How to professionally inform of my intention to quit my masters

After long thought, I have decided to quit my master's program. I fully understand the shame and failure that this is.

What is the professional way to leave, I do not wish to waste anyone's time but I feel just ducking out with an email would look bad. Should I simply arrange a meeting with my thesis advisor and let them know then, and should I indicate my desire to quit within the email I send?

I know whatever happens, I will be viewed as a failure by them and will never get a reference from them.

First, there shouldn't be any shame involved. For some reason you have learned that what you are now doing isn't right for you. That is perfectly natural, even if you are struggling at the moment. But before you decide finally, make sure it is the right decision.

As to how to do it, a face to face meeting is the best way. But before you have the meeting, think about what your future plans are so that you can talk about them as well as about quitting. If you think you may want to return later, you can work that in. The academic life isn't for everyone, and it may be a good thing if that is the case for you and you learn it now.

Your advisor may even have options available that you haven't thought of, but face to face is best. If you want to give him/her a heads-up on your intentions, send an email asking for a meeting to discuss your future.

You don't say why you are considering quitting, and you need not. However, there are at least three common reasons. First, is just external pressures that need to be dealt with. Second is burn-out that is pretty common also, and can lead to health issues. That can be overcome in some cases with help.

But the third reason is one to consider. There is a condition called Imposter Syndrome that affects many students at a certain point. It is the deep feeling that you don't belong because you "aren't good enough." That is often a bit related to burn-out but it is also pretty often completely unjustified. One of the reasons for speaking to your advisor in person is that he/she might just reassure you that you are, in fact, good enough. I suggest that you investigate Imposter Syndrome online as a start if you think this resonates.

  • The reasons are a bit of 2 and 3, I have read about imposter syndrome and while I do have low confidence about my life, I do realize that the syndrome does apply if I look at things objectively. Something similar happened to me about 30 years ago in the UK. I would suggest setting up a face-to-face meeting with your supervisor. When I did this, email wasn't much of a thing: I think I just caught her in the corridor and asked something like " Can we meet to discuss my research project? ".

I graduated with a good BSc. in Microcomputer and Electronic Engineering and went on to become a Research Student 1 at the same institution working towards an MSc. and then a PhD. The work started well – interesting, challenging-but-achievable – but after a while it was becoming clear that the work was heading in a direction that I was not as interested in, nor as capable at. After about a year – after a certain amount of anguish – I realised that things were unlikely to work out – at least in their current form – and plucked up the courage to confront my supervisor.

Yes , I must have had some feelings of shame and failure, but I had also convinced myself that it was in neither of our interests (me or the department) to continue for another two or three years not really making progress and with little or nothing to show at the end of it.

Obviously there was some disappointment on my supervisor's part that I felt unable to continue (both for me, and for the department), but there was never any animosity. Like me, I think she was glad that I brought it up sooner rather than later (didn't waste as much of her or the department's time, potentially allowed the funding behind my work to be used for someone else).

And far from " never get[ting] a reference from them " we discussed what I was interested in, and I was offered (and took) the chance to become a Research Assistant 2 on a new three-year project (later extended to four years) that was due to start shortly. The only "concession" they asked was that I "went through the motions" of submitting for an MSc. (knowing I wouldn't get one) as this helped the "box ticking"...

1 In the UK at the time you were first a normal (undergraduate) student studying for a first degree (BA/BSc). Then some would become a Research Student (usually funded) with the primary purpose to get either a Masters (MA/MSc) and/or a doctorate (PhD).

2 A Research Assistant positions was effectively an employee of the university, working on a specific research project. The primary goal was doing the research (which often tended to be more about the application of ideas), but opportunities for higher degrees were still present.

Quitting is neither shameful nor a failure. On the contrary, it is respectable and a success. You've established that continuing is not appropriate and you've taken action to find an appropriate direction.

What is the professional way to leave

The university should define a withdrawal procedure which you must follow. In addition, you may contact your thesis advisor. It is acceptable to merely send them an email, but you might want to arrange a meeting (which is what I'd recommend). Whether you indicate your intent to quit in an email beforehand depends what you want. If your decision is absolutely final, then the email could make it clear to your advisor that you are quitting, rather than merely contemplating quitting. This is a useful distinction, because your advisor may try to help you make a decision if they think a final decision hasn't been reached.

I will be viewed as a failure by them and will never get a reference from them.

A good supervisor would never take such a view nor would they refuse to provide a reference. (They might -- if they believe it is in your best interests -- discuss the possibility of staying.)

Quitting your PhD may make sense if you have a complete breakdown of your supervisor relationship, you are working with a poorly designed project, mental health issues are getting in the way, or you simply do not want to continue in academia after your first year.

The constant presence of failure and criticism throughout a PhD can make PhD candidates feel like they will never be smart enough and can cause feelings of being an imposter.

Before you decide to quit your PhD, you should at least see if it isn’t poor for you. Spend at least six months in your doctorate before asking yourself whether academia is the right career choice for you.

The first year will show you pretty much all of the important aspects of having a career in academia. Therefore, you can base your decision on how much you have really enjoyed your first year and whether or not it is something that you want to continue for another two – five years.

Your PhD will be heavily dictated by your academic supervisor.

It’s important that you maintain a healthy supervisor relationship. However, sometimes that is easier said than done.

If your PhD supervisor relationship has completely broken down and is toxic, I would recommend looking for an alternative supervisor or leaving the project altogether and looking for other opportunities in academia and outside of academia elsewhere.

I highly recommend that you have a co-supervisor during your PhD so that if one of the supervisor relationships breaks down you always have a backup.

The project is poorly designed

Sometimes the best plans can go badly.

It is worth quitting your PhD if you have got nowhere with your research after two years. Sometimes research does not reward you for hard work and it can be a very frustrating time.

Look at the progress of your research and focus on stuff that is working. Ultimately, at the end of your PhD you are expected to write up a dissertation or a number of peer-reviewed papers to show that you have contributed enough novel work to be admitted into your doctorate.

If you are unable to satisfy this, you will simply fail to obtain your PhD.

A good project is one that is relatively flexible and can pivot to other areas if one section of the plan is not working.

Mental health issues

Mental health issues are also another reason why you should consider quitting your PhD or, at least putting it on hold.

Your PhD is only as good as your mental health. You will be the one responsible for pushing the project forward when things are going badly and this takes a fair amount of resilience and persistence.

Resilience and persistence are at their best when your mental health is too.

This means that you should try to maintain a good relationship with your advisor and committee members. You should also let them know about your decision as soon as possible. A committee member may be able to help you find a new advisor.

Finally, it is also a good idea to write a letter of resignation. This will help you to state your intentions in a professional manner and it will also give your supervisor time to adjust or find a replacement PhD student for the project.

Notes : this document is comprised of four letters which deal with reasons for withdrawal from or continuance with PhD candidature. Much later (2010) the writer did obtain a PhD from the University of Newcastle in an area quite different from the topics discussed below. In both the cases dealt with here, formal withdrawal came after much reflection, and a considerable time after actual work on the dissertations had lapsed. However, the institutions and doctoral supervisors made no input either way, or at any time, on the withdrawal decisions.

1. Letter 1 sets out my reasons for withdrawing from a PhD Candidacy in Linguistics at the University of Melbourne in 1996.

I am writing to notify you that I am withdrawing from my PhD candidacy in Linguistics at the University of Melbourne. Although I had decided upon this some time ago, I have learned to be cautious about burning bridges. My leave of absence expires on 1 August 1996, so a choice must be made. Here are my reasons:

1. I cannot put a realistic completion date on the topic as it is designed.

2. It is not clear to me that whatever I undertake in this area will contribute anything significant to the sum of human understanding.

3. At almost 51, although very fit indeed, institutional careers are more or less closed to me, and a PhD, by the time I got it, would not amount to much of a vocational asset.

4. Over the last couple of years I have managed to make useful financial savings. As a 25 year old I could happily blow the money. As it is, I think I had better consolidate something before I go ga-ga.

For the brief present, I have some kind of a role in the TAFE system. TAFE teaching does give certain satisfactions. It is much more of a service role, less self-absorbed than university work, since the less gifted clients by and large must struggle far harder to achieve useful learning. Being clever does not necessarily make for good teaching in this environment, and sharp-witted colleagues are also thinner on the ground. On the other hand, there is a greater need to be wise about advice, since many TAFE students are easily led astray.

I am writing three books currently. One, English for Mechanics, has already earned $500 in royalties on an Indonesian technical English project which I established at Pulau Banka in April of this year. This sort of thing does offer an intellectual outlet, and scope for innovation. Indeed, being a free spirit, my own development may have been better off if I had taken an independent track twenty years ago.

a) A little history -  What makes Thor May tick? Why do I do research at all ?

At 12 years of age my father thrashed his headmaster with a razor strop and quit any kind of formal education, (that's his story anyway). The shifting addresses of an itinerant carpenter, where I grew up, made few allowances for intellectual interests, and to this day the family thinks I'm warped. Even with hindsight it is difficult to escape the horizon of expectations which those closest to you impose. The thirty or so unskilled and semi-skilled jobs which bored me witless before 1975 have left me with a boundless sympathy for the millions who will always be trapped. They find their compensations outside work, if they are lucky. I jumped those rails, but also paid a price, in security, in monetary rewards, and as an outsider to my origins, in friendship. I didn't know my limitations (and still don't) but determined that I would continue to challenge them, continue to grow, refuse to be intimidated into becoming a cog for some anonymous machine.

Linguistics and social anthropology were the first things which those paid to judge suggested I was pretty good at. The linguistic canon also seemed flexible enough to accommodate my anarchic skepticism. Who knows, we might all have been better off if I had encountered a sympathetic lecturer in law or journalism or marketing first. Blessed are those who know their vocation; for me, linguistics was an accident that happened.

After a year of high school teaching in NZ (just marginally more stimulating than picking the chewing gum off pub floors), and another year (1977) with AMES in Melbourne, I wrote to Ray Cattell at Newcastle U. He offered to take me on as a postgraduate and, amazingly, asked me to lecture. The possibility had never crossed my mind. As it turned out, I was writing a PhD in generative grammar but teaching mostly sociolinguistics. In practice, I was learning on the job, spending most of my time reading enough to give decent lectures, with no useful spin-off into the dissertation at all. What I did learn about the topic gradually convinced me that a PhD topic on it, written in terms of the available generative models, would be a scholastic exercise, a rite of passage perhaps, but with little to contribute to enduring knowledge. Maybe most PhDs are like that, or maybe I was just misguided, but having walked out on cleaning pub toilets, I wanted to do something that would yield more lasting satisfaction.

Newcastle gave me a kind of career option by default. If that first PhD topic wasn't worth the candle in the end, then at least it seemed like common-sense to build on my lecturing experience. Somewhere along the way I became a damned good teacher. Hence the short-term appointments to Northern Rivers CAE (now Southern Cross University) and The University of Technology in PNG, and eventually the full lecturing position at the University of the South Pacific, Fiji. Experience was what these jobs were all about. In a place like Fiji it certainly wasn't the money. For a gross of around $23,000 with a marginal tax rate of 48 cents in the dollar, I had the privilege of a staff/student ratio of 100-140:1, which included running all my own tutorials. I don't begrudge any of this experience, but I would have been a fool to stay locked onto that Suva treadmill. In fact, though I didn't realise it at the time, I would have been dead in another six months : as you know, in 1991 I had two near brushes with death in Melbourne where there are real hospitals; (nowadays I keep my diet below 10% fat and run 10km a day).

b) Current options as I see them : [ref. 1993]

i) continue to rely on casual and emergency work. This seems less and less viable in the present climate. Also, when the ET 'phone calls do come it is fatal to turn them down because you just won't be called next time. Planning is impossible. I lost $400 last September by leaving my telephone for 3 minutes to check the letter box. Often it is 20 hours or zero at a moment's notice.

ii) take up a TAFE contract if offered. This would be 20hrs contact, reasonably interesting, not difficult but quite time-consuming. The money on contract is respectable. The work is essentially unrelated to my thesis.

iii) fluke an Australian lecturing position in TESL: difficult, given my history and the competition, but possible. For example, USQ has advertised a place, and I knew the HOD, Francis Manghubhai, in Fiji. In a scene like that the PhD would have to go to hell for the first year, until my feet hit the ground. Again, the work would be unrelated to the thesis, but useful experience for the kind of job (if any!) I'm likely to be offered in future years.

iv) fluke a job lecturing linguistics in some outpost of the empire; (that's not going to happen in Australia without a PhD, if at all). Well, yes and no. It could be interesting, though I'm essentially an urban animal. It could also be the Suva scene all over, with no time or resources for thesis research. Decaying expatriates are a sad sight.

v) stop trying to do things by halves. Pack in the thesis for a couple of years and make enough tax-free money in Saudi Arabia to fund some full-time study. Dhahran is advertising now for January and September 1994 starts. If I took it on, it would make sense to learn Arabic into the bargain. The real entrée into this sort of job is an MA in Applied Linguistics, but I might still score. The attractions of this option are obvious. The drawbacks are also very stark. i) It is a serious proposition to break continuity of study, even if Melbourne University would buy the idea; ii) I'm already 48. This doesn't bother me, but it seems to make other people jumpy (including some in your faculty, I've noticed); iii) a heretic like me sandwiched between the mad mullahs and Saddam Hussein, without even the possibility of looking at a woman for two years, sounds like the script for a very bad movie.

vi) Pack in the idea of writing a thesis altogether. Nope. 1) I'm stubborn; 2) it's too damned interesting; 3) there's no way I'm going back to cleaning pub toilets; 4) short of a lobotomy, when you've got a complexity-seeking brain, you have to keep it amused;5) the caste-stricken academic classes won't talk to me without a PhD (the money-dazzled remainder have already given up on me); 6) against impressive evidence to the contrary, employers think that only PhDs can teach other people clever things; 7) why is intellectual enquiry a less useful way of using up a life than pushing a mop anyway?

This is formal notice to the University of Newcastle of my withdrawal from candidature for the PhD thesis entitled GRAMMATICAL AGENCY. The work on this thesis topic has given rise to several professional papers, either published or soon to be submitted for publication. However I have concluded (and not hastily) that the present state of knowledge in linguistics and psychology does not leave scope for treating the subject with proper integrity in a doctoral dissertation. This conclusion is explained in greater detail below.

I thank my various supervisors of the past several years, and in particular Ray Cattell who gave me the chance to lecture, thus leading me into an academic career which was neither planned nor anticipated.

I will be enrolling shortly (but not at Newcastle) to commence another dissertation, this time in Discourse Analysis.

The thesis, GRAMMATICAL AGENCY was intended to analyse some of the thematic relations which exist amongst the constituents of sentences in natural languages. It has become clear to me that thematic relations are translation nodes between the grammar of natural languages and what might be called the grammar of mind. Most existing models of language grammars assert the autonomy of natural language from other centres of cognition. The internal systems of language are certainly sufficiently complex and systematic to absorb the attention of many generations of linguists. However my work on the margins of cognitive systems has persuaded me that attempts to create entirely autonomous linguistic models are misplaced.

There is no doubt that the existing knowledge of human cognitive systems (or what I have called "the grammar of mind") is desperately inadequate. One feels the sort of despair that medieval alchemists must have known before the emergence of coherent principles in chemistry and physics. We don't even know what questions to ask. The sense I have of much present work in linguistics is that we are trying to reverse-engineer a high level computer language without any notion that it is making constant function calls to a "machine language" in the central processing unit, and must be finally interpreted within the constraints of that "machine language" if it is to operate at all. If you like, the processes of perception, thought and memory are expressions of this "machine language", whose paradigms we barely comprehend or admit. We fail to acknowledge that the systems of natural language semantics are the precise processes interpreting our high level language syntax to this other cognitive machine language.

For the purposes of writing a thesis I have been effectively required to work with existing models of generative grammars. I feel that fragments of such grammars are definitely going to encapsulate useful principles and patterns in unexpected ways, but that the model-specific frameworks and formalisms are going to look as irrelevant as the Ptolemaic Universe in any satisfactory characterization of the relationships between high level natural languages and the structures of "machine languages" in other cognitive processes.

Research in the area of thematic relations is so handicapped by our present ignorance of cognitive processes, and the primitive state of linguistic science, that I have considered it wise to put the thesis topic GRAMMATICAL AGENCY aside for investigation at a later time, unconstrained by the exigencies of course enrolment deadlines.

I found very interesting to read the list of reasons given by a PhD Student in his/her resignation letter (after four years working towards getting a PhD at EPFL).

The full letter can be read here . Though I don’t agree with all the points s/he makes, I do agree with a few of them. In fact, I dare to say they are well-known, my surprise is that s/he was able to realize this is how academia works so early. It took me quite a few more years to reach the same level of “enlightenment” (and start this “ research rants ” blog). This doesn’t mean that Academia completely sucks, IMHO the problem is that students enter the PhD with too high expectations so it’s also our task as advisors to make them understand that researchers don’t live in an ideal world but they are part of the real world which basically means that we, as any other “company”, need money to operate (and to get money you need to justify the quality of your work which ends up producing some of the problems the student mentions in the letter).

Like it or not this is how life (including research) works. I just wish the best of luck to this student but I hope s/he doesn’t switch to a private company expecting a better working environment. Believe me I’ve been there and the problems (with co-workers, with “competitors”,…) are similar but the level of nastiness tends to be higher.

I’m not really sure that the nastiness in business is higher: I’ve never seen someone land in the looney bin from business, but I have seen it being done from academia. Also, business tends to be relatively honest/transparent about the existence and amount of subterfuge while academia’s tends to engross itself in its propaganda (as the letter highlights).

I´d say that people working on a company are much more used to nastiness since as you say they have been exposed to it from the very first day while in research it takes some time to realize that you´re not there just to make the world a better place. For the same reason, researchers switching to a private company will be much worse at playing the survival game at the beginning and will need to catch up fast with their more skilled company coworkers

It is entirely the fault of advisers for selling these expectations. Most PhD students are the brightest students in their respective undergrad courses. The only illusion that can sell them on the idea and keep them going, while being overworked and being grossly underpaid compared to their less equipped and trained peers in industry, is the illusion that there is something much superior at the end. Being told at the end of the process that its no different (if not, worse), is a betrayal of trust that students place in their mentors. But take the illusion of making a big difference away and no sane student will enter doctoral training.

Academia talks about being fair and ethical. It isn’t. The only way they can reconcile this lie, if the truth is that the academic life should not be expected to be much better than the industry, is by paying students roughly the same as they would have earned in the industry. If they are not attending lectures, but instead working on advisor’s projects, pay them as employees. But academia won’t. Just like the businessman who won’t pay his employees any more than what he can get away with, neither will academia. The purported liberal ideals of academia are just lies.

Well, I won’t deny this is probably true in many cases but I can assure mine had a very realistic view of what they could expect from the PhD, as you could guess from somebody that takes the time to publicly complaint about (some aspects of ) the world of academia 🙂

Another important point to me is that researchers should not forget that the working environment in private companies is not better (or they will be disappointed again). This may depend a lot on the country but in my experience, companies also promise a lot so that you accept a low starting salary. For instance, in Spain the salary of a junior programmer (and that´s basically the only kind of position you´d be offered after getting your CS degree) is not much higher than the salary of a PhD Student.

As a Phd student, yes I was grossly underpaid… But it was my own doing. I didn’t compete for the scholarships very aggressively and made due with my meagre stipend. Many scholarship students do almost as well as I do now as an assistant professor at a small teaching university–at least in the scientific discipline I chose to pursue. There have been instances of falsified data, retractions of journal articles, self-pliagerism, to name a few, in recent years. This is a symptom of the pressure to perform, which in turn comes about from the need for capital, and all this pressure is dumped on the laps of the student slave labour; however, grossly underpaid students are buried in their work and simply missing out on plentiful funding opportunities. (Yet another factor propagating the current academic ethos)

Your roadmap to PhD success: freshman year advice for aspiring researchers

First off, welcome to the Nest! As a freshman, you’re probably not even sure what you want to pursue yet or you might simply be feeling overwhelmed by all the possibilities you can take with your life and career path. As someone who’s tried it all — Pre-Med, Economics, Consulting, Marketing, Filmmaking, Engineering and much more — I can safely say that acquiring a Doctor of Philosophy (Ph.D.) is the end goal that I intend to achieve.

To apply for a doctorate program, you need to maintain excellent grades and demonstrate your ability to manage a rigorous course load with other extracurricular and leadership activities. However, joining a lab (wet: manipulating liquids, biological matter and chemicals or dry: computational, physics and engineering) and beginning to work on actual research at university is arguably the most important thing you can do as a pre-PhD, pre-MD-PhD or even pre-med freshman. This will not be your average Chemistry lab experience as it will allow you opportunities to partake in independent research.

Independent research has been my greatest academic passion for as long as I can remember, from winning high school science fairs to participating in various forms of undergraduate research. As an undergraduate, I am motivated to pursue independent research in order to gain as much exposure and training as possible before beginning a Ph.D. program. I am interested in working in a research lab at Hopkins, not only because of how renowned the institution is for research, but also to make the most of my college education. 

Here’s what you need to do to get into a research lab as a freshman. Be ready to scour the internet; look around at all of the research labs Hopkins offers. Find what you think suits your current interests. Look into ForagerOne , an online platform designed specifically to connect undergraduate students with Faculty conducting research. You can look into department websites as well for faculty research profiles.You already made it here, which was the hardest part! Hopkins, being the nation’s oldest and best-funded research university, allows you access to labs that conduct cutting-edge research in their respective fields, so there is no shortage of opportunities.

​​Once you find a lab that resonates with you, reach out to the principal investigator (PI) of that lab by using your Hopkins email. Cold emails truly work best, as long as you keep it concise and make it known that you’re willing to commit to the research. You’ll end up meeting the PI or a post-doctoral researcher in the lab, which is where you can each lay out your expectations to one another (in terms of research, time commitment, recommendations, etc.) and see if the lab is a good fit for you. You’re going to want to start this process sooner rather than later!

Even if you end up realizing you don’t have a passion for or enjoy the lab you’re in as a freshman, that’s perfectly normal; you simply need experience. Many students switch labs for sophomore year and beyond!

Additionally, a research experience at Hopkins can be helpful to secure your dream summer research experience. My research experiences at Hopkins allowed me to realize my passion for working in the lab, even in the midst of my busy class schedule. I realized being a part of a summer research experience would allow me to put a 100% focus on my research and cultivate my interests further. 

You will not only be able to gain practical skills from your lab, but you can also ask for a letter of recommendation from your supervisor. Most REU programs value your letter of recommendation the most, so you need to make good impressions as a student researcher in your lab as early as possible, since applications have due dates around January/February.

This past summer, I was given the amazing opportunity to conduct research in the field of Neuroimmunology at the Broad Institute of MIT & Harvard as a participant in the Broad Summer Research Program. I gained so many useful skills from this REU, including improving my scientific writing, quickly learning extensive information about my specific field of research, creating an engaging research poster and delivering effective scientific presentations. 

REUs allow you to use your summer to conduct meaningful research and expand your network. The wide array of skills I gained from participating in an REU will allow me to more thoroughly engage and contribute ideas in my research lab back at Hopkins!
