How do you structure a cover letter?

A great cover letter has five parts: the salutation, the opening, the hook, the paragraph of knowledge, and the close.

1. The Salutation (The Hello)

Before writing your cover letter, you should research the company you're applying to. This includes finding the name of the hiring manager who will be reading your resume and cover letter. Get a name, any name. By hook or by crook try to get a name. Sometimes you can't—then try Dear hiring manager .

2. The Opening (The Grab)

The opening paragraph of your cover letter is your introduction and presents the reader with some immediate and focused information about your connection to the company. Don't just reiterate what you say in your resume. Explain what you admire about the company you're applying to. Essentially, you need to tell a story about why you want to work for them. It should "grab" the hiring manager and disrupt them in some way (hence a disruptive cover letter ).

3. The Second Paragraph (The Hook)

This paragraph should define some examples of the work performed and the results achieved. It should be connected to your resume. This does not mean you should copy verbatim what is in the resume. Rather, cover some key competencies that you feel define your success. Provide the hiring manager with some added context about your unique background, blending those facts with language from the job description. Set the stage for how you are qualified for the role you are applying to. But, don't overdo it.

In the event you are highlighting some information not contained in the resume (if you are switching careers, or have a unique value proposition), this is the perfect place to cover that information.

4. The Third Paragraph (Paragraph Of Knowledge)

Next, demonstrate something you know about the company (its goals, recent achievements, etc.) that prompted you to write. Then, select a couple of examples from your resume that you believe will impress recruiters and hiring managers . Reword these achievements and frame them in a way that shows the employers what you can do for them. This shows the reader that you did some preliminary homework and understand the company's drivers and goals.

Try to include quantifiable examples wherever possible since numbers usually resonate more than words.

5. The Fourth Paragraph (The Close)

In the closing paragraph, quickly summarize what you offer, ask for the interview , and close by thanking the hiring manager for taking the time to read your cover letter.

5. Eat Lunch At The Park

Knowing all the parts of a cover letter is essential, but that’s not the only trick to writing an excellent cover letter. Putting in a bit of extra effort will make your cover letter stand out from the rest, and will therefore make you more likely to get an interview.

Customize each cover letter. When you’re sending out applications to multiple companies, it’s essential to tailor each cover letter and resume for the job. Your resume customization may just take a few strategic keyword changes and emphasizing different parts of your experience.

Your cover letter customization, however, should be much more thorough. Hiring managers and recruiters can spot a generic cover letter a mile away, so be sure to talk specifically about why you’re interested in the company and what particular value you’d have for the company.

Find the hiring manager. In the spirit of customization, try your best to find the hiring manager or recipient’s name. Review the job posting for contact info, research the company’s website, and look on LinkedIn if you’re stuck. Or just call the company’s HR department and ask.

If you’re still stuck, “Dear Hiring Manager” or one of its alternatives will work.

Don’t copy your resume. Instead of repeating every point from your resume, pick one or two bullet points to really emphasize. Think about what accomplishments you can quantify since those are the most compelling evidence of your past success.

Also, your cover letter should answer the “how” and “why” of your career, so discuss how you achieved those awesome results and why you enjoy doing things your way.

Always focus on the company. A cover letter is your chance to sell yourself, but that mostly means highlighting how the company will benefit from your skills , methodologies, and contributions.

Steal keywords from the job description. Highlight keywords from the job description like skills, qualifications, and attributes, and then incorporate some of those words throughout your resume and cover letter. That way, it’s super easy for a recruiter or hiring manager to see how your experience matches up with the job requirements.

Match the company culture. Spend some time researching the company on their website and scouting employees on LinkedIn. If you can match the tone of the company’s written communications, you’ll be in good shape for presenting as a solid cultural fit.

Let your personality shine. Resumes are boring, but cover letters are your chance to showcase who you are as a person as well as a professional. Don’t go overly formal (unless you’re applying to a conservative firm).

Hiring managers want to know what kind of person you’re like to work with, and while the interview will inform them more fully, your cover letter is meant to whet the reader’s appetite so they want to call you in for an interview in the first place.

Open and finish strong. Cover letters are generally skimmed, so you really want to make your opening and closing lines count. Open with an attention grabber and finish with a strong call-to-action and reminder of your awesomeness and enthusiasm.

Keep it short . Cover letters should never be more than 400 words, but we recommend aiming for a 200-300 word count. As we said, recruiters usually skim these things, so make it easy for them.

Review and edit. Never send a cover letter without a proofread, a spellcheck program, and, if possible, a trusted confidant to read it over. Another pair of eyes might catch things you didn’t notice re-reading it over and over again.

Email cover letters. If you’re emailing your cover letter directly (as opposed to attaching it or mailing it physically), be sure to include a descriptive subject line.

Often, employers will tell you how to label your email in the job posting, so follow any directions there. If not, a subject line that includes your name and the position you’re applying for is a safe bet.

For an email cover letter, don’t include contact information at the start. Instead, put your contact information after your signature (you can skip your physical address) and leave out the company’s contact information entirely.

What not to put in a cover letter

Knowing what to avoid putting in your cover letter can be just as helpful as knowing what to put in it. Here are a few items you should leave out:

Lies (even little white ones or stretched truths).

Anything about salary.

Negativity about your current job.

Information about your personal life.

Long-winded paragraphs.

Unneccessary or irrelevant information.

Grammatical errors.

Misspelled words (including names).

Unprofessional email addresses or file names.

Polarizing or controversial hobbies or opinions.

Cover Letter Example of the Essential Components of a Cover Letter

I took a songwriting class once.

I had visions of being a Grammy-winning lyricist, even if I did not have the requisite talent.

The only thing holding me back, in my mind, was that I didn’t know anything about songwriting. So, I did what any good student would do. I took a class.

I signed up for a weekly songwriting class at UCLA (through their Extension program, not a credited course at the university).

Early on the instructor went through all the components of a song. A song needs to open with this, then transition to that, have a hook, include a chorus, be sure it has x, more of y, and don’t include z.

Wait! What?! How was I supposed to remember all this while I was writing profound and memorable lyrics that were going to move people and get my song stuck in their head incessantly like a CD stuck on repeat??

My head was spinning.

“Just show me the template for a good song and let me run with it!”, I thought.

Finally, the instructor did give us templates and samples for a well-written song. I could now look at the song template and write my own lyrics following a similar pattern.

And then, writing the lyrics for a song became (relatively) easy!

I wrote the lyrics, my partners wrote the music, we recorded it, and viola, I was a songwriter.

So, I know the importance of a good template.

I’m going to share with you the components of a cover letter, but more importantly, I’ve also got a cover letter template for you to use.

5 Components of a Cover Letter

There are several key components that should be included in every cover letter:

1. Compelling Opening that Grabs Attention

Assume the hiring manager or recruiter reading your cover letter has over a hundred, maybe even several hundred to get through. That’s not an unrealistic assumption. So, make sure your opening grabs their attention and wakes them up from the monotony of reviewing resumes.

Don’t simply state the position you are applying, why you are excited about the role, or worse, a generic opening that doesn’t provide any real information.

Focus on what you can deliver the company, not what’s in it for you. In your cover letter opening, state your relevant experience or what you are known for and why it makes you a perfect fit for the position and will exceed expectations. If you were referred by a professional colleague, share that and why the person recommended you apply for the position. A referral is a great way to let others brag about you!

Be sure to include descriptive words and set the tone that you are not a typical candidate with a standard approach. You are unique, uniquely qualified, and will deliver results!

2. Keywords from the Job Description

In paragraph two, if you haven’t already, start to include a few the of keywords or key phrases from the job description.

This is important if the company is using an applicant tracking system or other form of keyword searching to determine if you are qualified. It’s likely they are, and you won’t know for sure, so assume they are and include keywords from the job description throughout your cover letter and resume.

Select the keywords or phrases that appear to be the highest priority for the role and those you have the most relevant experience in. You don’t want to “keyword stuff” your cover letter by using the same keyword so many times it doesn’t read authentically. But you do want to use the main keywords more than once in your cover letter.

3. Results and Achievements

A lot of candidates will tell , in both cover letter and resume, about the experience they have that will enable them to succeed in the role. Stand out from other candidates by showing how you will deliver results.

Using your keywords from the job description, include your results and achievements that support them. Let the accomplishments in current and past positions validate how you add value. The reader will immediately see you have proven results that will enable you to succeed in the new role.

One way of doing this is to include bullet points of the most important required skills or responsibilities of the position. Then, include a few words on your work experience related to them, but most importantly the results of your activities.

Your achievements should be quantifiable and include the metrics of how they were measured (numbers, percentages, dollars) so the reader will understand the value you added at your previous companies and how it will be applicable to the new role.

4. Soft Skills

Once you’ve included your hard skills in the body of your cover letter (with corresponding success metrics) you can focus on your soft skills.

Soft skills are the personal attributes, personality traits, and communication skills required to perform the role. Soft skills characterize how you engage and interact with others.

The soft skills you include in your cover letter should be ones listed in the job description, assuming you have those skills, of course. Here is your opportunity to let some of your personality shine and share what is unique about you that will enable you to perform this position better than anyone else.

Better than simply listing your soft skills, share a story of how you’ve used them effectively in a specific situation or quote what people say about your soft skills. Paint a picture of your soft skills in action so the reader will trust there is truthfulness in your statements and not just a list of desired skills they are looking for. Plus, it gives further insight into your personality and ability to nail the job!

5. Proactive Close

Now it’s time for the big finale! Writing an effective, interesting, and memorable close can be challenging, but don’t lose focus or get lazy now! You are so close to completing your great cover letter!

Your cover letter close should be professional, confident, and customized to the role and company. The close is your opportunity to show you are a go-getter who is excited about pursuing the opportunity and have the desired experience to excel in the role.

You don’t want it to be passive and sound like you are sitting back waiting to hear from them. Instead, be direct in your enthusiasm for the role and desire to follow up or take the next steps in the hiring process.

If you have the contact information to directly follow up with a person, then say so, and do it (do not say you will if you have no plans or capability to follow up with them)! If you do not have the information to reach out directly to follow up on your application, then include a proactive statement that assumes you will be talking to them about the role, but don’t be cocky. I always like, “I look forward to further exploring how I can increase [key responsibility of position] for [Company Name].”

Now, on to that cover letter template I promised you! If you take all the cover letter components I just outlined and put them all together, you get a cover letter that looks something like this:

My specialty is driving marketing programs that grow B2B tech companies. I have driven advertising and lead generation activities for startup SaaS companies, where I created big results with limited resources. I am excited about the prospect of generating big results for [Company Name] as the [Position Title].

Throughout my career, I have managed complex marketing initiatives and achieved exceptional, rather than expected, results. For example, I developed a digital media campaign that increased leads 22% within three months and directed social media programs that boosted engagement 125% in six months.  Other aspects of my background that will enable me to successfully lead [Company Name]’s marketing initiatives:

  • Drive Digital Marketing : Strategize and manage digital marketing programs including SEM, SEO, social media, landing pages, retargeting, and content marketing. In one-year, increased SEM leads 150% while decreasing CPL by 26%.
  • Generate Leads : Launch and manage multiple lead generating campaigns incorporating Google Ads, retargeting, email, Facebook ads, webinars, ebooks, infographics and native advertising. Enhanced email marketing leads by 33%, boosted digital media leads by 45%, and exceeded budget for annual leads by 18%.

What Elements Should You Include in a Cover Letter?

There are a few key elements you need to include to write a successful cover letter .

Let’s take a look at them one by one:

#1. A Professional Template

Your cover letter should be easy on the eyes and even easier to navigate.

This means you have to set the right page margins, adjust the line spacing, choose an appropriate font , and set it to the correct size, all while making sure your text never spills onto page two.

A cover letter should be easy to navigate at a glance.

If your cover letter is a huge chunk of text that fully covers the entire page, without paragraphs or ample white space, it’s going to look cramped and leave a bad impression on the hiring manager.

This is where your cover letter’s formatting comes in. You should divide the contents of your cover letter into a header with contact information, and then split the actual text into an opening paragraph, a main body, a conclusion, and a formal closing line.

Be sure to also use line breaks and bullet points to break up your paragraphs to increase your cover letter’s readability.

The exact date you write your cover letter may seem like a small detail, but it can actually add an extra touch of professionalism to your job application.

Just keep in mind that the format of the date should align with the standard in the country where you're applying. For example, in the US , the mm-dd-yyyy format (e.g., May 22, 2024 ) is the go-to, whereas most other countries prefer the dd-mm-yyyy format (e.g., 22 January 2024 ).

#4. Your Interest in the Company

It’s important to tailor your cover letter for the specific job you’re applying for to show the hiring manager that you’re a serious candidate who’s done their homework about the position.

This is why the body of your letter should always include a paragraph where you clearly explain why you’re interested in the specific company.

Start by doing some research on the employer . You have to show the hiring manager that you understand what makes the company unique and how you align with their values and needs.

Think about what you genuinely like about the company you’re applying for. Whether it’s their remote working conditions, their focus on diversity or sustainability, or something else entirely, be sure to mention it in your cover letter.

If you’ve used a product or service that the company provides, say so in your cover letter. On top of that, highlight what specific aspects of the company resonate with your career goals , such as their innovative methods or cutting-edge market strategy, that you want to be a part of.

You can also take the time to explain why you’re excited about the job itself. Talk about how your unique experience and skills make you a suitable candidate and how you’re confident you can contribute to the company’s goals.

#5. A Call to Action

Every cover letter should end with a strategic call to action.

Your call to action can be a polite statement prompting the hiring manager to get in touch with you to go over your application or to discuss how you could contribute to their team.

Adding a call to action at the end of your cover letter shows that you’re proactive and eager to move forward with the hiring process. This highlights your enthusiasm for the role and makes it more likely for the hiring manager to get in touch with you after putting down your cover letter.

What Sections Should You Include in a Cover Letter?

When writing your cover letter, you can easily split the process into several key sections.

Let’s break them down:

  • Header with contact details. The top of your cover letter should include a designated header where you can input your contact information, such as your full name, email address, phone number, address, and links to any relevant social media. Make sure these details match your resume and double-check for any typos.
  • Company details. Do your research so you know exactly who to address your cover letter to. Add the hiring manager’s name, department, the company’s name, and the company’s address.
  • Personalized greeting. Skip the cliche and impersonal “To Whom It May Concern” and use a more memorable greeting instead. We recommend using “Ms.” or “Mr.” followed by the hiring manager’s last name.
  • Opening paragraph. Your cover letter should start with a brief and attention-grabbing paragraph . This should include a couple of your top skills, an impressive achievement, or a relevant qualification.
  • Main body. Take the time to explain some of your top achievements or skills in more detail, and cover anything you didn’t have the space to address in your resume.
  • Conclusion. Recap the main points in your cover letter so far, then wrap it up with a polite call to action.

What Should You Never Include in a Cover Letter?

A cover letter allows you to personalize your application and provide more details about you to the hiring manager.

But that doesn’t mean everything should make the cut.

Let’s look at what you should never include in your cover letter:

#1. Irrelevant information

Your cover letter should be concise and focus on the most relevant details that make you the right candidate for the job.

Hiring managers don’t have all day to spend on your application, and when they’re reading your cover letter, they want to get to the point quickly. If your cover letter includes too many personal anecdotes or irrelevant experiences, like how you worked as a dog walker at 15, they might get bored and stop reading it altogether.

A cover letter is, first and foremost, a professional document, not a personal essay. This means that focusing too much on yourself, as well as your wants, needs, and opinions, is not a good idea.

Your cover letter should focus on what you can do for the employer, not what they can do for you. If you miss the mark here, you’ll come off as an inattentive candidate and won’t be getting an interview.

#2. Overly Long Paragraphs

A dense, difficult-to-read text can discourage a hiring manager from going through your cover letter.

For example, if the body of your cover letter is contained in a single, thick paragraph, the hiring manager might skim over it and miss your main points.

Long paragraphs can also make your cover letter look poorly organized and make you come across as someone with bad written communication skills . Your essential qualifications and skills can get lost in that sea of words and hide the most important information you want to convey.

Overly long paragraphs also imply a lack of consideration for the hiring manager’s time. Keeping your text concise and easy to follow is just as important as the content itself. Otherwise, your cover letter might not catch the hiring manager’s attention at all.

#3. Salary Expectations

Unless the employer specifically asks you to, it’s considered taboo to include salary expectations in your cover letter, and it can even leave a bad impression on the hiring manager.

Talking about money in your cover letter can make it seem like your primary interest in the job is the paycheck. And, while there’s nothing wrong with wanting a specific salary, this can seriously undermine what you want to convey to the hiring manager about your enthusiasm for joining the company and your professionalism.

You should also keep in mind that talking about salary expectations so early on can even put you at a disadvantage in potential salary negotiations . If you mention a high number too early on, the hiring manager might reject your application before you even make it past the initial screening. But if you go too low, you could undervalue yourself.

This is why it’s recommended that you discuss salary expectations during an interview once you already understand the full scope of the role and have more context.

#4. Excessive Flattery

Writing a cover letter doesn’t mean writing a love letter to the company you’re applying for.

You don’t need to shower the employer with compliments to get the hiring manager to like you. In fact, if you use too many compliments or describe the company in the exact words they use on its website, you’re going to be severely disappointed.

For example, most companies you apply to may describe themselves as “innovative” or “ team-focused .” If that’s all you can say about them in your cover letter, it tells the hiring manager that you never researched the employer or paid much attention to what they do.

If you genuinely hold the company’s values, mission, or culture close to your heart, there’s no harm in mentioning how they inspire you. Just remember to keep it professional and related to how you can enthusiastically contribute to their work.

#5. False Information

This should go without saying but lying on your cover letter is just as bad as lying on your resume – very bad.

Although you may not need to know whom to address when sending a cover letter via email, getting a name to address your letter to is important. Do your research to avoid having to use the generic " To Whom It May Concern " or "Dear Sir or Madam," which can make things look like you didn't make an effort to learn more about the job or the employer. The best ways to learn contact names are to call an organization’s front office or to review their website.

To get in gear, review samples of  cover letter salutations . If you can't find a contact person, there are options you can use instead.

Cover Letter Body

The body of your cover letter lets the employer know what position you are applying for, why the employer should select you for an interview, and how you will follow up. This section of your cover letter includes:

  • First paragraph : Why you are writing. This is "the grab," your chance to grasp your reader by the collar and get their attention. Offer some specific, focused information regarding the job you're seeking and a few core strengths that demonstrate your suitability for the position.
  • Second paragraph : What you have to offer the employer .  This is your hook where you highlight examples of the work performed and achieved results. Draw on your key competencies from your resume, although don't copy it word for word. Bullet points in this paragraph are extremely effective in drawing your reader's eye to your successes.
  • Third paragraph : Your knowledge of the company. Show you did your research and know something about the business and how you can contribute to its mission.
  • Fourth paragraph : Your closing. Summarize what you would bring to the position and suggest some next steps by requesting a meeting or suggesting a call.

You can boldface quantifiable achievements like year-over-year sales figures to make these “pop” on the page.

Finish your letter with a formal closing like "Sincerely" or "Yours truly." A cover letter is a professional correspondence, so don't use informal closings like "Cheers" in the letters you write to apply for jobs.

Your Signature 

How you sign your cover letter will depend if you're sending a paper or email letter. If you're sending a paper letter, type your name after the salutation, leaving a space for your handwritten signature. If you're sending an email cover letter, type your name and contact information after your salutation.

Opening line

The story is the biggest part of your cover letter. This part is your unique selling point, covering your skills, qualifications, and what you can bring to the table if you're hired. Here, you write the details of what makes you stand out compared to others. It's nearly impossible to have a similar career journey with someone else.

Closing line

Once you finish the letter's main body, a closing line allows you to end the letter gracefully and professionally. It's also here where you can express gratitude and thank the employer for their time. A good closing line summarizes your letter, meaning you should also remind the employer why you make the perfect fit for the role.

You can find the signature at the very bottom of the cover letter. It has your name, signature, and sign-offs like “Sincerely” or “Regards.” It's perhaps the least important to include out of the five, but it's a good closer. Contact information is unnecessary here since they can already find it on your resume.

How to Perfect the 5 Sections of a Cover Letter

Hiring managers expect your cover letter structure to comprise five basic parts. Here's how to write each section for job application success.

Not including a cover letter with an application is one of the biggest mistakes students make when trying to get a job. As a soon-to-be graduate with little or no work experience, you can’t rely on your résumé alone. You need to craft a strong accompanying letter to sell yourself, and you need to get all its components right. While there may be room for more creativity in non-traditional industries, for the most part, recruiters expect cover letters to follow a particular format. If you adhere to the anticipated framework, you’ll make it easier for them to digest your submission. The best way to get a feel for how to write this important document is to look at lots of cover letter examples. You should also follow the guidelines below for cover letter structure success.

1. The greeting

If you remember only one thing when it comes to your opening address , let it be this: personalization. “To Whom It May Concern” just isn’t going to cut it; you need to use a full name, inserted into a formal salutation (Dear Mr./Ms. [First Name, Last Name]). If you don’t know who the hiring manager is, do some online digging. If (and only if) that turns up nothing, make use of a specific job title. Something like “Dear Group Human Resources Manager” could work. The point is to demonstrate that you’re willing to go the extra mile and do some research because you’re that interested in the position.

2. The opening paragraph

The opening statement is the most important part of your cover letter structure, and the key to success is disruption—you want to surprise, amuse, and captivate from the first word while still remaining professional. So don’t start with something predictable like “My name is X and I’m writing to apply for the position of Y.” The most important thing to communicate in your first paragraph is why you’re so interested in this particular job at this particular company. Express your enthusiasm in an authentic, unexpected way by starting with a personal story that sheds light on how you came to love your field of work or how you first discovered the organization. Not only will a short tale be far more interesting than a generic introduction, but it’ll also encourage hiring managers to see you as a human being and not just another applicant. If you know someone at the organization—or better yet, if someone high up suggested that you apply for the position—you should definitely include that person’s name in your letter’s opening paragraph too.

3. The body paragraph(s)

The body is the meat of your cover letter—the part that’s meant to convince the hiring manager that you were made for this job. If you look at good cover letter examples, you’ll see it’s best to start with a hook that (a) shows you understand what the company needs and (b) emphasizes that you have the competencies, qualifications, and know-how necessary to meet those needs. If you don’t have a lot of work experience, focus on your transferable skills —those you’ve acquired through college projects and internships, for example—and include concrete examples of how you’ve applied them in the past to achieve results. If possible, evidence should be expressed in numbers and metrics, and skills and academic achievements should be described using language from the job ad so your letter is flagged if scanned by an applicant tracking system.

Two things you should never do when writing the body of your cover letter? Repeat your résumé or focus too much on yourself. Instead of the former, select two or three key points from your background and expand on them, making specific links to the position’s requirements. Regarding the latter, keep the emphasis on how you can help the company achieve its goals, and avoid talking too much about what you hope to gain.

4. The final paragraph

Don’t ruin a great cover letter with a tepid ending. Leave a lasting impression and close on a high by reiterating your interest in the position and outlining what you’d aim to achieve in your first few weeks in the position   if you’re selected. If there might be cause for concern (for instance, if you’re currently not based in the city but plan to relocate), address this here, but don’t dwell on it. Remember to thank the hiring manager for considering you—he or she didn’t have to read your whole letter, after all. Also be sure to balance confidence with courtesy; that is, don’t threaten the reader in any way or be overly presumptuous. Simply say that you’d be grateful for the opportunity to discuss your fit for the role further, and encourage the hiring manager to contact you if they’d like to set up an interview or learn more about you.

5. The closing remark

The tone of your sign-off should be consistent with the rest of your cover letter—courteous and professional, but not so formal that it feels contrived. “Yours faithfully” is probably too stuffy, but “Sincerely,” “Warm regards,” “Best wishes,” or even just “Regards,” followed by your full name, are all appropriate. If you’re posting your application materials, include your signature, but this isn’t necessary if you’re submitting your cover letter digitally.
