid 'action' words describing how she did things.
Example: ' I started a business.' is bland. It doesn't communicate any of the effort or feelings involved.
By contrast: ' I started my own business. What a journey! I know you've watched your children learning to walk. Well, that was me! I fell. I skinned my knees and bruised myself. I got up, took two steps and crashed again...'
You get the idea. This is action, living and real.
The 'kinesthetic' folk will appreciate and know what she is talking about.
Additionally, Martha's fliers and food will appeal too. They can hold them, actively read the fliers and taste the food.
Lastly, they will be aware of what Martha does while she's talking to them. Is she conveying energy, excitement and action in her body language? If so, she'll have them with her!

- The Conclusion -- This is where you tell them what you've told them.

Speech Writing: How to write a speech in 5 steps
Every great speech starts with an idea, be it for school or work or a TED talk about your area of speciality. We investigate how to get all those ideas from your head to a written speech and then back to your heart. Author of “ How to be Brilliant at Public Speaking “, Sarah Lloyd-Hughes explains the five steps of speech writing…
Even heads of state and other renowned orators have help in writing a speech. They often have professional speech writers to provide them with great content, but you too can learn not only how to talk but also how to write a speech like a pro.
Here are 5 steps that we take our speakers through when they’re writing a speech – and it’s the same process as we use for writing TED style talks.
Speech writing step 1: Get focused
TED talks famously focus on ‘one idea worth spreading’ and this is what helps them to retain their power. Before you write a single line, figure out what the ONE idea is that you’ll shape your talk around.
When your talk has a single focus you’ll see huge benefits:
- Clarity: For yourself and your audience.
- Easy to pass on: Popular talks, like Simon Sinek’s TED talk ‘ How great leaders inspire action ‘ or Ken Robinson’s TED favourite ‘ Do schools kill creativity? ‘ are utterly focused and easy to pass on because they have just one idea.
- Powerful: When you’re digging in one hole you get deeper, likewise with your talk you can go further with one idea.
- Memorability: Audiences these days are overwhelmed with ideas and information. You need to be much simpler than you think to stand a chance of your message being remembered.
To find your ‘idea worth spreading’ takes a little time and skill, which is why we’ve devised a complete programme for speakers who are interested in writing World Class Speeches , like the finest TED speakers.
But if you’re just looking for a place to start, these questions will help you get going:
- What do I want to say?
- What effect am I trying to have by speaking?
- If I can only put across one message in my speech, what will that be?
- What is my broader purpose in speaking?
You’re looking for one idea that is clear, interesting and hasn’t been heard before. Good luck!
Speech writing step 2: Think about your audience
Ironically, most speakers completely fail to think about their audience! Yet the best speakers are intimately aware of the needs, questions and doubts facing their audience.
Ask: To whom am I speaking? Before you start writing you first must ask yourself Who is my audience and what are they seeking ? Writing a speech for a group of human rights activists would be very different to a speech for business managers. Technology engineers might have a totally different perspective on your subject than a room full of English professors. Thinking deeply about your audience’s needs is the quality of a public speaker I call Empathy. It’s an important starting point on your speech writing journey.
Ask: Why should they listen to you? Great speech writing is grounded in purpose and message. Consider what qualifies you to speak; what you have to offer the audience that they would not be able to hear from anyone else (we all have something).
Ask: What do you want to leave your audience with? As a result of your Empathetic investigations, what would be your desired outcome as a result of the speech? Decide what your main message will be and continually return to that primary point as you compose your speech. This keeps the audience (and you) focused. As Winston Churchill said: “If you have an important point to make, don’t try to be subtle or clever. Use a pile driver. Hit the point once. Then come back and hit it again. Then hit it a third time with a tremendous whack. ”
Speech writing step 3: Build up your speech
Now you have a clear focus to your speech and an idea of how to communicate that clearly to your audience. That’s the skeleton of the speech. It’s now time to fill in that skeleton with meaty content:
- Brain Storming. Make lists of all the things you want to speak about. Once listed, it will be easier to cut or rearrange your points.
- Categorize for the win. Brainstorming should lead to a nice list with several categories. Speech writing is all about organization and finding what fits best with your audience and their needs. Think of these categories as stepping stones. Leaving a gap too large between any two stones and they will turn into stumbling blocks will sinking you and your audience. Speech writing is not very much different than writing a paper; thesis statement, support of the thesis, and a conclusion.
- Edit for the jewels . Look for the key moments in your speech that will stimulate the hearts, minds and even stomachs of your audience. Seek the most vivid experiences and stories that you can use to make your point – these are what will make your speech stand out from all the other public speaking our there.
Speech writing step 4: Create a journey
Another key skill of speech writing is to get the right information in the right order. Think of your speech like a journey up a mountain:
Get ready for the trip (introduction).
- The beginning of your speech is the place where you grab the attention of the audience and get them ready to go on a journey with you. For them to travel up your mountain with you they need to know where you’re going together, why it’s an interesting journey to go on and why you are a credible guide to lead them there.
Pass some interesting sights on the way (main body).
- Keep an audience engaged for an entire speech by raising the stakes, or raising the tension as you progress through the speech. Think about contrasts between the ‘good’ and the ‘evil’ of your subject matter and contrast the two with stories, facts, ideas or examples.
- Here you might write multiple sections to your speech, to help you stay focused. You might like to write an introduction, main body, and conclusion for each section also. All sections don’t have to be the same length. Take time to decide and write about the ones that need the most emphasis.
Reach your summit (climax).
- The climax is the moment of maximum emotional intensity that most powerfully demonstrates your key message. Think of the key ‘Ahah!’ moment that you want to take your audience to. This is the moment where you reach the top of your mountain and marvel at the view together. It’s a powerful, but underused speech writing tool.
A speedy descent (the close).
- Once you’ve hit your climax, the story is almost over. We don’t want to go all the way down the mountain with you, we’d much rather get airlifted off the top of the mountain whilst we still have the buzz of reaching our goal. This is what great speech writing manages time and again.
- Strangely enough the close can be the hardest part of speech writing. Here’s where you get to hit home your action point – the key thing you want your audience to do differently as a result of listening to your speech. Often the close is where speakers undermine the power of the rest of their speech. So, write a memorable conclusion that captures the essence of your speech, give it some punch, and stick to it!
Speech writing step 5: Test your material
Practice your speech several times so that you can feel comfortable with the material. Try the speech out on camera or to a friend to see which parts are most powerful and which you can take the red pen to.
However skilled you are (or not) at speech writing, remember that you are the magic that makes the speech work. It’s your authentic voice that will shine to the audience them and inspire them towards your message.

The Ultimate Guide to Public Speaking: Everything From Speech Writing to Speaking Fees
I’ve been fortunate enough to have a wonderful motivational speaking career that has spanned over 40 years. There are hundreds of public speaking tips I’ve learned along the way.
From best practices on body language to eye contact, I’m going to share as many of them with you as I can.
Whether you’re speaking in a small meeting or to a larger audience, I’ll cover techniques in this post that can help you in any situation, from Ted Talks to business pitches.

The starting point in the art of public speaking is to pick the subject that you will be speaking about.
Now, this might seem obvious, but choosing a speech topic can sometimes feel more difficult than actually giving the speech.
1. Speak About Something You Care About
To pick a subject, reflect back on what you are truly passionate about.
You can speak about almost anything you want as long as you have a genuine interest in it. For example, I began speaking in business, sales, and leadership qualities because I truly believe that is my purpose in life and I love helping others in these areas.
Think about your passions and pick one to speak about – just make sure your passion and expertise on the subject come through in your speech!
2. Focus Your Speaking on a Single Subject
To crave a distinct lane for yourself, you should specialize and always focus on a single subject – especially when you’re first starting out.
What you don’t want to do is try and please everyone, and end up with nothing unique about your personal brand.
You don’t want to give a potential prospect a laundry list of things you’re knowledgeable about or say something along the lines of, “I can give a speech on anything you’d like.”
Instead, you’ll want to demonstrate your specific expertise and how it will benefit your specific audience.
For example, if you’re someone with a lot of business experience and you specialize in increasing company efficiency, you might say, “I show leaders how to get the very best out of each person that reports to them.”
To which your prospect would reply: “Great. All of our managers would like to hear that.”
3. Don’t Stray Too Far Out Of Your Direct Experience
Every subject I ever agreed to speak on was within my direct experience.
It may be tempting to say “yes” to every request, but it is better to be transparent about your skills than to end up scrambling to learn enough on a new subject to “wow” your audience.
Now that doesn’t mean you have to deny every opportunity that doesn’t directly align with your main focus. Look for ways to indirectly merge the two topics.
For example, early in my career I primarily spoke to salespeople about selling techniques. So when I was presented with the opportunity to speak on leadership, I had to pause and reflect. I had been a sales manager in large organizations. I had hired, fired, trained, and managed people for years and I had a bunch of quotes from other leaders .
Although most of my talks had a sales focus, I had years of experience leading a team that I could pull from to craft a well-informed talk.
So, it’s all about finding that middle ground of your direct expertise and tweaking your real-life examples to fit your topic.
4. Get to Know Your Audience
Once you figure out what you want to say, you’ll be able to pinpoint who would benefit from hearing your motivational speaking.
I’m sure you’ll agree with me when I say the ability to entertain, inform, and inspire an audience through public speaking is a skill that offers immense value. Because of this, you should know what your audience wants from you.
Whether it is your first speech or 300th, you should know why people are coming to listen to you. Defining your target audience will help you determine what examples you should use to communicate your points most effectively.
Some things to consider:
- What age are the people who need to hear your message?
- What’s their career?
- Where do they live?
- What are their interests?
- What do you and your audience have in common?
These considerations allow you to cater to your audience’s curiosities and interests in your speeches. And when you know your target audience, you’ll also be able to figure out where to find them — such as a marketing conference or another industry event.
Once you have your topic locked in, it’s time to start the writing process! This is where a lot of speakers start to feel overwhelmed.
From how to begin, to what to cover… from how to time your talking points, to how to close it out, – every decision seems monumental.
So let’s break it up into a few smaller chunks to help you tackle the writing process with ease.
How To Structure A Speech
Writing and presenting a speech is just like dialing a phone number. When you want to call someone, you dial the right numbers in the right order, and you’re connected.
When you want to give a successful presentation, the same rules apply.
1. Implement the Rule of 3’s
Structuring your speech outline should be as simple as 1, 2, 3 – literally. No matter how simple or complex the subject matter, the basic flow of your speech should be:
- Your opening
- Your key points
- Your closing
That’s it. Whether it’s a 10-minute presentation, a 2-hour keynote, or a virtual presentation , this basic structure is all you need to write a great speech.
I’ll get into how to start and end your speech in the following sections, but first I want to focus on the structure of your key points, which will end up being the bulk of your talk.
If you’ve done a good job brainstorming, you might have lots and lots of ideas you want to cover. But again, remember the rule of three.
It’s been proven time and time again that there is a little bit of magic behind the number three when it comes to writing.
So try to stick to three main key points. You can (and should) have a lot of supporting ideas and examples, but they should all relate to one of your three overarching points.
2. Use Stories to Link It All Together
Once you have the main three points of your speech, use stories to help further illustrate your points.
The stories you include in your speech act as anecdotes for the points that you are trying to make and help the listener better relate to your message.
You can tell stories that are motivational; that have to do with greater success and achievement as the result of persisting. And you can tell stories that are emotional; that makes people feel a bond with your journey. They can be stories that inspire, persuade or anything in between.
However, DO NOT tell a story just to tell a story. As the great orator Winston Churchill once said, “If you have an important point to make, don’t try to be subtle or clever. Use a pile driver. Hit the point once. Then come back and hit it again. Then hit it a third time – a tremendous whack.”
3. Remember That Less is More
Always aim to be as clear and concise as possible. This will help you get your point across as the audience won’t be distracted by fluff, and when every word carries meaning, they will listen even more intently.
When everything is clear, concise, and related to the point you are trying to make, it’ll be much easier for the audience to understand.
Refer back to that Winston Churchill quote and remember, less is more.
How to Start Your Speech
You have heard the saying “First impressions are lasting; you never get a second chance to create a good first impression.”
The same is true when talking about how to start a speech…
The truth is, when you start your speech, you must focus everything on making a positive first impression on your audience members.
The start of your speech is so important that I have written an entire blog post specifically on techniques to start your speech , but here are my three favorite options.
1. Make A Strong Statement, Then Ask A Question
If you start by making a strong statement and then ask a question, you can then follow with an answer and ask another question. This gets people immediately involved and listening to your every word.
Here’s an example:
“Twenty percent of the people in our society make 80 percent of the money. Are you a member of the top 20 percent? If not, would you like to join the top 20 percent or even the top 10 percent? Well, in the next few minutes, I am going to give you some ideas to help you become some of the highest-paid people in our society. Would that be a good goal for our time together today?”
2. Start Your Speech by Referring to Current Events
Use a current event, front-page news story to transition into your subject and to illustrate or prove your point. You can bring a copy of the newspaper and hold it up as you refer to it in your introduction.
This visual image of you holding the paper and reciting or reading a key point rivets the audience’s attention and causes people to lean forward to hear what you have to say.
3. Make A Shocking Statement
You can start your talk by making a shocking statement of some kind.
For example, you might say something like: “According to a recent study, 72 percent of the people in this room will be doing something different within two years if they do not rapidly adapt to new technological advancements in marketing.”
In this case, I’ve gone with a fear tactic. The people in the audience are quickly realizing that if they are not careful (and listen to what I have to say) they could very well be out of a job.
This is the kind of gripping introduction that you want to lead with – something that surprises the audience and leaves them wanting more.
How to End Your Speech
So, as we know with our rule of 3s, a good speech is like a good play. It opens by arresting the listener’s attention, develops point by point, and then ends strongly.
There are tons of ways to end a speech, depending on what you are speaking about or what your public speaking goal is.
And before we get into a few options, I want to share this one universal tip.
To ensure that your conclusion is as powerful as it can be, you must plan it word for word.
The worst thing you can do is leave the audience questioning what the point of your speech was, so you want to ensure you have a strong closing memorized.
This is especially important if you are someone that gets nervous when public speaking or tends to riff on ideas because it will ensure that you have bullet-proof anchor points to fall back on.
With that in mind, here are three of my favorite techniques.
1. Give A Clear Call-To-Action
Perhaps the best way to end your talk is to tell your audience what you want them to do as a result of hearing you speak.
Ask yourself, “What is the purpose of this talk?”
Your answer should involve the actions that you want your listeners to take after hearing you on stage.
For example, you might say: “We have great challenges and great opportunities, and with your help, we will meet them and make this next year the best year in our history!”
Whatever you say, imagine an exclamation point at the end. As you approach the conclusion, pick up your energy and tempo. Speak with strength and emphasis.
Drive the final point home.
2. Share an Interesting Quote
Another option is to end your speech with something motivational.
People love to be motivated and inspired to be or do something different and better in the future. Find a quote that is memorable, and even better, make it relatable to your talk.
For example, if you’ve just given an inspirational speech about starting your own business, you could close out with this quote from Steve Jobs:
“If you are working on something that you really care about, you don’t have to be pushed. The vision pulls you.”
Remember, everyone in your audience is dealing with something, and for this reason, everyone appreciates some encouragement that gives them strength and courage.
Here are a few more of my favorite inspirational quotes that can be tied into most speeches.
3. Make Them Laugh
Another closing option is to tell a joke that loops back into your subject and repeats your main point with a story that makes everyone laugh.
For example, during my talks on planning and persistence, I discuss the biggest enemy that we have, which is the tendency to follow the path of least resistance.
I then tell this story:
Ole and Sven are out hunting in Minnesota and they shoot a deer. They begin dragging the deer back to the truck by the tail, but they keep slipping and losing both their grip and their balance.
A farmer comes along and asks them, “What are you boys doing?”
They reply, “We’re dragging the deer back to the truck.”
The farmer tells them, “You are not supposed to drag a deer by the tail. You’re supposed to drag the deer by the handles. They’re called antlers. You’re supposed to drag a deer by the antlers.”
Ole and Sven say, “Thank you very much for the idea.”
They begin pulling the deer by the antlers. After about five minutes, they are making rapid progress. Ole says to Sven, “Sven, the farmer was right. It goes a lot easier by the antlers.”
Sven replies, “Yeah, but we’re getting farther and farther from the truck.”
After the laughter dies down, I say…
“The majority of people in life are pulling the easy way, but they are getting further and further from the ‘truck’ or their real goals and objectives.”

BONUS TIP: If you feel like your closing is falling a little flat, try this: Sometimes the best strategy for ending with a BANG, is to plan your close before you plan the rest of your speech.
You then go back and design your opening so that it sets the stage for your conclusion.
When someone asks me how they can learn how to get better at public speaking I like to tell them this quote:
“The only way to learn to speak is to speak and speak, and speak and speak, and speak and speak and speak.” – Elbert Hubbard
While it’s true that the only way to become good at anything is by repetition, there are many things that you can do to be more effective in speaking in front of audiences.
Public speaking is a process, and therefore everything from preparation and practice to knowing your audience plays a part in the final product.
Being able to deliver a complete message, from your body language to your word choice, makes all the difference in landing a sales pitch or impressing a live audience.
1. Record Your Practice Sessions
If the first part of successful public speaking is caring and preparing, the second part is practicing and improving your presentation skills.
If you have a tape recorder or, even better, a video camera, record yourself giving the talk from beginning to end. Then listen to it or watch it and make notes on how you could make it better.
If you’re using a video camera, look into the camera and focus on your facial expressions and body language. If you don’t have a video camera, use a mirror to watch yourself while you speak.
When you critique yourself, be very hard on yourself. Remember, the more honest and objective you can be about how you come across to others, the faster you will build effective communication skills for success.
2. Take Deep Breaths
The phrase “take a deep breath” isn’t just an expression, it’s legitimate advice. Deep breathing exercises are a proven way to help reduce stress and can sometimes serve as a sort of reset button whenever you are becoming too worked up over something.
If you feel your stress starting to spiral out of control, pause, close your eyes, and breathe in and out deeply a few times. A welcome wave of calm relaxation should follow.
In addition to helping you relax, when you focus on your breathing, you develop the ability to breathe calmly and focus better during your speech.
3. Practice With a Friend
There are plenty of people you can practice with. Be sure to tell the person to be completely honest with you in their critique.
Speaking directly to another person will help relax you and give you experience with receiving feedback. If they have questions about your speech, it is likely that members of an audience will have the same questions.
Remember, making sure you are prepared and confident in the material you are presenting is an effective way to create an impactful presentation.
We’ve discussed the basic structure of a speech and how to best prepare yourself to present in front of your audience, now onto the next step — how to get speaking engagements.
A public speaking career can be a lucrative and rewarding way to make a living. But if you’re still trying to book your first gig, you might feel as if you’re never going to be able to launch your career.
1. Determine Your Area of Expertise
Before you start looking for that first speaking engagement, sit down, and define what you bring to the table. All of us have a different skill set and this allows us to bring a perspective that’s unique from anyone else.
When I first started my speaking career, I had a lot of sales experience. So I started off by speaking about sales techniques, which allowed me to capitalize on my experience in the industry.
Think about where you have experience and where your strengths lie.
Ask yourself:
- What kind of audience would benefit from this information?
- Where are they?
The answers to those questions will reveal the types of people and organizations you should target as you look for gigs.
At this stage, you don’t have much speaking experience — and that’s okay! So instead of presenting yourself as a speaker, try pitching yourself as an expert in your field. Framing yourself as an expert can help people take you more seriously. It can also boost your confidence because it’s completely true.
2. Utilize Your Network and Local Venues
As you’re looking for your first speaking engagement, don’t be afraid to be open about your search. Ask your network of coworkers and friends if they’re aware of any opportunities. You never know who has connections, and in most cases, people are more than happy to share with you.
The future belongs to the askers. The future belongs to people who confidently ask for what they want, and especially to speak to a company or organization.
You can call them up and explain that you specialize in this subject and that you’d love to speak to their organization.
The more you ask, the more answers you get.
It can also be helpful to start small and slowly gain credibility. If you’re selling books, you might try a local bookstore, library, or an event at a coffee shop. If you’re building your coaching career, try to find local meetups or conferences in your area.
You won’t be able to jump into nationwide events right away, but if you start building now with small local venues, you’ll be able to speak at larger and larger events over time.
3. Have Realistic Expectations
You might have to reach out to multiple places regarding a speaking engagement before you get a yes. And that’s okay! Don’t lose your motivation. Remember, the more you ask, the more answers you get.
Have perseverance, stay consistent, and follow up with your leads if your initial message doesn’t get an answer.
It’s also important to keep in mind that your first speaking engagement might not be a paying engagement. And that’s okay, too.
Zig Ziglar, who is one of the great and legendary motivational speakers, used to say that he gave 3,000 talks before he was paid for the first one.
I worked with Zig for years, traveling and speaking together. I finally found out that what he meant was that he started off in sales and then trained salespeople for a decade or more.
Every morning he would give a little sales talk to his people. He would tell little stories and give little motivational and sales tidbits, and that was his beginning.
You’re building the blocks of your speaking career, and once you nail down your first speaking gig, things will get easier and easier.
If you are to become a public speaker, you have to convince people that you are worth their time and worth listening to.
This is why, as a public speaker, being able to pitch yourself is one of the best skills that you can have. It is key to getting bookings and getting the people who come to your events excited.
1. Set Yourself Apart
Similar to speaking about a subject you truly care about or are passionate about, you need to be distinct from other people or speakers.
Whether it is your topic, or if there is a way you go about your speaking, you need to set yourself apart from others and make it clear why you are unique. Creating this “unique selling point” immediately makes your pitch stronger and at the least, different from the rest.
2. Speak Slowly and Clearly
Talking about yourself is never an easy thing to do. And normally, when pitching yourself, you aren’t exactly given all day. This can lead one to feel pressured, talk faster, miss important points, or hurry through significant points.
While you don’t want to speak like you’re listing bullet points, you should speak slowly and clearly so that your audience can absorb all the information you are giving them.
Lastly, remember to speak naturally. Speaking slowly doesn’t mean you should talk like a robot, speak as you would in any conversation. This will not only put your audience at ease but through speaking normally, you can also put yourself at ease.
3. Finish with a Call to Action
When pitching yourself, you should know exactly what your goal of the pitch is. Make it clear to the other party what you want to happen or what you expect to happen next. This could be anything from a follow-up meeting to confirming a booking, but make sure that the final call to action is an actionable step that makes your intentions clear.
When you do this, you are confirming that you and the other party are on the same page. Now you can walk away from the pitch knowing if you did or did not achieve your goal, instead of wondering how it went.
After you pitch yourself perfectly to your prospect and they are interested in having you speak at their event, the next step (and often the most uncomfortable) is to negotiate your speaking fee.
But you don’t have to dread this conversation. In fact, it is essential for your speaking career.
The truth is, knowing how to set speaking fees can accelerate your success. Yes, it can be awkward, but you need to know how to do it…fortunately, it gets easier with practice!
1. Estimate Their Budget
A bit of simple math can help you estimate your client’s budget.
Start with the cost of each ticket as well as how many tickets the client expects to sell.
Multiplying these two numbers gives you the client’s gross budget.
Next, divide this number by four—this roughly accounts for the cost of the venue plus the cost of any additional overhead your client will need to cover (e.g., security, refreshments, etc.). The figure you’re left with is a fair estimate of how much your client has in their budget for speakers.
Finally, you’ll need to know how many speakers the client will have at the event. Then, simply divide the estimated budget by the total number of speakers. The result? A decent estimate of how much your client can pay you.
2. Discover Who They Have Worked with Before
Knowing who your client has worked with previously gives helpful context when figuring out what they are prepared to pay for guest speaker fees.
Are their prior guest speakers well-known personalities or industry-leaders? Or, are they lesser-known individuals who are earlier on in their public speaking careers?
Whether you’re speaking at an annual conference, an academic institution, a corporation, or some other engagement, learn about who came before you. You may be able to find this out online or by asking the client directly.
3. Look for Averages in Your Niches
Do some research; talk to other speakers in your field, who share your level of experience, to figure out what they earn. Their figure doesn’t have to be the exact same as yours, but determining what the “going rate” is can help you establish a good ballpark figure in your mind.
Ask for some time to think it over. Most people actually have a range in mind when they offer you a certain fee. Whereas they probably want to pay you the lowest amount in that range, however, your goal is to get the highest!
Now that you’ve negotiated your fees and booked yourself a gig, I’ve included a few tips below that will help you mentally and physically prepare to speak with confidence publicly.
Your speech is a product of the practice and preparation that you put into it. When people think about preparation for public speaking, they’re usually referring to memorizing your speech or the key points within it.
However, when done properly, these 6 tips to improve your public speaking voice, along with the exercises (both mental and physical) below, have the ability to bring your speech to the next level.
1. Get Organized
Take a moment to breathe and collect your thoughts. When you organize all of your thoughts and materials it helps you to become much more relaxed and calm.
When you have clear, organized thoughts it can greatly reduce your speaking anxiety because you can better focus on the one thing at hand, giving a great speech.
2. Visualize Your Speaking Success
All improvement in your outer performance begins with an improvement in your mental pictures. Once your thoughts are focused and organized, visualize yourself on stage.
You should ‘‘see’’ yourself standing calm, confident, relaxed, and smiling as you address your audience. See the audience leaning toward you, smiling, laughing, enjoying, and hanging on to every word you say as if you were amazingly intelligent and entertaining.
Here is an important discovery: Your subconscious mind cannot tell the difference between a real event and an event that you vividly imagine.
If you visualize and replay a positive speaking experience 10 or 20 or 50 times in your mind, the subconscious mind records that you have just given 10 or 20 or 50 successful talks, all ending in standing ovations and happy audiences.
3. Use Voice Exercises
The human voice is like a muscle. It can be made stronger with exercise and use.
For example, memorize a piece of poetry and recite it regularly as you drive or walk around. Imagine that you’re making a dramatic presentation on a stage, in front of a large number of people.
Put emotion and strength and emphasis and energy into the words. Go slowly. Change the emphasis on each word in the line of poetry, thereby changing the meaning of the line.
Many people with weak voices have become powerful, confident speakers by building their voices over time with exercise. Use your voice consistently to make it stronger.
4. Eat and Drink Well
Energy is essential for good speaking and voice projection. What you eat and drink before a speech can impact your performance.
Before a short talk , eat lightly. This ensures that you are bright and alert when you start speaking and that your brain is functioning at its best.
Before a long talk, it’s essential to eat well. A solid, high-protein breakfast or lunch will give you the energy to burn for four to five hours.
Only drink room temperature water prior to and during your speech, this will ensure that you have the best possible voice. Cold water can chill your vocal cords and decrease the amount of warmth in your voice.
When you have a sore throat, it can be difficult to speak clearly and project your voice. If this occurs, drink hot water with lots of honey and lemon juice. This miraculous combination has saved me on several occasions.
If you’ve ever had to give a speech – whether it’s to a thousand people or just a few, you know how nerve-wracking it can be.
The fear of public speaking is very real for a lot of people. In fact, more people fear public speaking over dying.
Thankfully, there are many ways that you can learn to overcome your fear of public speaking… and here are some of my favorites.
P.S. None of my tips include having to picture the audience in their underwear.
1. Avoid Thinking About the “What ifs”
“What if my audience hates my speech? What if they boo me off stage?”
Try to eliminate all of your fears of rejection. The audience is there to listen to you for a reason.
2. Work on Your Breathing
When you focus on your breathing your voice will have more resonance and you will be able to relax. Breathe calmly and focus on getting into a rhythm.
Although this is a public speaking exercise, breathwork will help reduce stress and improve clarity in all areas of life.
3. Take Public Speaking Classes
One of the best ways to improve your public speaking skills is to take a class. You may be able to find a class offered nearby every once in a while. These tend to focus on a few particular lessons, techniques, or strategies.
After attending a few of those, you’ll understand how to give a great speech and, better yet, how to get paid for doing so.
It also helps to find a great coach or mentor. There are many groups that you can join to learn the art of public speaking. A group such as Toastmasters is a non-profit and helps people get over their fears by having them practice speaking on subjects over and over. These groups may be a great place for you to find a mentor.
4. Further Your Expertise with a Public Speaker Course
If you can dedicate enough time to your training, enrolling in a course is one of the best ways to fully immerse yourself in the matter. Some programs even offer degrees or certifications, but these aren’t necessary to get started. The important thing is that a public speaking course will teach you to engage and entertain any audience.
5. Be Prepared to Improvise (A little bit)
Ernest Hemingway wrote that “In order to write well, you must know 10 words about the subject for every word that you write. Otherwise, the reader will know that this is not true writing.”
Personally, I feel that, in speaking, you must know 100 words for every word that you speak. Otherwise, your audience will have the sense that you don’t really know what you’re talking about.
This also helps if you have a mental block on stage. When you know 100 words for each word, you can easily pivot to a different way of getting your point across, without being affected by the mental block.
6. Make Your Nervous Energy Work for You
Learn to channel your nervous energy into positive energy. Being nervous is a form of adrenaline.
Use this energy in a positive way to help give an impassioned presentation during public speaking events.
When you get on the stage, it feels like everyone’s eyes are on you. However, that doesn’t mean that everyone is paying attention.
As a speaker, you want to truly capture the attention of your audience so that they can really absorb what you are saying. The more your audience absorbs, the more likely they are to learn, which means the more likely they are to come back, and the cycle starts again.
Your stage presence is a huge part of your public speaking, and truly having a solid stage presence comes with a lot of experience. However, these tips below may help speed up the process a little bit.
1. Slow Down
When you speak more slowly, your voice has more power and authority. Your listeners have an opportunity to absorb and reflect on what you’re saying.
A speaking voice that exudes confidence will give your words greater importance. All powerful people speak slowly, enunciate clearly, and express themselves with confidence.
When you speak too rapidly, your pitch increases, often to something squeaky and child-like. This decreases the impact of your words and your influence on the audience because listeners downgrade the importance or value of what you are saying.
So, remember, a loud, confident speaking voice presented at an even pace will lead to a powerful and moving speech.
2. Speak to Win
Your job is to speak to win on every occasion. Your goal is to be seen as an important player in every conversation. Your aim is to persuade others to your point of view and to make an impact on your world.
You will achieve this by thoroughly preparing for every meeting that you hold or participate in, and by making others in the room feel important.
The more you can involve the participants in the discussion, the better sense you will have for how they are thinking and feeling, and the more likely it is that they will agree with you at the end of your presentation.
3. Create Mental Images
A picture is worth 1,000 words, even if that picture is in your head. Creating mental images for each major point in your speech can serve as a great reminder for you while you are on stage.
As you shouldn’t aim to memorize a speech word for word, this technique can be equally as helpful.
Visualize the point you are trying to drive across happening, or things that are associated with the point, so that when it’s time, you can relay what you are “seeing” to your audience.
4. Take it Seriously
No matter the size or the purpose of your speech, you should always treat it with the utmost seriousness.
Whether, consciously or subconsciously, your audience will continually upgrade or downgrade their opinions of your personality, ability, competence, and level of confidence based on your presentation. For this reason, you must think of your speeches as important events in your career.
Do your best to avoid distractions while giving your presentation . Your ability to speak well and persuasively can have an extraordinary impact on your life and career.
A lot of your success in public speaking will come through knowing your audience and what your purpose is in speaking to them.
Are you trying to motivate a large crowd? Inspire results within your team? Persuade a potential business partner?
Each one of these scenarios requires a different approach in order to best achieve your goal. From preparation to execution, every speech should be tailored to the audience that it is being delivered to so that it can have its greatest effect.
1. Use Storytelling in Your Presentation Wherever Possible
The key to keeping an audience engaged during a speech is with personal stories. Stories are the most important part of a good presentation.
They make your audience feel like they know you and can trust what you are telling them. You can tell very short stories, and they can be your stories or someone else’s stories. If it’s your personal story, that’s even better.
Start by saying, “I heard a story just the other day.” And then you tell the story.
Or, “Let me tell you a story,” or “This is something I heard recently that really moved me.”
The truth is, in order for your presentation or speech to have its greatest effect you need to be able to wow your audience. When you’re giving facts and figures they will pay a certain amount of attention.
But when you tell a story, your audience will listen intently.
2. Connect with Emotion
Sometimes when I’m talking to my audiences I will say, “Tell me, what percentage of people’s thinking is emotional, and what percentage is rational or logical?”
And people will guess for a while, and then they’ll finally say, “Oh, well it’s 10% logical and 80% or 90% emotional.”
I tell them “No. People’s thinking is 100% emotional.”
What does this mean? This means that people think emotionally and justify logically. The subconscious mind, and our emotions actually function at several thousand times the speed of logic.
For example, you may meet a person and instantly like them. You may find later that there are a lot of reasons for you to instantly like that person. Your emotions acted like a switchblade, instantaneously, but your logic followed after and you figured out the reasons.
3. Relate to The Audience’s Self-Interests
What motivates people to be really interested in your talk, aside from the subject, which many of them may have to be there for?
Many people have told me that they were forced to come to my seminar. They didn’t want to come, because they didn’t think they would learn anything.
The question you have to ask is, what are the motivations that you need to appeal to so that they will really listen?
Truthfully, I’ve found that one of the great motivations is self-interest.
That’s why I ask how many people would like to double their income. They all raise their hands simultaneously.
Then I say,
“Well, in the time we spend together I’m going to give you several ways that you can double your income. These are ways that have been tested and proven by people all over the world. They’ve done these things over and over, and I’ve used them myself to go from rags to non-rags. I’ll give you those same ideas. Would that be a good use of our time together today?”
And they all say, “Yes! Yes!”
I have their total interest.
4. Tell the Audience EXACTLY What They Are Going to Gain
The desire to gain is a great motivator. If you can convey to your audience that they’re going to gain things from your talk, like time, money, or greater success, then they will be listening, and they’ll want to know how they can do that.
For example, a wonderful way you can open a talk is by saying: “There are three things you need to do if you want to double your income in the next 12 months.”
Then you pause.
When you pause, do you know what happens?
People lean forward and say to themselves, “I wonder what it is.” They wonder what the three things are.
Then you say, “The three things are these. You have to be able to do this, and this, and this.”
And then the question they ask in their mind is, “I wonder how to do that.”
Now it’s almost like fishing…
You just reel them in.
The Power Of The Pause is a technique that everyone should be using in their talks.
5. Bring The Audience Into the Conversation
In this age of technology, one of the most common and effective ways to speak to your audience is virtually.
There are many methods for how to conduct an effective online presentation, whether it is through a Facebook Live, a YouTube video, a webinar, or even in video lessons.
It is one thing to get your audience to tune in but another to keep their attention. Try bringing them into the conversation. This will engage your audience and keep them coming back for more.
Public Speaking Tips for Small Groups and Meetings
1. ask specific questions.
Asking specific questions can be very helpful as you can use questions to lead your audience where you want them to go.
Asking small groups specific questions is a way to put everyone on the same page, and it is also an indicator of whether people are following along or not.
If people seem confused by your questions, and if they’re specific enough, you can easily tell what is confusing them and quickly circle back.
2. Call on Volunteers
When working with a small audience, the best way to keep people engaged is to get them involved. Volunteers can also help you demonstrate certain points or scenarios.
As you may have been on the other side of this tactic, it also helps your audience pay attention. No one wants to be the person who gets called out and doesn’t understand, so in a way, this can pressure your audience into being attentive.
3. Give Very Niche Examples
When you have a small group, they most likely are all there for the same, if not similar reasons. So, in these settings, make sure your examples are as tailored to them as possible.
These niche examples will show your audience that you know what you are talking about, and encourage them to be involved. They also will most likely be naturally interested in examples that cater to their interests.
Public Speaking Tips for a Larger Audience (10+ People)
1. participate with hand raises.
This is similar to calling on volunteers in small groups. In large groups, volunteers can take up time, and people may not be able to hear others in the audience, causing confusion and distraction.
Hand raising allows people to be involved, without having to be vocal, and this keeps the focus on you.
2. Utilize Relatable Anecdotes
Depending on your topic and the nature of your speech, anecdotes can have different purposes. However, as long as your audience can relate to them, they will most likely be very helpful.
Using anecdotes to relate to your audience makes them feel like you are talking directly to them, no matter how large the crowd is. If it is a joke, struggle, or even idea that they can relate to, they will feel more involved and invested.
3. Ask Rhetorical Questions
Asking questions naturally gets the attention of your audience as they will want to know the answer. But when you ask a question that they already know the answer to it helps them engage.
This gets the audience to think about their own situations and response, while also allowing you to emphasize points that you are making.
Lastly, it can also make your audience think about certain ideas for a bit, or even help you transition into new ideas.

1. Keep Your Slides Short and To The Point
Each slide should only be about one key point or takeaway. If you put too much information on one slide it will become confusing to the viewer.
Try to focus on putting one point and then some bullets explaining it on each slide.
2. Use Pictures and Visuals When They Add To The Presentation
Use visuals in your presentation that help get your point across. Know your audience.

3. Use Bullet Points Rather Than Paragraphs
When you use bullet points on your slides, it gives your audience key points from your presentation. It also gives you speaking cues, in case you lose your train of thought.
Don’t overload your slides with bullets. This will keep your audience engaged with you and not reading slides.
Your slides shouldn’t do the talking for you. Limit your words to 6 words per line, and 6 lines per slide.
4. Don’t Read Your Slides Word for Word
Elaborate on the information in your slides, don’t read them word for word.
Your presentation should help to supplement what you have to say and give key points. You are the presenter, use your slides to get your key points across and keep them simple.
With each point, if you are using bullets, you can then elaborate by telling an interesting story, or a joke.

Public speaking is also the most effective way to share your ideas with the world. It takes confidence, passion, and authenticity to share a message that influences and resonates with an audience.
How does one attract eager audiences around the world?
It starts with the commitment to make as many speaking engagements as you possibly can. Get your name out there.
1. Start Small
I have spoken in over 70 countries around the world in the last 30 years. I have been translated by about 50 different professional interpreters. Because of all that, I have been titled the most prolific speaker in the history of the world.
The first thing you want to do is start where you are. For the first 10-15 years of my speaking career, I was focused in North America.
Pick a subject that you really care about and that you think is important for people to know about. Become very knowledgeable in that subject.
Then, begin to offer speeches or small workshops to people within your circle, and at no charge.
2. Build Up Your Experience and Credibility
In my early beginnings, I would often ask if I could speak for free or at minimum cost to get experience and credibility. Sometimes if people don’t know you or your reputation, you have to start from the bottom and work your way up.
There is a basic rule that says, “Before you get paid for speaking, you have to give 300 free talks.”
It may actually take you 100 or 500. But the point is, keep offering free talks until somebody comes up and asks, “How much would you charge to give that talk to my people or my company?”
Professional motivational speakers have one central focus: We’re always thinking in terms of how to get more speaking engagements.
3. Always Ask for Opportunities
The future belongs to people who confidently ask for what they want. Especially those that ask to speak to an international company or organization.
You can call them up and explain that you specialize in a subject and that you’d love to speak to their organization.
Ask them for the opportunity. Ask them for more information. Ask them if they use speakers and when they will be using a speaker again.
The more you ask, the more answers you get. And eventually, the more you will get asked to speak for them.
85% or more of all speakers are hired because someone else recommended them.
Someone who heard them speak said, “This is a great speaker.” The more people who say that you did a great job when you spoke somewhere else, the faster and easier it is for them to hire you.
Word of mouth travels fast, especially when it is positive.
5. Stick Around After Your Speech
When you’ve given a speech or a talk, stay around after and offer to speak again to others, maybe even on different subjects.
It’s amazing how much business comes when you stick around, have coffee, and talk to people. Sometimes, this will cause people to tell you about their business and ask if your talk would be helpful to them.
Many speakers have developed this to the point that they get two bookings from every talk they give.
After making a name for yourself, if you want to get paid to speak around the world , the steps below should help you begin on your journey.
1. Focus on One Country Outside of The U.S.
Once I established myself in North America, I made a bridge to Germany. It was the starting point of my speaking internationally.
Put your stake in the ground of a country outside of the U.S. to kick off your international speaking career.
2. Learn the Language
Next, you should learn their language.
After my first few gigs in Germany, I immediately started taking German classes and tutoring. It was an opportunity to develop a tremendous business around my seminars, programs, and books.
3. Talk To International Colleagues
In your travels as a speaker, you will more than likely come across a few audience members or fellow speakers who are international. Develop those relationships and keep in touch with them.
You need to make sure that the message and purpose of your speeches are meaningful in their cultures, so these acquaintances can be very helpful down the line.
An enormous number of professional speakers start off the same way:
They start off speaking in their organization or in their company or sometimes will be asked to talk on their subject to a small group of people within their industry. They put together some notes and share what they know.
When people respond positively, the speaker will suddenly realize that they really enjoyed it too. And that is one of the main reasons people want to get into speaking.
Keep reading, I’m going to share some things I’ve learned during my public speaking career.
1. Always Be Willing to Learn
There are always new skills to be learned that can complement your public speaking or new resources that can help you see things in a different way.
As a person and a public speaker, you should always be open to learning new things no matter the level you reach. In a way, this is a skill as well, and all it takes is being hungry to learn.
In my 40-year public speaking career, this hunger and willingness to learn has been the one skill most crucial to my success.
2. Practice Makes Perfect
Practice makes perfect, and perfect practice makes it even more perfect.
If you practice consistently, you will find that your presentation skills have dramatically improved over time.
Whether it is practicing your eye contact or sharpening your memory to recite speeches word for word, repetition will help every aspect of your “performance”.
Remember, your ability to speak effectively in front of people can do more to advance your career and your life than perhaps any other skill you can develop.
3. Take Action!
Are you passionate about spreading your message, creating a lasting impact, and making more money through speaking and communicating effectively ?
This information is ONLY for professional or aspiring speakers. Becoming an accomplished, effective, sought-after speaker isn’t simple. It’s the result of putting together a careful, highly specialized plan.
And it’s not your fault you’re not as effective a communicator as you want to be.
Speaking doesn’t come naturally to everyone, and without experience and expertise, it’s difficult to know how to turn speaking into a successful business and spread your message effectively.

Presentation 101: How to Make a Powerful Introduction in Presentation
When you give a presentation, how do you start? Do you just briefly introduce yourself and the topic and then start the presentation? Of course, this is what most speakers do. In principle, there is nothing wrong with starting a talk this way. But it tends to bore the audience. Using an interesting introduction at the beginning of a speech not only grabs attention, it sets the mood and tone for the speech. In addition, a successful opening can relieve tension by giving the speaker hope. So today we're going to look at 8 ways to make an interesting introduction, with examples.
Why is it so important to have a strong introduction in your presentation?
A good start is half the battle. A strong start is vital in a presentation. Typically, presentations begin with a brief introduction. Here are some reasons that a strong introduction in presentation is so important:
1.Capture the audience's attention: Audience attention spans are short, especially in today's fast-paced world. A strong introduction will grab your audience's attention right from the start, making it more likely that they will stay engaged for the entirety of your presentation.
2.Establish your credibility: Your credibility is established by an effective introduction. It's an opportunity to briefly introduce yourself, what you know about the topic, and why you're qualified to speak about it. This helps build trust and confidence with your audience.
3.Set the tone: Introducing sets the tone for how the presentation goes. It gives your audience an idea of what to expect and helps them understand the purpose and importance of your presentation.
4.Provide key context: A good introduction sets the context for your presentation. It helps your audience understand why the topic matters, how it relates to them, and what they can expect to learn or gain from listening to your talk.
5.Engage your audience: An engaging introduction can pique your audience's curiosity and create a desire for more information. Stories, humor, and powerful statistics are all ways to engage your audience and get them to listen.
Eight tips of using interesting ways to introduce a presentation:
1.Share a short story or anecdote. Begin your presentation by sharing an engaging short story, which then leads to the topic of your presentation. Beginning with a story enriches the content of the speech, introduces the point naturally, and stimulates the audience's interest.
e.g. " When I was young, my dad loved watching NBA games. I didn't know what the NBA was at that time, but I remembered that the players' performances fascinated me, and from then on, I loved playing basketball, and the NBA accompanied me as I grew up. Therefore, today I would like to share the profound influence of NBA on me."
2.Start with a shocking statistic. Data is a very visual and powerfully powerful element. Typically, beginning a presentation with data clearly conveys the relevance of the topic and engages the audience.
e.g. "Did you know. According to the WMO, 2023 was the hottest year on record, with the global average near-surface temperature 1.45 degrees Celsius (0.12 degrees Fahrenheit) above pre-industrial levels, making the past 10 years the hottest on record. Global warming has already brought about dramatic changes across the globe. Today, I’m here to talk about global warming.”
3.Begin with a relevant quote. Quoting an influential person is one of the easiest ways to start a presentation. Quotes are extremely influential, especially the more famous they are. The choice of quotes can make it more like the audience knows what the speech is about.
e.g. "As Ada Lovelace says, ‘The more I study, the more insatiable do I feel my genius for it to be’. As the world's first computer programmer, Ada Lovelace had made a great contribution in AI. Let’s explore how Ada Lovelace change this world with AI.”
4.Ask a thought-provoking question. Most presentation know that start a presentation with a question will increase audience participation. This way would also make the audience think and take questions to engage with the presentation.
e.g. "If you had the ability to develop a weapon that did so much damage, would you build it? If this weapon was used in war, would you continue to build it? This question is what Oppenheimer faced. In this presentation, we’ll dive into the legend life of Oppenheimer.”
5.Use a relevant analogy or metaphor. Using a relevant analogy or metaphor is also a effective way to make your introduction interesting. This way can simplify complex ideas, enhance understanding, and make the topic more relatable and memorable for the audience.
e.g. "Launching a startup is like planting a seed. It requires nurturing, patience, and the right conditions to grow into a thriving business. In this presentation, we'll delve into the essential ingredients for startup success."
6.Begin with a compelling image or visual: Visuals are a powerful communication tool. We can transmit information quickly to the brain through visuals. Image material can visualize the main object and the main message of the presentation, allowing the audience to look at it with a goal in mind.
e.g. "This image represents the devastating impact of plastic pollution on our oceans. Today, we'll explore sustainable solutions to combat this environmental crisis."
7.Begin with “imagine”. The imagination of the human brain is infinite. When we start imagining about a certain point of view, behavior, or thing, we have many kinds of imagined results. Starting with imagination will make the audience actively listen.
e.g. "Imagine you're a project manager leading a team through a major crisis. How do you navigate the challenges and keep your team motivated? Today, we'll discuss strategies for effective crisis management."
8.Begin with a teaser or provocative statement. Starting with a teaser or provocative statement can hook the audience's curiosity from the outset, compelling them to lean in and listen attentively. It ignites intrigue, setting the stage for a captivating presentation that stimulates critical thinking and discussion.
e.g. "In a world where technology is advancing at lightning speed, are we at risk of losing our humanity? Today, we'll explore the intersection of technology and humanity, and what it means for our future."

Michigan Sen. Mallory McMorrow on her DNC speech, future priorities for the state
McMorrow spoke with WDET after taking the podium to discuss the new energy behind the Democratic Party, her future career aspirations and her legislative goals this fall.

Michigan State Sen. Mallory McMorrow (D-Royal Oak) received some rare time on a national platform Monday night at the Democratic National Convention in Chicago.
She talked about one aspect of the Heritage Foundation’s “ Project 2025 ” – the conservative group’s plan for restructuring the U.S. Government, should Donald Trump win another term.
McMorrow warned that a Trump administration would replace civil servants across a wide swath of the federal government with people that would serve Trump’s interest and not the country’s.
I caught up with McMorrow after her speech at the Democratic National Convention to talk about her message about Project 2025 and her future priorities for the state.

The following interview has been edited for clarity and length.
Russ McNamara: How did it come about that you were asked to speak at the Democratic National Convention?
Mallory McMorrow: It was wild. I got a phone call out of the blue a few weeks ago from Julie Rodriguez, the Harris campaign manager, who asked if I would be willing to speak at the convention. The answer was, of course, yes.
RM: The topic, Project 2025 — each night, someone’s going to be breaking down a different part of it. How much control did you have over the messaging? Because you took what could be a dry subject and put a little life into it.
MM: We did it could potentially be a really dry subject. So they pitched me on the topic, but I worked really closely with a speechwriter on how we were going to present it, because my whole thing is, we have to explain things to people in regular, common language, like you talk to your friend at a bar.
RM: You’ve had a couple of your floor speeches go viral. You’ve got over 250,000 Twitter (X) followers, it seems like, for the past, at least six weeks, the Democratic Party is really trying to reach out to younger voters. Do you see that the National Democratic Party is kind of realizing that you have a different touch, and can really bring in that demographic from early 20s to mid 30s.
MM: Absolutely, I think looking at the lineup that we saw on night one, you had everybody from Maxine Waters to the President of the United States to Kamala making a surprise appearance, to me, to AOC, who, a couple of years ago, you know, was an outsider and not considered the norm in the Democratic Party. And I think that they’ve done a really fantastic job of recognizing to be a big tent party you have to present your big tent. And I think that they did that last night, and it’s really cool to be a part of it.
RM: What are your overall aspirations? I know it’s early, you still have one more Senate term to go, potentially barring reelection. But what do you want?
MM: I really love communication — shocker — and helping other people figure out how to do this work themselves. Something that I really, really enjoy is joining advocacy calls, running trainings, helping other people learn how to tell a story and advocate at school board meetings. So I don’t entirely know what that looks like, but I love this work, and I want to keep going as long as I can.
RM: Is that political office, or is this leadership of some sort within a Democratic Party or a nonprofit?
MM: I think there’s a lot of doors open. We’ll see what’s next.
RM: Nuts and Bolts question, what are the priorities for this fall?
MM: We’ve got a lot to do this fall. We’ve got potentially a school supplemental to get done. I know that working with a lot of our school groups on some of the funds that we had last year with the influx of COVID-19 dollars for things like school counselors and public safety are a key priority for us to try to get done. And then for me, the big thing is SOAR reform, we got really, really close before the budget on investing $200 million in transit annually, on housing, on downtown development. I think there’s a path, and I want to try to get it done this fall.
RM: Is it feasible and is there any room in the calendar for another look at car insurance?
MM: I think we have to, you know, the fact that we’ve now lost people from the no fault reform, who lost their care, who have since died. I mean, it’s just devastating to realize that this is fixable, and it just takes the political will to do it. So the fixed bills have been stalled out in the House. I know the House is going to be worried about this being an election year, but this is just common sense to get it done and to save people’s lives.
RM: How much does all of this get put on hold if there is a change in the House after the election?
MM: You know, something that’s been interesting about no fault reform is we have had bipartisan support. We had it last term. We’ve had it this term, I think, particularly in the metro Detroit area — inclusive of Macomb County, outer Oakland County — we have legislators who see their constituents directly impacted by this. So I think that regardless of what happens this fall, there’s going to be a path.
